EXECUTIVE SUMMARY

Case study ENT 600 is one of the tasks that need to be done by every UITM Pahang
student who takes this subject. This case study requires students to find a company to make an
observations and analysis on how the company operates. So, we took this opportunity to choose
Yan Berkat Agency which is the company that provide services related to Road Transport
Department (JPJ), Insurance and PUSPAKOM. The first step is, we study the background of
this company such as who is the founder, the date of establishment of this company,
organizational chart, and the number of workers. After that. We also study about the services
that they provided. They offer a variety of services, but the focus is on JPJ, Insurance and
PUSPAKOM issues. Besides we also take a close look on their business, marketing, and
operational strategy on how they promote their services as well as their financial achievement
since the beginning of the company's existence. The main idea of the case study is to identify
what problems may be faced by the selected company that can affect the level of customer
satisfaction. Therefore, to collect information, SWOT analysis will be used to analyzed
strength, weakness, opportunities, and threat of this company in order the information
collected is clearer and more accurate. The result from the investigation that I have made, there
is a few problems that this company are lacking off. So here I’m looking forward to counter
the problem by delivering my idea on how to fulfill the need in recommendation and
improvement section. The result from this, can ensure uplift work performance, productivity,
and quality of the customer services.

Yan Berkat Agency Sdn Bhd was founded in 2009 by Nur Azian Bin Mh Nor
@ Md Nor which known as Yan. A few years back, before Yan Berkat Agency was
founded, previously, Mr. Azian was an employee of an insurance company at Negeri
Sembilan. In 2008, Yan decided to return to his village in Kelantan and intends to start
his own business in his hometown. With the help of his parents, in July 2009, Yan
Berkat Agency was officially established which located in front of the Sekolah
Kebangsaan Othman Talib 1 which approximately 1 kilometer from his home

After a few years, he opened several new branches around Kelantan such as in
Bachok, Gua Musang, Tanah Merah and there is also a branch in Kampung Baru, Kuala
Lumpur. Moreover, he plans to open a branch in Cameron highland Pahang soon.

1.3 Services

Yan Berkat Agency has provided many types of service, but the focus is
on Insurance Road tax, JPJ and PUSPAKOM affairs. This company is an agent
for reputable insurance such as Kurnia, Pacific, Liberty, Takaful and many
more. They provide many insurance options to customers in order to help them
make choices depending on their personal budget. So far liberty insurance is the
most popular option among customers.

Other than that, Yan Berkat Agency have provided MYEG machine.
Malaysian Electronic-Government ("E-Government") MSC Flagship
Application concessionaire MYEG Services Berhad ("MYEG"). MYEG is
responsible for developing, operating, and owning the electronic channel by
which various government agencies deliver services to Malaysian citizens and
businesses. This machine is very useful for customers who want to get their road
tax done immediately.

In addition, they also provide PUSPAKOM services such as vehicle


inspection, change of ownership, and road tax renewal. This service is always
in high demand as customers only need to hand over their vehicle to this
company and then pick it up once everything has been done. In case, the
customer unable to pick up their vehicle, the worker will deliver it from
PUSPAKOM to the customer’s doorstep. Although the charges imposed on
customers are a little bit costly, but it is not a big issue for customers as
everything is managed efficiently and professionally. Based on surveys
conducted on some customers, mostly they are very satisfied and plan to repeat
it again in the future

1.4 Business, Marketing, Operational Strategy

The company’s objective is to be a high -performing agent company on


par with other large corporate company. Next is to provide excellent customer
service to keep them happy and satisfied by knowing and reaching the
customer’s right to retain clients. This company target customer which has JPJ
and PUSPAKOM affairs. But there’s also several services that they provided
which is printing, laminated and binding. So, the company also target to those
who want to do such things too.

The actions and decisions that a company makes to achieve its business
goals and remain competitive in its industry are known as business strategy. It
outlines what the company must do to achieve its objectives, as well as how
workers must collaborate to support the company's overall direction. Yan
Berkat Agency has strategy of aiming to provide the best customer service for
all customer especially the loyal one.

