Emergency Plan

1. Purpose:
This plan defines the immediate response to be followed in case of any emergency situation
listed below. Based on experience and geopolitical location, this plan lists the possible
emergencies which may arise. The procedures specified in this plan are to be used as
guidelines to address any anticipated emergencies.
In case of emergencies not specified in this plan all staff should notify the leadership team
immediately and take necessary course of action which protects their life, the life of others and
assets.
For the situation considered, this plan mentioned the training requirements, consequences,
and responsibilities of individuals within the organization in order to manage the emergency
situation and the arrangements done by the company.
The emergency contact numbers, crisis management and disaster recovery are covered in
separate documents.

2. Updates:
The Emergency Plan is a live document that shall be reviewed and updated in the following
cases:
 Whenever an emergency situation arises
 A new type of emergency is identified
 Restructuring/changes to the facilities and organization
 Changes to the scope of work
 Yearly periodic review if none of the above has occurred
The emergency contact numbers will be updated and communicated on a frequent basis
whenever there are:
 Changes to the organization
 New joiners or leavers from the Emergency Management Team
 The contact details of nearby services or authorities change

3. Training & Awareness


All MVP tech employees shall be made aware of the emergency plan through induction
sessions. These sessions shall cover in detail the following:
 Types of emergencies
 Response Procedure
 Responsible personnel
 Recovery Procedure
In the event of an update, the emergency plan shall be communicated to all employees using
email communication. The relevant information like updated emergency contact numbers and
Emergency Evacuation Maps shall be displayed in the office at various locations.
Necessary training and certifications shall be provided to personnel who are responsible to
carry out tasks as part of the emergency plan e.g. Fire Warden and First Aiders.
All visitors shall be logged in to a register and notified of the emergency path and assembly
point.

5. Emergency Management
All the emergencies mentioned below may require one or more of the following responses:
 Fire Fighting
 Evacuation of the area/building
 Containment of the threat
 First Aid Treatment and / or Medical Emergency Response
 Emergency Services Response

5.1. Evacuation:
The Emergency Management Team (EMT) members as specified in Emergency contact
Numbers (MVPT-AHSE-ECN-F-23) shall assess the emergency situation and see if an
evacuation is required. The need for evacuation shall be determines based on:
 The severity of the incident
 The likelihood of escalation
 The incident becoming uncontrollable beyond the resources available

If evacuation is required, the EMT members shall notify all those present on the premises to
evacuate the building.
The notification can either be in the form of a verbal or alarm notification.
Emergency services shall be contacted if necessary.
The EMT shall evaluate the building in conjunction with Emergency Services to see if it is safe
before re-entry.

5.2. Staff Response in Case of Evacuation:


 Follow emergency exit signs and evacuate the building
 Do not block the exit path of others who are evacuating
 Provide assistance to others only when you are instructed by the EMT members
 Gather at the assembly point
 Wait for Emergency Services to arrive
 Do not re-enter until one the EMT head declares it safe to do so

6. Types of Emergencies
6.1. Medical Emergency
A medical emergency can be considered any situation from minor cuts to
unresponsiveness. The assessment of a medical condition should be done by certified first
aiders. The consequences of a medical emergency can range from lost time to death.

6.1.1. Arrangements by Company:


 Certified First Aiders made available in office and site locations
 First Aid boxes made available in office and site locations
 Maintenance of first aid boxes
 Establish, review and update of emergency plan

6.1.2. Staff Response:


 Alert the First Aiders
 If the situation is serious and would require external help, then call 999 or 998
 Do not transport the patient to the medical center (Do so only if the emergency services
tell you to do so)
 Be online with the ambulance service till they arrive
 Keep your phone available in case the emergency services want to contact you back
before they arrive
 Assist external services if you were the one to call them

6.1.3. First Aiders Response:


 Assess the medical emergency
 Give First Aid Treatment at the earliest
 If the situation is serious and would require external help, then call 999 or 998
 Assist external services
 Complete necessary documentation (First aid Register / Emergency Evaluation Report)

6.1.4. Training Required:

6.2. Fire / Explosion


A fire incident could include a small fire that can be handled by trained fire wardens or a
major fire that requires assistance from emergency services. The consequences of a fire
can be devastating including disruption of operations.

