Executive Summary
Communication is simply the act of sharing our feelings, thoughts and ideas with others. It is not
about only sharing but we also need to understand the feelings, thoughts and ideas we are
receiving from others as well. Communication is a very crucial factor for any kinds of business
sectors. For any businesses or organizations, effective communication is needed to run a business
smoothly. We are living in a competitive world and to sustain in this competitive market, it is
necessary to have a strong and effective communication system.

In our report, the company we have chosen is McDonald Steel Building Products Limited
(MSBPL). Our purpose statement is to identify and research the complete communication
system of MSBPL. In order to conduct the research we have gathered primary & secondary data.
We have taken an interview of Mr. Md. Abid Hossain to gather primary data. We have also done
an extensive analysis of their communication system. We have tried to find both internal and
external communication tools in our research. Moreover, we have also taken into account the
interpersonal communication systems among employees. After doing this research, we have
found some limitations and also provided few recommendations for the organization at the very
end.

Introduction
The steel industry is one of fastest growing industrial sector in Bangladesh. This industry
gradually developed the growth of steel in many potential sectors like shipbuilding, construction
and real estate. According to local steel manufacturers, Bangladesh consumes 4 million tons of
steel per year. The growth is predicted to continue in the future because of the government's
increasing spending on bridges and other major projects that will require the key construction
material. Bangladesh is investing heavily in infrastructure development, especially in power
generation, highways, bridges, buildings and telecom. So, all of this is creating a solid
foundation for the emergence of a strong steel sector. A pre-fabricated steel structure is now
being used for different purposes such as setting up factories, multi-storied buildings, power
plants and bridges. McDonald is the pioneer in pre-engineered steel building construction in
Bangladesh, experienced in Pre-Fabricated Steel Buildings for more than two decades. Mc
Donald provides state-of-the-art technology, industry expertise, high quality support services and
after sales services. As the steel industry is growing McDonald constructed over 500 steel
structures of different nature and size. McDonald has been serving a wide range of National &
Multi-national clients located in all around of Bangladesh. Moreover McDonald main objective
is to serve the best quality steel. They have 500 professional employees with 15 branch offices
and warehouses. McDonald successfully completed many projects. Their big projects are
Lafarge Cement warehouse, Jamuna Resort. They are also working with Dhaka Metro Rail
which is under construction now.

Company Overview
McDonald Steel Building Products Limited (MSBPL) is one of the well known steel
construction company in Bangladesh. In 1998 McDonald started its journey. McDonalds provide
quality steel products and played a vital role in developing Bangladesh’s infrastructure.
McDonald works with world class machinery and skilled employee. McDonald Steel
acknowledges unparalleled greatness in helping Bangladesh's development story in pre-
engineered steel building development. MSBPL is related with many projects like power plants,
multi-storey building construction, bridges, aviation hangars, etc. They are keeping pace with
quick advancing development systems in order to do elegant work with good speed and cost.
McDonald incorporates automatic fabrication lines from Peddinghaus Corporation USA,
Corimpex, Italy and Lincoln, USA and many other international brands. Giving the best quality
is their commitment and they guarantee the best quality equipment for the steel construction.
They use best quality products from Japan, Luxemburg, China and India. McDonald give quality
steel solution and they successfully completed 800 projects in Bangladesh. A new Joint Venture
Company named as “Nippon & McDonald Steel lndustries Limited [NMSIL]’ has been formed
under the agreement between McDonald Steel Building Products Limited [MSBPL] of
Bangladesh and Nippon Steel & Sumikin Bussan Corporation [NSSB], Japan. On the other hand,
NSSB is the core trading company of the Nippon Steel & Sumitomo Metal Corporation Group,
one of the world leading steel manufacturers. MSBPL focuses on safety. They religiously follow
international safety codes in their structural design. They also ensure industry standard safety
measures in their factory.

Vision: To sustain the leadership in pre-engineered steel building products in Bangladesh and
upgrade the industry through our state-of-the-art technology, industry leading expertise and high
quality support services.

Mission:

 To continuously find ways to improve overall industry performance.


 To have respect for and understanding of the people with whom we work.
 To maintain a high level of integrity and open communication in all our relationships.

Areas of Research
The company we have chosen is McDonald Steel Building Products Limited (MSBPL). Our
purpose statement is to identify and research the complete communication system of MSBPL. In
order to conduct the research we have gathered primary & secondary data. We have taken an
interview of Mr. Md. Abid Hossain to gather primary data through these findings. With the help
of all these data findings, we were able to do an extensive analysis on their communication
system. We have considered dividing our research into three areas.

