NITRUTSAV 2020 PROTOCOL

NITRUTSAV, the annual cultural fest of NIT Rourkela will be organized on 13th-15th of March, 2020.
For individuals and clubs willing to organize events during NITRUTSAV 2020 (hereafter, referred to as
NU’20), certain rules and guidelines are to be followed for the proper functioning and success of the
events and the fest.

Instructions to the coordinators:

• Fill up the google form which has been circulated – NITRUTSAV 2020 EVENT SUBMISSION.
Only one of the coordinator should fill for a particular event. Clubs/Individuals conducting multiple
events are required to fill the form multiple times.
The requirements should strictly be in accordance with the following format:
Stationary - 1.
2.

Miscellaneous - 1.
2.

Wooden - 1.
2.

Electrical/Electronics - 1.
2.

• Hard copies in A4 sheets of Event Submission Sheet in accordance with the Sample Event
Submission Sheet must be submitted to the Event Management Team and Requirements team
during the scrutinizing process.

 Coordinators are free to change the requirements section of the Event Submission Sheet (Addition
or removal of tables only), as per their necessity. No changes are allowed after the final scrutiny.
CODE OF CONDUCT:

• Any sort of misbehavior with team members/participants/colleagues at any point of time will not be
tolerated may it be volunteers, coordinators or any other member. Strict actions will be taken by
NITR Authorities.

• Coordinators of event, once assigned cannot be changed.

• Full cooperation with the NU’20 team is expected for efficacious management of all the events.

• The coordinators are expected to be extremely specific regarding the requirements for their event.

• Requirements are subjected to cut-downs and shall be finalized by the Event Management team as
well as the Requirements team in compliance with the budget plan.

• Any negligence of the above instructions may lead to disqualification of the post and/or event.

• No club is allowed to get sponsors for their event separately for NU’20. All the clubs approaching
firms for sponsorship are meant to channelize it through Team NU’20.

 Everything, including date/time/venue/requirements/flexes are subjected to change as and when


required by the NU'20 team.

 Flexes will be given ONLY to those few events which are deemed to be flagship or important by the
NU’20 team. However clubs/coordinators may arrange their own flexes for respective event, but
only after getting permission from the NU’20 Event Management team and the Design team.
