PURCHASING USER MANUAL
1. Purchase Requisition
Purchase requisition is an indent note for creating a request for the required goods, services or materials (Inventory or Expense) to be procured from an
external supplier. These requisitions are further processed into Purchase Orders for procurement purposes.
The process of creating a requisition consists of the following activities:
Enter Requisition Line: User enters requirement in terms of items, mentioned line wise in a requisition
Add to Cart: Adding the mentioned lines into the Requisition Cart
Submit: Submission of the requisition, sent for Approvals
Upon clicking Purchase Requisitions task, the following screen appears as shown below
When setting up requisitions for the first time, select the purchase requisition preferences before any transactions are performed.
To update requisition preferences, Click on “More Tasks >> Update Requisition Preferences” option.
Under Update Requisition Preferences, mention the details that specify the default Deliver-to Location and select the Destination Type as Inventory.
Subinventory can also be mentioned although it is not mandatory.
After the respective requisition preferences have been mentioned and updated the user can start and create a new requisition.
In the Purchase Requisition, work area click on ‘More Tasks’ and select ‘Enter Requisition Line’.
The following window will appear once Enter Requisition Line Page is open.
Select the appropriate Line Type for the Requisition and query the Item for which the User wishes to create a Requisition. Once the item is selected click
on OK.
After an item is selected and entered into the requisition mention the quantity for the item that is to be requested along with the price.
The user can also provide additional details such as Requested Delivery Date and whether or not the Requisition is Urgent. Along with these details any
notes to be provided to the supplier can be mentioned on this page. Also the user can provide attachments along with the notes.
After the user has mentioned the required details the next step is to click on ‘Add to Cart’. This action adds the entered line into the Shopping Cart.
The user can add multiple lines to a requisition. Once a line has been added to the shopping cart the number next to the cart will change. It will reflect the
total number of lines that are currently in the Cart. Click on the cart to view the details of the entered lines.
If the user wishes to delete a line they can do so by clicking on the symbol. To see the details of the lines entered click on Review. If no further
review is to be done the user can directly submit the requisition for approval by clicking on Submit.
If the Item is not available in the list of values, the user can directly create a PR without mentioning the Item Code and directly entering the Item
Description.
In such cases the user will needs to manually enter the Item Description, select the respective Category Name, UOM Name and the Item Unit Price.
Click on the Search button to display all the active categories already defined in the system.
Similarly, the user needs to select the UOM Name from the list of values and mention the Unit Price.
After the user has added all the necessary lines to the Cart and clicked on Review, the following window will be displayed. The requisition number will
be displayed on the top left corner of the screen. Here the user can review the requisition details before submitting it for approval.
All the lines added to the requisition will be displayed in the header level. The user can select the line and the details related to that line will be displayed
including the Requester, Deliver-to Location, Destination Type, Requested Delivery Date.
On the Review Page at header level the following details can be seen:
At the line level the deliver to location and the project related details can be seen. Also if the requisition has been created from an agreement the
Agreement Number will be shown under Source.
After reviewing all the details of the requisition Click on Save followed by Submit. This will Submit the created requisition for Approval.
Once a Requisition is submitted for approval the following confirmation will be displayed on the screen.
Once Submitted the user can monitor the progress of the requisition under Manage Requisitions.
Under Manage Requisitions query for the requisition using any of the mentioned attributes. Once approved the Status for the order will update to
Approved.
Once the Requisition is in Approved stage the user can perform the following Actions:
1. Duplicate: Creates a duplicate requisition with the details of the existing requisition
2. Cancel Requisition: Cancels the created requisition, provide a reason for cancelling and click OK
3. Withdraw and Edit: Allows the user to withdraw and edit the approved requisition to make any changes if necessary. Click on Yes and
the Edit Requisition page will open. Once Withdrawn the status of the requisition will change to Withdrawn and the user will have to
submit the requisition for approval again.
4. Reassign: Allows the user to change the owner of the requisition. Mention the user to whom the document is to be reassigned and click
OK.
The change can be seen once the requisition is opened. The Entered by field will display the user to which the requisition has been
reassigned.
5. View Document History: Through this action the user can see who all have approved the requisition. By clicking on View Document
History > Submit Requisition the following page will be shown.
6. View PDF: This allows the user to see the requisition details as a Print Report in a PDF format.