Communication Tools: We wanted to explore what communication tools MSBPL are using. In
this section, we categorized their internal & external communication tools. How they conduct
their interpersonal communication among employees?

Communication Process: This area is all about what process they use to communicate. To
conduct a formal or informal communication whether for internal or external, what are the steps
they go through?

Limitation: There can be so many limitations in a company like MSBPL. We wanted to identify
the flaws and give recommendation.

Research Methodology
We have chosen MSBPL for our research to find out their internal and external communication
procedures and problems. For the research, we prepared a purpose statement with the subtopics.
To analyze the result we conducted primary research and used secondary data.

Primary Research:

We have used qualitative method to do our primary research. This method is quantifiable and
easy to analysis. This company import their main products and then give supply to their buyer.
We wanted to identify what limitations they face during this buying & selling process.

For internal communication, we have talked to Mr. Md. Abid Hossain to know about their
communication process with their sub ordinates. How they deliver their massage to upper level
managers?

For external communication, we have taken an interview of Mr. Md. Abid Hossain he shared his
valuable knowledge upon it and identified some of the limitations they face during
communication.

Secondary Research:

We have collected some of the data already processed about the company. We considered
different sources of data. For the secondary research, we used the company’s websites along with
some other websites

The major secondary sources we used for the report are

 Company’s website
 Advertisements
 Blogs
 Newspaper articles

Even though we found very limited number of secondary data but both of the research helped us
to allocate as much information as we needed.

Communication with Stakeholders


Of all the information we gathered, we decided to categorize those information in three areas in
which we are going to do our research. Those are:

 Communication process
 Interpersonal communication among employees

Communication can be of two types.

 Internal communication
 External Communication

The internal stakeholders of McDonald Steel Building Products Limited (MSBPL) are

 Employees
 Owner

The medium of communication Process for these stakeholders are given below:

Communication between employees: Employees of MSBPL use telecommunication and E-


mail for communication. Descriptions of these are given below:

1. Telecommunication: This is the most commonly used medium of


communication for the employees of MSBPL. They use telecommunication to
talk with other employees of the organization. There is an amount assigned for
each employee for telecommunication purpose by the organization.
2. E-mail: This is actually the formal way of communication for the employees of
MSBPL. Employees use this to send any formal message to their supervisors.
They use e-mail to send any types of file to their fellow colleagues.

Communication with Owner: Employees of MSBPL use Telecommunication and E-mail for
communicating with owner.

1. Telecommunication: Employees of MSBPL use telecommunication to talk with the
owner. The owner is the Managing Director of the Organization. A few selective
employees need to talk with the owner. For this purpose they use telecommunication.
2. E-mail: Whenever employees need to send a formal message to the owner, they use E-
mail. If the employees need to send any file to the owner, they use this medium. Their e-
mail domain is @mcdonaldbd.com.

The external stakeholders of McDonald Steel Building Products Limited (MSBPL) are

 Supplier
 Government
 Supervisor Firms

Communication with suppliers:

 Skype for business: Skype is a video chatting software and it’s free. But Skype for
business is premium software with loads of additional features. The company has
supplier from China, Japan and Korea. As the project directors need to talk with
suppliers, they need to use Skype for business to conduct a meeting. By using Skype
for business, they get many benefits. They can do screen share using Skype. When
the meeting is happening, they can also take notes, minutes and send or receive files
using Skype. They can show the notes, minutes of a meeting to the other party using
the screen share option. This software is basically used by the employees who are
related to any ongoing project.
 Telecommunication: This is the most commonly used medium of communication
for the employees of MSBL. If the employees need to talk to suppliers they use
telecommunication. This is the widely used medium of communication for MSBL.
 E-mail: This is basically the formal way of communication for the employees of
MSBL. They need to give them order for supplies every now and then. By using e-
mail, they contact with the suppliers and give them the order. Their e-mail domain is
@mcdonaldbd.com.

Communication with Government:

 E-mail: Government is one of the major stakeholders as the company is working on the
Metro Rail Project. When the Government needs to know any update or information
about the work, they ask through E-mail. This is basically used for the formal purpose.
 Telecommunication: If the employees don’t need to send any formal message, they use
telecommunication. Telecommunication is used to let the people from Government to
know about the progress or any issues about the Metro Rail Project.