Due to the hot weather every day, employees will always provide water
dishes with different water menus for customers. Among the menus that have
been served are, orange juice, watermelon juice, iced tea, syrup and sometimes
mineral water. In addition, the company also provides comfortable sofas,
newspapers, and TV so that customers can relax while waiting for their business
to be completed. So, they believe that excellent customer service can lead to
more marketing and sales opportunities. To ensure that the company continues
to succeed, it is essential that the needs of its customers are met. Marketing
strategy is a long-term, forward-looking approach and an overall game plan of
any organization or any business with the fundamental goal of achieving a
sustainable competitive advantage by understanding the needs and wants of
customers. One of the marketing strategies that this company does is through
social media such as Facebook and WhatsApp. the use of Facebook is very
helpful to this company's business because most of their target customers can
be accessed through this social media platform. In addition, Facebook has many
interesting features such as groups, marketplace and message which can help
these companies market their business more widely as well as WhatsApp which
they can share their business through group and status. In addition, the company
also has a business card. This business card will be given to new customers, or
new contacts and also given to friends or close relatives. It conveys important
personal contact information such as name, title, email, website, address, and
phone number that makes it easier for customers to do business with this
company in the future

To attract more and maintain the customers their operational strategy also can
be said to be successful, they always emphasize on speed and less service time. By
considering the fact that customers seek fast delivery services as their top priority, Yan
Berkat Agency started providing fast, accurate and friendly services to meet the
demand of its customers. Moreover, they are always concerned about quality. This can
be measured through the time invested in processing orders of customer. The staff are
well trained to serve customers in an efficient way. The company always takes the
necessary steps to reduce its operation cost. by taking care of and improve service time
and the quality of service, the company could also build a strong reputation.

1.5 Financial Achievement

Since this company start fully operations in July 2009. Yan Berkat Agency
company was successfully to increase and maintain their income manually. The
estimated monthly profit of this company is RM 50000 and in 2014, the company
reached its highest profit up to RM 100000. During the pandemic in 2020, the company
is in decline because many people are terrified to deal with anyone for fear of being
infected causing the management of the company to be unstable. this lasted for several
months until December 2020, the company’s profits begin to rise.

STRENGHTH

• Good customer services


This company places a high value on the ethics of their employees, encouraging
them to always provide the best possible service and ensuring that all of their
customers are completely satisfied. In order to make his customers feel
appreciated, the employee always greets them with a wide smile and the words
'Selamat Datang' and 'Terima Kasih, Datang Lagi' when they want to leave the
store. Additionally, they provide sofas, televisions, magazines, and newspapers
so that customers can wait comfortably while their affairs are being completed.
This will aid in the retention of customers as well as the expansion of the
business.
• Strategic location
Being in the right location is essential to the success of the business. Yan Berkat
Agency are said to be strategic because it is a place where communication and
transportation are so much accessible, a place where people most likely go and
a place where services can easily be accessed by the consumer. To be exact the
headquarters of Yan Berkat Agency is located in front of the primary school.
(SKOT1). Most of the customers who comes are among the parents. They
claimed that by using this company's services allows them to perform two jobs
at one time, which is they can settle issues with this company while waiting for
their child to return from school. Other than that, it is located far from other
competitors as it would certainly increase the number of customers. Having a
strategic location for the business is truly an advantages and edge against the
competitors.

• Variety of services
Apart from providing road tax and PUSPAKOM insurance services, Yan Berkat
Agency also provides several other services, which is, printing, laminated,
binding, express mail, truck and van rental. It is not only insurance and road tax
services that generate revenue for the company; other services also contribute
to the company's overall sales volume and profit. Offering a wide range of
services can entice many people to use the company's services because they may
be able to solve a variety of problems at the same time. For example, while
preparing for insurance, they can also laminate paper, bind books or printing.
Additionally, customers will have greater confidence and trust in a company
because providing such a diverse range of services demonstrates that the
company is in a stable state.

WEAKNESS

• Fail in filing system


One of the company's weaknesses is that they do not have a well-organized
filing system. It has come to my attention that the majority of important files
are not neatly organized, do not have a backup stored on the computer, and some
paperwork is not filed. That they handled their file in such a careless manner
raises the possibility of it being damaged, lost, misplaced, or stolen; this is cause
for concern. In the event of a fire, the company will lose critical information.
Once the files have been destroyed, there is no way to recover the information
contained within them.

• Limited parking park


A large number of people will choose to run their businesses somewhere else if
there are no suitable parking spaces available near the establishment they are
visiting. Because of this type of customer behavior, parking lots for commercial
establishments are essential. This is especially the case if customers must
remain for an extended period of time in order to complete their errands or
business. This is the problem that these businesses are dealing with as a result
of a scarcity of parking spaces. As a result of the school's completion, traffic
congestion in the surrounding area will worsen. Customers will have a difficult
time finding parking spaces as a result of this. Some customers were required
to park far away from the company in order to avoid traffic congestion. If this
situation continues, it will result in a loss of customers and a less pleasant image
for this company.

