4.0 SUBMITTAL PROCEDURE

4.1 Submittal number


The submittal number shall be a unique number assigned to each submittal. Same
Submittal number shall be used for additional sheets for a specific item. The submittal
number shall include the Bid Package number, specification Section number, Serial
number and revision number as follows:

A B C D
A - Bid Package Number.
B - Specification Section Number
C - Sequence number, starting from 0001.
D - Revision number, the first transmission of a submittal shall be Revision 0.

4.2 Date of Submission


4.3 Submittal Code
Contractor indicates the purpose of the submittal by ticking the appropriate box:
a) Submitted for Approval
b) Submitted for Information

4.4 Bid Pack Number


4.5 Contract Number (if any)
4.6 Contractor’s Name
4.7 Submittal Title

4.8 Item number

A number assigned in sequence by the Contractor to a particular item.

4.9 Drawings, Specification or BOQ reference


The drawing number, specification Section number or BOQ item number for which the
submittal is required.

4.10 DESCRIPTION
a) Drawings: for Contractor produced drawings use the drawing number, revision
number and drawing title.

b) Manufacturer or Vendor drawings: use the drawing number, revision number


and drawing title.

c) Samples, guarantees, manufacturer’s data, catalogue cuts, certificates, tests
and documents other than drawings: use the name or description of the item
submitted utilizing the same descriptive terms as the specification, BOQ or
contract drawings.
d) Contractor shall forward only one item per Submittal. This will facilitate the
review, expedite the return of the Submittal, make it easier to track revision
and cross reference with material delivery, inspection and installation. For
example, cement test certificates shall not appear on the same transmittal as
aggregate test certificates. In some cases, several documents may appear in
column.

4.11 TYPE
a) SD - Contractor produced coordinated shop drawing
b) SM - Sample
c) GT - Guarantee
d) OT - Other (e.g. For Information)
e) CT - Certificates
f) TT - Test
g) MS - Method Statements.

4.12 Quantity of Submittals
The number of copies of each document to be attached to the Submittal Form.
Each Shop drawing, bar bending schedule, test, sample or calculation submitted
initially for approval must be issued only cover sheet to CSI/RES and attachments to
HLW.

4.13 Authorized Signature of the Contractor
The Signature shall be of a responsible person who in writing has been authorized to
sign on behalf of the Contractor and approved by the Employer.

4.14 Received Parties Signature


The Signature of the Engineer’s Representative staff receiving the Submittals on
behalf of the Employer i.e. KBZF, CSI/RES and HLW.

4.15 Comments
Comments by the Lead Design Consultant or Project Manager or KBZF resulting from
the Submittal review.

4.16 Action Code


Each submittal will be returned to the Contractor stamped or marked by the Architect /
Engineer or the Project Manager indicating the appropriate action as follows:
a) Action “A” means that fabrication, manufacture, supply or construction may
proceed.

b) Action “B” means that fabrication, manufacture, supply or construction may


proceed provided action complies with the Architect / Engineer or Project
Manager’s notations. If, for any reason, the Contractor cannot comply with the
notations, the Contractor shall make all possible revision, including and
explanation or reason for non-compliance, if applicable, and resubmit as
described for submittal stamped Action “C”.

c) Action “C” means that submittal does not comply with the Contract Documents
and that fabrication, manufacture, supply or construction shall not proceed.
Submittals stamped Action “C” are not permitted on the job site and are not to
be used. The Contractor shall make revision and resubmit.

d) Action “D” means that the submittal is issued solely for informational purpose
and that no further action is required on it.

e) Action “E” means that the submittal is returned without reviewing or


commenting it. It could be due to incompleteness or out of sequence
submission, or change in design criteria or material etc. which must be
commented by Engineer’s Representative clearly with the reasons.
4.17 Signature of the Engineer’s Representative

Signature of the Lead Design Consultant or Project Manager or KBZF.

4.18 Authorized Signature of the Contractor


The Signature of the Contractor’s staff receiving the reviewed Submittals on behalf of
the Contractor.

4.19 Date

Date of Signature showing day-month-year.

4.20 Copies received by the Lead Design Consultant’s Representative
As per requirements, the Contractor shall within a day of receipt, provide the Engineer
with 3 copies of the Submittals marked with the Lead Design Consultant’s
Representative’s comments. Copies for distribution shall be as stated on the Submittal
form.

For Action Codes ‘A’ and ‘B’, the Engineer’s Representatives shall receive the
Submittal Form with enclosures. For Code C, only the Submittal Form should be
returned. For material submittals catalogue copies, as required by the Lead Design
Consultant’s Representatives.