Communication with Supervisor Firms:

 Telecommunication: The company has to talk to the supervisor firms of Metro rail
Project. Telecommunication is the most used medium for this purpose. Any problem that
arises on the sight, they communicate through Telecommunication.
 E-mail: While taking any orders from the supervisor firms, E-mail is used. This is
basically the formal way of communication for the company with the supervisor firms.

Interpersonal Communication among employees

McDonald Steel Building Products Limited (MSBPL) maintains hierarchy in their office.
Instructions draw down from top level to lower level of the organization. The company
maintains hierarchy while providing room for single person. People who are in the superior
position has their own room in the office. Employees don’t have any room for themselves but
they have cubicle. The analyses of communication of employees between themselves are pointed
out below:

 The relationship between the employees of MSBL can be seen as friendly. They keep in
touch with their fellow colleagues and maintain moderately close relationship.
 Although the relationships between the employees are friendly, the company strictly
maintains a hierarchical order. Every employee has access to the office of CEO but only a
selective few can enter into the office of Managing Director.
 The employees who sit in the cubicles, they can have a chat with one another whenever
they want, because they are actually a partition away from each other.
 They have a meeting room where they only conduct meetings and only a handful of
employees can enter that room.

 There are some fourth grade employees such as peons. Communication with them is
normal and verbal.
 The fourth grade employees get respect they deserve.
 Once a week, the company provides lunch for everyone in the office. At that time, all the
employees get together and have chat with each other.

Limitation
Communication issues and challenges are very common scenarios in every organizations. One

cannot find an organization where they are not facing communication issues. There are some

factors like nature of the business, organizational culture, geographic dispersion and size and

complexity which can impact directly to any organizations communication system. While we

were taking the interviews from the Senior Marketing Engineer & Project director of McDonald

Steel Building Products Limited (MSBPL), we were trying to find out the overall limitations of

their communication system. The possible limitations that we found has been given below –

1. Less interaction with top management: McDonald Steel Building Products Limited

(MSBPL) organization maintains a hierarchical order. As a result, employees of their

organization cannot interact directly with their managing director which creates

communication gap in case of interaction. So, employees cannot get proximity with top

management.

2. Difference in opinion:

People used to have different thoughts and perception in their organization which leads to

individual thinking and working alone instead of working in a group. This creates

problem since working as a group is more effective.

3. Less access in meeting room:

They have a meeting room where they used to conduct meetings and take important

decisions. But only a handful employees have access to the meeting room. Sometimes,

this causes objection from the employees and they are very dissatisfied about it.

4. Expectations are not clear:

As they are strictly following a hierarchical order, the communication process is not

smooth. So, the expectation from the top management to their employees cannot be seen

as clear as they do not discuss expectation with them directly. As a result, employees do

not have clear goals.

5. Disadvantages of oral communication:

In case of oral communication, important information can be distorted or missed any time

by any of their employees. This will create misunderstanding and confusion among

employees sometimes which can effect in the organization at large.

Recommendation
As we noted some issues regarding their overall communication system, here are some
recommendations for McDonald Steel Building Products Limited to tackle the challenges they
are facing:

 McDonald Steel Building Products Limited has a problem which is the interaction
between the employees and the top management is very poor. Employees need to be
more interactive with the top managers. They need to discuss about their problems, works
with their bosses. It will make the relation between the managers and employees good
and the interaction problem will be sort out.
 They need to work as a team. By doing this it will help them finishing more tasks.
Because if they do a work as a team it will make their work easier.
 It is always better to take a decision together rather than taking it alone or some specific
person. Because two or more head is better than one. So the company needs to give
access to other employees to the meeting room.
 Top managers do not talk or discuss to their employees directly. This impacts a lot to
accomplish the goals of the company. So the top managers should remove the barrier and
talk directly to their employees. This will help them understanding the goal and
expectations.
 Last thing we can recommend is to change their oral communication system. Because it
creates a lot of misunderstanding. They can use email, memos instead of oral
communication. It will make everything clear and there will evidence of what other told
them.

Conclusion
Finally we can conclude that all of the research that we have done about McDonald Steel
Building Products Limited, it has been a wonderful experience and in enriching our insights
about communication in an organization. Since, McDonald Steel Building Products Limited’s
communication system was not among the best in the industry, they have rooms for
improvements. It would be beneficial for them if they execute some steps included in our
recommendation section. It will help them in strategizing their business as McDonald Steel
Building Products Limited is one of the largest Steel industries in Bangladesh and it has earned
the reputation of the best steel industry of Bangladesh and has been successful in keeping its
name alongside its competitors.