• Does not have an appropriate garage


This company has many vehicles that need to be handled, such as vans, cars,
and trucks that are used for rent. Usually, all these vehicles will be parked and
arranged in front of the Yan Berkat Agency office when the working hours are
over at 10 pm. They just put these vehicles under the car shed because they don't
have a dedicated garage to store all these vehicles. This open storage is very
dangerous as it will be prone to theft.

OPPURTUNITIES

• Has several branches


The company already has nine branches in Kelantan, as well as a few outside
the state such as in Machang, Kota Bharu, Tanah Merah, Bachok, Tumpat,
Kampung Baru, Bangi and many more. Usually, all matters from the branch
will be forwarded to headquarters for a full assessment, after which the
consumer will pick up at the nearest branch. The opening of this branches can
make it easier for customers to use the services of this company anywhere
without having to go to the headquarters. in terms of venue selection, the
company chooses areas that are strategic and far from other competitors. This
is because by this way they can captured new customers and create
relationships with them. With the increase in the number of customers, it helps
in increasing the profitability of the

• Charity work
Apart from doing business, the corporation is always involved in charity
activity to support those who are less fortunate. They would like to share their
business's results with others. As a Muslim they are believe by giving, Allah
will increase wealth, sustenance and grant success in life and hereafter. The
project is handled by the boss himself as a personal branding because it can
show how capable we are as a leader and among the items distributed are rice,
vermicelli, milo, wheat, biscuits and oil. In addition, there are also some
individuals who want to donate by handing over a sum of money to this
company to be distributed along with other necessities. This is seen to open up
great opportunities for company because it helps to gain more trust and respect
from others which lead to increase the company’s performance

• Good relationship with the top management


Ms. Azian is a well-known individual who enjoys positive relationships with
everyone, particularly with the people in her village. Encik Azman, who
happens to live in the same village as him, is a member of the JPJ's top
management, which is a lucky coincidence. As a result, in the event of an
emergency involving JPJ matters, Ms. Azian will contact him immediately to
ask for help. It is always able to fix emergency cases like this with his guidance.
Customers are also pleased with the swiftness that this company answers to
their needs. This demonstrates that this company has a great opportunity to
accelerate in the future as a result of this positive relationship.
THREATS

• Competition from larger or more advance companies


In the business world, there is a lot of competition. There are numerous insurance
agents in Kelantan who provide the same service. This will increase competition
among businesses. However, this competition can be overcome by providing the
best service, quality service, at a low cost and at an affordable price. Yan Berkat
Agency provides low-cost services that are of high quality. As a result, it can
assist the poor. Even if their wages do not rise, the poor can afford more with
their income, and their quality of life can improve. Furthermore, Yan Berkat
Agency has advanced technology such as a Myeg machine, which is used to
immediately prepare road tax. This is thought to help reduce competition from
other businesses. Competition in Kelantan may provide several benefits to the
business sector. Competition, for example, encourages businesses to keep
inventing and improving productivity in order to be efficient and successful.

• Employee malpractice
The Company had a setback in 2016 due to the death of Mr. Azian's (Yan)
father. It greatly left an impression on Yan and the whole company because his
father was one of the members in the company as well. This to some extent
affects the development of the company because everyone is still in a state of
shock especially Mr. Azian himself. Because of the company's instability, one
of its employees, commit treason by seizing the company's money and property
and using it to open his own agency that located not far from one of the Yan
Berkat Agency’s branches. This started due to a misunderstanding going on in
the workplace. Mr. Azian was unable to do anything at the time due to the
predicament he was in, and in the end, he simply dropped the case because she
did not want any additional problems to arise.

• Pandemic covid 19
Since the outbreak of this covid 19 pandemic, the company has been suffered
many losses due to the loss of many customers. This is because, people are very
afraid to meet face to face for fear of being infected by this epidemic. Monthly
sales of the company have decreased significantly over the last few months.
This is extremely concerning because the company may be on the verge of
bankruptcy. The situation worsened even more when the government
announced the closing of district boundaries. This caused many company affairs
to be disrupted. The company's growth was so slow at the time that wages had
to be reduced.
3.0 MAIN ISSUE OR PROBLEM

The development of the company so far is seen to be very good and running
smoothly. But companies need to take note of some of the weaknesses identified that
may affect the stability of the company in the future. based on the observations made,
there are 3 aspects that need to be improved, among them are:

