Scenario
You are working for a medium sized furniture manufacturer based in regional Victoria. A recent audit has found
that the organisation is not compliant with a number of government legislations. The four (4) members of the
meeting will include the CEO (Chairperson of the meeting), Human Resources (HR) Manager, Marketing
Manager (and Finance Manager if you have a group of four). This meeting has been scheduled to discuss the
relevant legislation and regulations from the Australian government that affect aspects of the business
operations. They are:

 Anti-discrimination legislation
 Ethical principles
 Codes of practice
 Privacy laws
 Copyright
 Occupational health and safety (OHS) legislation, (or WHS in all other states outside Victoria)

Task 2.1

Each student in the group will select a different topic from the above list and will take turns chairing the
meeting with the topic that they have chosen. Each meeting should take at least 10 minutes and be concluded
within 30-40 minutes depending on the number of participants. You can discuss and make up any areas of non-
compliance but you must do research prior to the meeting and use the correct legislation and information
affecting a medium sized furniture manufacturer in Australia e.g. use of forklifts (OHS), employment policies
(anti-discrimination legislation), etc. In each meeting, one student will play the role of CEO (Chairperson of the
meeting) while the other students will play the roles of Human Resources (HR) Manager, Marketing Manager
(and Finance Manager). Students will then swap roles with a new student taking over the role of CEO to
conduct/chair the meeting. Additionally, each student must take turns in taking the minutes of the meeting
which they will then need to submit as part of their assessment. To make this meeting as realistic as possible,
you can create topics where participant discussion, problem solving and resolution of issues can occur. Ensure
that you develop the agenda for your section of the meeting and email it to participants (other students in your
group) as well as the assessor at least 48 hours prior to the scheduled meeting. Prior to the meeting you are
required to brief the other students in your team on their roles at the meeting e.g. Human Resources (HR)
Manager, Marketing Manager and Finance Manager and minute taker. This is an individual assessment and
you will all be assessed on your ability to prepare for meetings, conduct meetings and follow up meetings.

You are required to reflect on the meeting you chaired in the PART ONE and write a report (a maximum of 100
words each) about the meeting with particular focus on the following:

REPORT

1. How the meeting was chaired, what organisational requirements needed


to be taken into account (if any)

Answer:

The meeting started at 10.30am and was conducted in a timely manner allocating
a time frame for each topic to make sure the meeting was run smoothly.
As the organisational requirements outline that everyone should be treated
equally with their thoughts and opinions, I, the chairperson made sure that
everyone followed this by making sure everyone had the chance to speak and
everyone listened to others.

Though the mobile phones were allowed into the board room no recording was
allowed and non-disclosure agreements were signed with all participants at the
end of the meeting as for the information discussed during the meeting.

2. How the meeting was conducted and progressed under your leadership.
Discuss particularly team focus, time efficiency and achieved outcomes.

Answer:

The meeting was held on the 13th of February 2021 in the board room. The team
focused on 6 main points which were the findings of the recent audit.

Each department head was given the chance to speak during the meeting and to
focus towards one or few of the points by bringing in their thoughts. The meeting
was conducted in a timely manner where 15 minutes were allocated for each
topic.

The meeting was a success as it was concluded with all attendees agreeing to the
action items which was the training plans for health and safety, anti-
discrimination awareness and reorganising of company and customer information.

3. Include what was done to allow for participant discussion, problem


solving and resolution of issues

Answer:

Everyone introduced themselves at the beginning of the meeting and as we had 6


points to be discussed during the meeting, I allocated time for each topic and

on the matter giving each person a chance to speak.

As the meeting was and open discussion, everyone was allowed to ask questions
during the meeting and engage with each other rather than leaving the questions
to the end.

4. What details you briefed the minute taker on regarding how you wanted
the minutes of the meeting recorded.
Answer:

I met with the minute taker before the meeting and informed him on the following
areas on how I needed the minutes to be recorded.

- Location
- Chairperson
- Participants
- Each discussion point and the person which it was brought up by and the
action and follow up items if any for the particular point.
- I briefed the minute taker on what to expect from each person as I had
allocated topics for each department head and how they will come with their
opinions towards the discussion.

Assessment Task 3

Scenario
ABC Company conducts their annual business planning meeting on Tuesday, 24 November commencing at
9.30am and finishing at 4.30pm. This meeting is generally conducted at some external venue in Melbourne.
They are expecting 15 participants in the meeting. Two of the participants are coming from interstate (Sydney
and Adelaide), whilst one participant will participate via teleconference from Perth. The ABC Company meeting
policy states that the annual business planning meeting starts with a CEO presentation followed by discussion
on agenda items in the pre-lunch session of the meeting. The CEO will show a PowerPoint and talk on the
achievements of the year and future strategic direction of the company. Lunch will be catered for by the
external venue. The post lunch session is usually a presentation from a guest speaker. In this year’s meeting,
the guest speaker is from the USA and is expected to show a video and talk on innovative products for two
hours followed by discussion. In the afternoon, participants will divide into groups to develop ideas and
consider their strategic needs for the upcoming year.
