This is to inform all II, III, IV and V Years of all other programmes students (except II
Year and III Year B.Tech) that, in view of the commencement of the physical classes
from 31.01.2022 as communicated by the Additional Registrar, the procedure for hostel
room booking are given below. The Hostel and Mess Fee structure (applicable for the
period between Feb, 2022 and May, 2022) is also enclosed.

ONLINE ROOM ALLOTMENT FOR UG II YEAR STUDENTS

1. Outstation students (residents beyond 60 km radius from campus) will not be


permitted to stay as day boarders unless parents stay with them. If the parents decide
to stay with the students for the entire semester locally, then prior permission will have
to be obtained by the Students from Director, Students’ Welfare
(chennai.directorsw@vit.ac.in) in person by meeting him along with the parent.
2. Students will NOT be allowed to vacate the hostel and stay as day-boarders during
the course of study.
3. Students should produce the hard copy of the vaccination certificates (both the doses)
and RT-PCR negative test report generated within 24hours prior to your travel,
failing which individuals will not be permitted to stay at hostels.
4. Students can report to the hostel on or after 30.01.2022 along with the Hostel fee
payment receipt.
5. Strictly follow pandemic norms and plan to reach hostel between 7 am and 7 pm only.
6. Considering the current pandemic situation, maximum of TWO PERSONS only can
accompany with the student till the hostel block entrance to drop the student at the hostel.
Hostel Room Booking Procedure

7. Hostel room allotment will be done through ONLINE mode. Allotment process will be
enabled through VTOP (Student Login). Link will be enabled from 10.01.2022 to
12.01.2022.
8. Room allotment is based on FIRST COME FIRST SERVED BASIS upon payment of
Hostel and Mess fee. If Full Hostel and Mess fee payment is not made within the
same day, the registered room and mess type booked online will get cancelled
automatically.
9. Rooms will be allotted randomly (by system) based on the room type / mess type /
payment time. The details of your booked Room No. & Mess type can be viewed in the
VTOP Student Login from 24.01.2022 onwards.
10. Hostel and Mess Fees are applicable for the period between February 2022 and
May 2022. Based on the room and mess type chosen, fee will be displayed in the
VTOP room allotment portal for payment.

Steps to be followed through student login (VTOP) for online room booking

Step 1: Under Hostels Menu -> Online Booking, select the preferred Room type and Mess
type. This process will be made available between 09:30 AM and 09:30 PM only, during the
room booking period (10.01.2022 to 12.01.2022).

Step 2: Ensure that you select the available room type and mess type and make the
payment before 11.59 PM on the same day to confirm the registration.

NOTE: If full fee payment is not made within the same day, the registered room and
mess type chosen through online will get cancelled.

Step 3:

 If fee receipt is not generated, but the amount gets debited from your account, login again
after some time on the same day to get the possible update on the transaction in your
payment login.
 In case, the receipt is not generated after 24 hours of payment and for any technical
issues during payment, please send email to chennai.sdc@vit.ac.in
 For issues related to payment gateway or bank transaction, kindly contact concerned
bank representatives.
 On successful payment of Hostel fees Online (which includes both Room and Mess
charges), the allotment of the room gets confirmed immediately.
 In case of any technical problems during online payment you are requested to logout and
login again after sometime to get the updated status. In such cases, based on the
transaction report your room choice will be considered.

Essentials: If you need Mattress, Pillow, Bed Sheets / Bed Spreads, Bucket, Mug, Lock-I
for the cupboard and Lock-II for the room (For shared accommodation the room lock should
have as many keys as the Number of sharing occupants. Hostel staff will guide on buying the
Lock-II, for the room based on the type of room). The said items are also available in the
shops near the hostel blocks. Students should also bring two recent passport size photos
and submit to hostel authorities.

The causation deposit and admission processing fee is not applicable for the
existing Hostel students.

NOTE: Joint hostel affidavit (in non-judicial stamp paper of Rs. 20/-) consisting of
Personal Security Bond and Local Guardian details (if preferred) is to be submitted by the
student duly signed by the parent / guardian on the day of reporting to the respective Block