3.1 Weak filing system

Many positive aspects can be found in the strength of the Yan Berkat Agency
and the services it provides. The filing system, on the other hand, continues to be
unmanageable. Files are not organized in a logical manner, and some papers are not
filed at all. Furthermore, because they use manual document filing, they do not have
any backup files saved on the computer for any of the documents they create. An
interview conducted with one of their employees revealed that this issue has the
potential to disrupt the smooth operation of their business, particularly when searching
for customers' documents, because it will take time to locate them, and customers will
have to wait for a period of time before receiving their documents. Sometimes,
customers need to go home first to give staff time to find the document and avoid
customers waiting too long. Both customers and employees may become annoyed as a
result of this. The fact that they must spend so much time dealing with a paper file
system has a negative impact on overall productivity. . Manual document filing may be
beneficial for a small business, but as the company grows, it may become detrimental
to the company's development and success. One of the drawbacks of using manual
document filling is that it takes more time. If this trend continues, it will have a negative
impact on the company's reputation and may even result in the loss of customers who
are dissatisfied with the way their information has been handled.

3.2 Do not have an established website

Another issue that these businesses face is that they do not have a well-
established website through which to market their products and services. They simply
rely on social media sites like Facebook. Even though Facebook has many features that
can assist businesses in promoting their products and services, this is still insufficient
because Facebook will almost certainly experience some constraints and unavoidable
problems, such as maintenance. Maintaining a Facebook page is a time-consuming
process that requires considerable effort. Customers' questions and complaints must be
addressed as quickly as possible by staff. However, Yan Berkat Agency does not have
a dedicated website management team, which results in a slow response time from the
company's employees. Despite the fact that they used Facebook to promote his
company, they do not consistently update any company-related content on the social
media platform. Every day, branding should be carried out to ensure that a company
attracts the attention of the public and builds public trust in its products or services.
Customers may find it easier to place their trust in a company that is constantly updating
their customers on the company's developments. It appears that a lack of appropriate
Web design can be a major setback for a growing or even established company. If a
company does not have a website, it will miss out on the opportunity to communicate
with its target audiences. You can certainly start a business without having a website.
However, without a website, it will be extremely difficult to stay in business. It may be
too late to save what you've built by the time you realize you're sinking.

3.3 Do not have appropriate garage to store vehicle.

Yan Berkat has a great number of automobiles parked in front of his office.
These vehicles are either customer vehicles, employee vehicles, or vehicles available
for rental. The issue here is that they do not have a properly constructed and secure
garage to store their vehicles. Vehicles such as motorcycles are only locked from the
outside with chains, and cars, vans, and lorries are only locked from the inside with
keys. They do not have any additional security measures in place for the vehicle. This
is extremely dangerous because it has a high likelihood of being stolen. Prior to this,
there was a case of car theft, which has not been recovered to this day, but fortunately,
the vehicle does not belong to the customer. Additionally, vehicles that are not kept in
a garage will be subjected to morning dew, rain, and heat, all of which will hasten the
rusting of the metal. When this happens, it will be very expensive to repair it again.
Maybe the majority of us don't actually care about it, but companies like this that
manage customer vehicles and vehicles for rent need to take action in order to
demonstrate their commitment to providing quality service.
4.0 SUGGESTION FOR IMPROVEMENT

4.1 Digital filing system.

According to what we've seen so far, manually saving files causes numerous
issues. In order for the company's operations to run smoothly, the company's
management must take the initiative to address the problem in question. When it comes
to file management, a digital filing system is an excellent choice. This electronic filing
system is a cutting-edge technology that can be used to store virtually any type of
information. The advantage of utilising this system is that it is cost-effective. Since it
is a digital filing system, file management systems are extremely cost effective.
Whatever type of document needs to be stored as a paper copy can be stored in a digital
format instead. As a result, there are no costs associated with building rents, purchasing
cabinets, or printing physical documents. Furthermore, this type of management allows
for a significant reduction in the amount of space that the office needs to accommodate
the documents.

Besides, the level of security provided by a file management system can not be
matched by the traditional method of archiving files and storing them. In fact, one of
the reasons that many organisations prefer to use a file management system is the
security it provides. It is able to secure the documents stored in the file management
system by utilising authentication methods such as a username and a password. Aside
from that, all the data is encrypted, which ensures that the document remains
confidential. Moreover, another advantage is in terms of reliability. The data that is
stored in a file management system is far more reliable than the data that is physically
stored in files and folders on paper. At least in comparison to traditional methods of
storing data, files stored on this server are much less likely to be damaged or destroyed.
When using a file management system, you can completely avoid any damage caused
by nature or human handling. All the information pertaining to the users is stored on
the servers. The users can therefore rest assured that their documents are protected from
any potential damage.