6.2.1. Arrangements by Company:


 Certified Fire Wardens in office and site locations
 Safety induction
 Integrated fire alarm system in the office
 Fire extinguishers and their maintenance
 Fire escape route and assembly point
 ‘No Fire’ and ‘No Smoking’ policy
 Emergency drills
 Establish, review and update of an emergency plan

6.2.2. Staff Response:


 Attempt to extinguish a small fire
 Raise Alarm using fire break glass unit in case of the big fire
 Follow emergency escape root to evacuate the building
 Do not waste time and evacuate immediately
 Do not block escape paths or others who are trying to escape
 Gather at the assembly point

6.2.3. EMT Response:


 Assess the fire emergency
 Raise the alarm using a fire break glass unit in case of the big fire
 Call Civil defense 998 and give details
 Do not disconnect from Civil Defense
 Assist in the evacuation of employees and ensure all employees are evacuated
 Roll Call at the assembly point
 Evaluate the area in conjunction with emergency services and declare the area safe if it
is safe

6.2.4. Training Required:


 Level 2 – Fire Safety Fundamentals & proper use of Fire Extinguishers & Fire Warden

6.3. Epidemic:
An outbreak of an infectious disease that spreads quickly to a large number of people in a
population within a short period of time shall be considered as an epidemic. An epidemic
occurs when there is a sudden increase in the number of cases of a disease. Otherwise as
announce by national or international authorities.

6.3.1. Notification:
 The emergency situations may be raised as a result of suspected or confirmed single or
multiple infection cases.
 In the event of such an emergency, key personnel (Leadership Team, EMT) within the
organization shall be notified.
 All decisions concerning such an emergency shall be taken after careful consideration
by the leadership team and communicated to the employees by HR or the leadership
team only.
 The necessary communication can be converted into a TBT and delivered to the
workforce as an awareness session.
 The external interested parties shall be formally notified as required by the leadership
team members.

6.3.2. Arrangements by Company:


 The company shall analyze and update the budget to ensure that the necessary PPEs /
other items required to control such an epidemic can be arranged quickly.
 The company shall maintain appropriate levels of stock of the required PPEs
 The items as required shall be arranged and provided to all employees e.g. Hand
Sanitizers, disinfection liquid, health-improving food items, etc.
 Thorough disinfection shall be carried out in the company premises to ensure the safety
of all employees
 Medical insurance provided by the company to employees shall cover such epidemic
situations
 The company shall ensure compliance with all the requirements laid down by the local
authorities with respect to the epidemic
 No employee shall be forced to work against the will of the employee. All employees
shall be given the option to either take unpaid leave or work from home.
 Make the necessary arrangements in terms of hardware and software so that
employees can work remotely
 Encourage eligible employees to get vaccinated with approved vaccines to boost
immunity.

6.3.3. Staff Response:


 All employees must be transparent about their health condition and inform HR if they
experience any symptoms of the epidemic disease
 All employees must follow the response procedures laid down by the company and the
local authorities. This may include quarantine, isolation.
 All employees are expected to take care of themselves by wearing the proper PPE and
following the guidelines set up by the company and local authorities e.g. hand and
respiratory hygiene, social distancing, etc.
 Employees should not endanger the health and safety of others and should take all
necessary precautions to contain the spread of the epidemic.
 Employees must not discriminate against others based on the disease (recovered,
vulnerable).
 Eligible employees should get vaccination approved by authorities.

6.3.4. EMT Response:


 Procedures specific to the epidemic response shall be drafted and circulated to all the
necessary members/employees
 Responsibilities shall be assigned clearly to all the concerned departments
 EMT shall analyze the situation of the company with respect to the epidemic and take
the necessary decisions or revise the current response procedures.
 Contact tracing and monitoring the health of employees shall be done by HR
 Compliance with rules set up by the company and local authorities shall be checked by
the HSE department.
 Rejoining of the recovered employees shall be monitored by HR and HSE department

6.4. Other Emergencies:

6.4.1. Electrical Failure


Electrical failure may lead to other emergencies like fire or medical. The consequences shall
include disruption in operations. MVP Tech has done the necessary arrangements and
provided resources to ensure that electrical sockets are not overloaded.
Response:
 Any staff noticing an electrical failure of any kind should report this immediately to the
administration department
 The administration department shall coordinate with the external provider and isolate
the relevant DB

6.4.2. Armed / Dangerous Intruders & Suspicious Items


MVP Tech has put in place an access control system on its facilities to ensure that no person
can enter its facilities without permission. In the event of any such emergency where an
armed/ dangerous intruder is seen on its premises the staff should:
 Immediately inform the same to the administration department
 Remain calm
 Take safe positions behind/ under metal partitions
 Inform emergency services if it is safe to do so
 Evacuate the building if it is safe to do so
 In case of a suspicious item, do not touch it and stay clear
 The facility shall be closed off until further investigation by the emergency response
team

6.4.3. Natural Disaster / Earthquakes


In the event of any natural disaster, the staff is expected to respond appropriately based on
the emergency.
 In the event of earthquakes, the staff must immediately evacuate and gather at the
assembly point
 Stay away from walls
 In case of flooding, the electrical source should be cut by the administration
department

In the event of any emergency that may occur which is not listed above, the staff is expected to
respond appropriately using their own logic and intuition within the legal framework of UAE. In the
event of any such emergency, the Leadership team will automatically assume the role of
Emergency Management Team.
