Genesis of the Bylaws

The sole purpose of the bylaws is to ensure a smooth and effective functioning of the
constellation. It serves as a guide during elections, nominations and solving disputes
between parties (if any). The constellation is expected to abide by the bylaws and ensure
that any change in the bylaws is/are properly documented at the end of every academic
year.

The following is the timeline of the bylaws.

 2020-21: The first edition of bylaws were laid out


 2021-22: The second edition of bylaws were laid out

Associated Terms
The SIBM-H Student Body consists of:

1. Student Council – A formal association consisting of the President, the Vice


President and thefour vertical coordinators.

2. Committees – A formal association which work in coordination with the


universityguidelines and conduct activities as specified. It is headed by the
committee head.

3. Clubs – An informal association dedicated to a particular activity and is headed by


aclub head.

4. Teams/Cells/Centres – A formal association that provides assistance towards the


different functions of the institute and helps in achieving a common goal.

5. Constellation – Association of all the club/committee/team/cell Heads and the six


council members.

Name of the vertical Role of Vertical Coordinator


Academic The Academic Coordinator and the respective academic
clubs work cohesively to carry out engaging and stimulating
activities that foster knowledge and learning.
Administrative The Administrative Coordinator helps in establishing
connection with the administration of the college to ensure
that the best of the facilities are received by the students.
Co-Curricular The Co-Curricular Coordinator is responsible for the social
media visibility of the institute and getting sponsorships for
various events. In addition to it, he/she encourages activities
that add value to the life of people in the nearby villages.
Extra-Curricular The Extra Curricular Coordinator ensures that events are
organized for the students to awaken joy in creative
expression and knowledge sharing in form of Sports, Arts,
Photography and Cultural Events.

Council Chart

Work Load Distinction

1. Club/Committee/Team/Cell Head – Entrusted with the responsibility of carrying out the


functionalities of their department smoothly.

2. Deputy Head / Second-In-Command – Entrusted with the responsibility of assisting the


club/committee/team/cell head. Also, takes over the charge of the
club/committee/team/cell in absence of the head.

3. Club/Committee – Execution of concerned events followed by event reporting within 2


days of completion of an event, i.e, T+2 days

4. Student Council – Entrusted with the responsibility of acting as a bridge between the
Student body and the Management. It is deemed to look into the issues pertaining to the
student body.

Member Composition & Intake Capacity

1. At any point of time, if any 2 clubs/committees are merged, the higher number of
members from the merged clubs/committees will be selected as the intake capacity.

2. The unmerged clubs/committees/teams/cells will continue to function at their current


operating strength (mentioned in the table below) as long as the batch strength is 120.
In case the batch strength exceeds 120, the clubs/committees/teams/cells can intake
extra candidates proportional to the batch size. Refer to the table below to understand
the intake of candidates as the batch size increases.

3. Every club/committee/team/cell will have A Head and A Deputy Head.

4. A club/committee/team/cell may choose to have POCs for their respective verticals to


ensure smooth functionality but they will not be considered as deputy heads/vertical
heads.

5. A special provision is provided for inducting students who are specially-abled into
clubs/committees/teams/cells, provided a written explanation is sent to the Head of
Student Affairs.

Steering Committee
The Steering Committee would work to enhance the free flow of communication, improve
the coordination and the overall operational efficiency in the day to day working of the
constellation. The structure of the Steering Committee is given below.

Escalation Hierarchy
1. Any kind of behavioral, unprofessional, unethical or work-related issues can be reported
to the student council.

2. Depending upon the intensity of the issue, it shall be decided whether the matter will be
resolved by the council and the concerned parties or shall it be referred to the Discipline
Committee of SIU.

3. In case any student faces a personal issue with the fellow beings within the premises
which is sensitive to be disclosed to the council or any other regulatory body, the
student can reach out to the members of the Internal Compliance Committee (ICC) who
will then take action based on the intensity of the issue. The members of the ICC are
nominated by SIU.

4. In case of grievance, the student can reach out to the Student Grievance Redressal
Committee (SGRC) who shall take the required action based on the intensity of the issue.
The members of SGRC interviewed and nominated by SIU.

Election Rules

1. Voting is compulsory for Seniors and Juniors of a particular Club/Committee/Team/Cell.


Those members who are not on campus, can send their votes by filling a Google form
whose access will be granted to the Club/Committee/Team/Cell Head, the Deputy Head
and the Co-ordinator of the Respective Vertical.
(For Independent Clubs/Committees/Teams/Cells access of the Google form to be shared
with the Head, the Deputy Head, the President and the Vice-President).

2. The nominees are expected to provide a write-up to the head and deputy marking the
coordinator in Cc mentioning their plan of action if elected. Following that, they will
have to attend the pitching session/interview post which the results would be declared.

3. Once elected as a Club/Committee/Team/Cell Head, one cannot nominate themselves


for the post of Coordinator.

4. The elected Club/Committee/Team/Cell heads will get to nominate themselves only for
the post of President (P) & Vice-President (VP). In case any Club/Committee/Team/Cell
head is elected as the P/VP, the person with the second-highest votes will be
automatically selected as the new Club/Committee/Team/Cell Head.

5. Club/Committee/Team/Cell Heads will vote only if there is a TIE.

6. Once elected as a Coordinator, one cannot nominate themselves for the posts of
President and Vice President.

7. The President and the Vice President will exercise their voting powers as a single unit in
case there will be a TIE in the voting process of the coordinators.

8. Students who have resigned from the Club/Committee/Team/Cell or the ones who have
been removed from the Club/Committee/Team/Cell by the Head will not be eligible for
the election of the respective Club/Committee/Team/Cell.

9. If a member of a club/committee/team/cell has been removed as a part of the disciplinary


measure, then he/she will not have the voting/contesting rights.

10. In a situation where there is no candidate to fill in the position of a head/second-in-


command when either of them steps down, then the new head/second-in-command will
be decided by the Head of Student Affairs by consulting the respective coordinator.

Member Recognition

1. ALL the Heads and the Deputy Heads of different Clubs/Committees/Teams/Cells will
receive a Certificate Of Recognition to appreciate and acknowledge their contribution
towards their Clubs/Committees/Teams/Cells.

2. ALL the members of different Clubs/Committees/Teams/Cells will receive a Certificate


Of Appreciation to appreciate and acknowledge their contribution towards their
Clubs/Committees/Teams/Cells.

3. ALL the Council members will receive a Certificate of Excellence to appreciate and
acknowledge their contribution towards the institution.

4. Certificate of Excellence/ Recognition/Appreciation will NOT be provided to the


candidates under the following circumstances:

a) A former member who has resigned from the Council or any


Club/Committee/Team/Cell.

b) A former member who has been debarred from the


Club/Committee/Team/Cell.

c) A member against whom a disciplinary action has been taken.