There are also disadvantages to this digital filing, but it is not a major problem.
Among them are such terms as "redundancy". Redundancy occurs when the same
information is found in multiple locations. In this case, memory wastage may occur,
resulting in higher storage costs. Next is inconsistency. File management system data
access is not simple. It is inconvenient. A user must run a special programme to access
information in various ways.

4.2 Provide an established website

Marketing a service or product requires a dedicated website, in addition to social


media. They can use a corporate website. This website displays company information,
products, and services. This website will show the company's ownership, organizational
structure, and services. Customers can read the information listed. To use the service,
they can contact us using the information provided or may go directly to the address
listed. You can also use the Minisite. Minisites or sales letter pages are a great way to
increase a product's market. Minisites usually have 1–2 pages. This one-page website
aims to provide as much information about the products as possible. This website helps
customers make decisions to buy more easily. This is because all the information
customers are seeking is here. The more information we have, the more expertise we
seem too. Also, the blog website is very useful. A blog is used to share information
about businesses, products, and events. Prospective customers can learn a little about
your company and business by reading the company's business blog. Having a business
blog is one of the great content marketing strategies for a company.

At the same time In order to manage the company's website, the company must
assign employees or create a schedule for them. This is done in order to avoid
overlooking customer inquiries and to ensure that the website is constantly updated if
any changes occur so that it can serve as a reference for customers.

It is one of the many advantages of having a website that it allows you to market
your company on the internet. A website is also important because it contributes to the
establishment of a company's credibility. The majority of websites include a map and
driving directions to the company's shops or offices to make it easier for visitors to find
their location. Another important aspect of creating a website is that you have the
opportunity to represent your customers, explain why they should trust you, and provide
testimonials and facts to support those representations and opportunities. People these
days are both busy and intelligent. They are unable to visit the store due to a lack of
time. It is their practice to research products or services on the internet before making
a purchase. Through your website, they can learn about the brand, features, price, size,
and color of the product.

A positive word-of-mouth campaign for your company can be effective if you


provide a good service or product. A website not only gives credibility to your
company, but it also contributes to the positive impression that your organization is
larger and more successful.

4.3 Provide automatic garage door

Making a garage that uses automatic doors is not something that is cheap. it will
cost a lot. However, it has the potential to provide our vehicles with a high level of
security. One of the advantages of using this automatic garage is it is very convenient.
Nowadays, it's rare to come across a garage door that isn't powered by a motor. One
advantage of having a garage with an automated garage door is that it is extremely
convenient to park in. Instead of fencing your property and installing a gate that you
must manually open and close. These garage doors can be opened and closed from both
the inside and the outside of the garage. Even if you're in the car, you can use your
remote to open and close the door without having to get out of the vehicle.

Next is it is very high security. In contrast to a manual garage door, these


automated devices include a variety of additional features that make them stand out.
Electric garage door will serve you best because they will provide adequate security for
your vehicle. The vast majority of garage door are equipped with rolling codes. Every
time the remote button is pressed, they change, making it difficult for any intruder to
gain access to the garage and steal valuables. Every year, at the end of the year, the staff
members will take a vacation to de - stress and relax. As a result, they can put their
property into vacation mode by using an automatic garage door. it is a useful feature
that prevents the use of the remote controls while away. The garage doors can only be

Last but not least, it safe. The digital openers use cutting-edge technology. It
has sensors and other tools to work quickly. It is easy to use, requires little power, and
is suitable for the whole staff member. But using automatic garage is require complex
maintenance. Electric garage doors require more maintenance than manual garage
doors. They must also be properly maintained if they are to last. Besides, installing an
electric garage door vs. a manual is challenging. So, need an expert to guide you through
the process.
5.0 CONCLUSION

This case study is conducted to identify problems that occur in a company.


Based on the analysis conducted on the Yan Berkat Agency company, several problems
were identified that needed to be improved. Among them is the weak filing system.
They use a lot of manual filing and do not practice the use of digital filing system. This
affects the productivity of the company. In addition, they do not have an established
website. They only rely on one medium to market their products, which is that they use
Facebook. there are 3 websites that can be used by this company to further expand their
market, namely corporate website, Minisite and Blog. Lastly. These companies do not
have appropriate garage to store vehicles. and They do not have any additional security
measures in place for the vehicle. this will increase the risk of theft. Fortunately, the
