A new systems development project is being planned for Reindeer Christmas Supplies Company. The invoicing, cash
receipts, and accounts payable modules are all going to be updated. The controller, Kris K. Ringle, is a little anxious
about this project. The last systems development project that affected his department was not very successful, and
the employees in the accounting department did not accept the new system very well at first. He feels that the
systems personnel did not interact sufficiently with the users of the systems in the accounting department. Prepare
a memo from Ringle to the head of the information systems department, Sandy Klaus. In this memo, provide some
suggestions for including the accounting personnel in the systems development project. Give persuasive arguments
as to why prototyping would be helpful to the workers in the accounting department.

SUBJECT: New Systems Development Project

I am writing to inform you that the previous systems development project did not came out successfully
due to the reason that there was a lack of communication and interaction between the information
system and accounting personnel. So, in order not to repeat what happened in the past, I suggest that
we should formulate a plan that encourages user involvement, specifically the accounting personnel.
Since the latter can provide better ideas and suggestions to the new systems development project.

As the head of the Information Systems Department, you should come up with a solution regarding this
issue. You should conduct user feedback by assessing the following activities, including recognizing and
defining the problem, specifying system objectives, determining project feasibility, and preparing a
formal project proposal. All of these have a great potential in developing better solutions that will be
beneficial in the organization’s new systems development project. Also, it will give the department a
clear vision on why the last systems development project did not came out successfully. But make sure
there should be an involvement of accounting personnel since they weren’t given a chance to interact in
your department in the last system.

Furthermore, prototyping the new systems development project should be developed by the
information system department. Because it will result in a faster and more effective systems
development project. Also, it will allow the accounting personnel to monitor and interact in the design
development process. It will help them build an information system that is intuitive, and easy to
manipulate for end users; and it will be easier to identify potential problems, preventing them to make
mistakes. Indeed, prototyping is essential to accounting and information system department, helping
them to implement a smooth and successful new system development project.
