2 PURPOSE
The purpose of this procedure is to ensure that all employees injured on duty, are aware of how
and where to report an accident timeously and of the investigations that are likely to take place.
Furthermore, the purpose is to protect employee’s safety and promote their wellbeing while
establishing the expectation that it is the responsibility of all employees to create and maintain
a safe working environment.

3 SCOPE
The scope of this policy spans all injuries at work and all injuries and diseases that are as a result
of activities at work and applies to Company's employees, interns & learners, contract workers,
job applicants and visitors.

4 OBJECTIVE
The objective is to prevent any Occupational Injuries and Diseases to The Company’s employees
in the workplace, by:

 Ensuring effective and efficient health and safety systems are in place.
 Ensuring that injuries are reported and dealt with timeously.
 To ensure the physical safety and wellbeing of all staff.
 To develop a framework of procedures whereby all injuries are dealt with in a competent
and safe manner.
 To provide training staff development and effective use of outside expertise so that
employees have access to proper interventions.
 To comply with all legislation relating to safety and welfare at work.

5 RESPONSIBILITIES
Without derogating from the 16(1)’s liability for Health and Safety issues, the Section 16(2)
appointee may be given overall responsibility and authority to ensure that the policy is defined,
documented, and implemented for all employees, contractors and visitors during daily tasks,
delivery of and installation of equipment, onsite maintenance and support services of clients.

6 POLICY STATEMENT
Management recognises that safety is an integral part of business operations, and that
accidents and incidents are an indication of a breakdown or improper operations. Accident and
incident reporting allows for follow-up investigation and corrective action to prevent
reoccurrence and to review and improve health and safety performance.

Management shall ensure the uniform implementation of the relevant procedures for the
handling of Injuries on Duty.

Management is committed to achieving this through:

 Ensuring all relevant procedures are appropriate to the size and scope of the organization.
 Ensuring continual review for suitability of all related policies and procedures.
 Ensure all employees and interested parties are trained or inducted on the relevant
procedures and that any uncertainty or questions are cleared up before entering the
premises or before work commences
 Providing and implementing an incident response procedure that:
 Allows for appropriate response that is quick and effective.
 Ensures that all the required legislative reporting timelines and other requirements
are detailed and will be met.
 Accounts for all possible injuries that may take place on premise and that takes into
consideration the scope of works being performed, the hazardous materials and
equipment involved, work environment (including time of day; i.e. Shift; night or after-
hours work) the size of the workforce and the worst outcomes of any scenario.
 Ensures all incidents are reported to management and other relevant authorities
timeously and with transparency as to the circumstances of occurrence.
 Ensures that injured party/ies receives adequate level of treatment for the injury/ies
that is/are sustained.
 Allows for appropriate emergency services to be contacted as soon as is required.
 All emergency response teams including first aiders, SHE-Representatives, firefighters
and incident investigators are available and competent to perform their tasks with-in
the context of the working environment.
 Includes the required processes for dealing with fatalities and multiple individuals that
are injured.
 Provide a procedure that adequately deals with long terms work-related injury/illness.

 Providing and implementing an incident investigation procedure that:


 Allows for all incidents to be investigated by a competent investigator.
 Ensures that focus is directed towards the root cause to prevent re-occurrence.
 Provides appropriate controls and management strategies to prevent re-occurrence
and manage investigations safely.
 Considers the true conditions of the occurrence as well as all witness statements.
 The investigation of all accident/incident by a person appointed by The Company,
member of the health & safety committee within 7 days from the date of the incident
and finalised as soon as is reasonably practicable, or within the contracted period in
the case of contracted workers.

 If after the incident investigation, it is proven that the staff member was negligent The
Company may demand reimbursement of costs from the injured employee. (i.e. not
following The Company’s Policies and Procedures)

 The Company shall cause every record contemplated to be examined by the health &
safety committee for the workplace or section of the workplace at its next meeting and
shall ensure that necessary actions, as may be reasonably practicable, are implemented
and followed up to prevent recurrence of such incident.
 The following additional requirements will be taken into consideration upon
implementation of the relevant procedures and be evaluated specific to the case/incident,
and in line with the COID Act:
 Medical practitioner (doctor’s) consultation
 Follow up treatment
 Leave
 Remuneration
 Medical cost
 Transport
 Debriefing / counselling
 Compensation
 Record keeping
 Acquired HIV in the workplace

7 COMMUNICATION

This policy, and related information on Injury on Duty, will be communicated to all employees
and the wider public using the full range of communication methods available to the company
and its network of contacts.

8 REVIEW PERIOD
The Section 16(2) appointee will review this policy annually, or if there is any change of
legislation that impacts this policy during the delivery of services regarding installation,
equipment, onsite maintenance and support for clients.

9 ENFORCEMENT
This policy will be enforced upon sign off. Staff members and Contractors who do not adhere to
this process, could face disciplinary action which could lead to dismissal.
