Jamie has recently been allocated a task to develop a new health and safety manual for staff. Jamie has
developed the first chapter of the manual and has provided it to you for review. The content seems okay, but
Jamie’s writing style is confused and difficult to understand.
As Jamie’s supervisor, you need to meet with her to provide feedback on her work, expected performance,

Answer:
Jamie: Hi Nicky
Nicky: We are here today to review your performance recently. First of all, I would like to thank you for all
your work and contribution. You have only been with us for 2 months, but I can already tell that you are very
hard working and responsible and so far, you have been doing well with your tasks on training staff and
organising professional development.
However, I have noticed a problem in your newest task, which is to develop a new health and safety
manual. I have checked your first chapter, and the content is fine, but it seems to me that your writing skill is
a bit confusing and difficult to understand. So, the main reason of our meeting today is for us to discuss on
methods to improve your writing skills.
Jamie: I apologize for the inconvenience. I wanted to improve my writing skills too, but I just did not know
where to begin with.
Nicky: That is fine, I want you to know that I am here to help! I have listed some tips here to help you with
your writing skills.
- Research the topic thoroughly before you start writing. This is to make sure that you totally
understand the topic before you try to explain it in words to the readers.
- Brainstorming is a must! Before you start writing, you need to list out all your possible answers of
one certain topic, so you will not miss out on any ideas later.
- If the topic is complex, outline it first: The best way to deliver a clear message is having it all
organized. Making an outline and some notes will help.
- Keep your message simple: When writing a manual, do not over-explain it. You should convey the
message easily, and with simple words to ensure that everyone can understand your writing.
- Proof-reading before you submit your work: Revising your work, or even reading it out loud will help
you determine if your word flows smoothly, or maybe you can find a complex sentence that needs to
be rewritten.
I think these tips will be able to assist you with your writing skills. Do you have any questions?
Nicky: That would be great! In the next step, I would like you to re-write your first chapter of the manual
again, using the tips that we have discussed. I expect improvement from you, and I know you can totally do
it. Thank you for your time today!
- Role play B:
It is now six months later, and it is time for Jamie’s performance review,
Conduct a performance review with Jamie as set out below:
Send an email to Jamie informing of her of the date and time of the performance review and
explaining that the performance review template that will be used. Attach a copy to the email.
Conduct the performance review in a maximum time of 30 minutes.
Use effective communication skills for performance management.
Answer:
Nicky: No worries! Now, we are here today to conduct a review on your performance over the last 6 months.
In here, I have printed out a Performance Review Guidance for you, and we will go over all the assessment
together.
Overall, I think you have improved a lot since the last performance review. I am glad that you took my
advices and apply them well to your work, your writing skills are definitely better and I am very pleased with
your recent work. You have also done extremely well in “Dependability”, “Services to clients”, “Use of
equipment” and “Work group management” assessment.
For the problem area, I think you should be more careful when performing task, as management noticed that
you still made some mistakes. They are currently at acceptable rate, but just remember to be careful, and be
well prepared before you start doing your work.
Your decision-making skill is fine, but I would say sometimes you depend a bit too much on your
management’s decision and you seem to be confused when making a decision. So what I would like for you,
is to always do your Cost-Benefit Analysis when facing a problem, and always plan ahead to be prepared for
situations.
Jamie: No, I am glad that my review is better than the last period. Thank you for your help!
Nicky: You are welcome! Now, if you don’t have any questions, I would like you to sign here and the meeting
record will go into your personnel file. You can also keep one copy of it for self-reflection.
It should introduce and summarise the contents of the attachment and give them the
place, date, time and expected duration of the meeting.
