 Introduction
Automatic Fire Suppression and Wireless Smoke Detection System of M/s
Ceasefire Industries Limited (herein after shall be referred as “Fire Suppression
System (FSS)”) is installed in Server racks of 24x7 working electronics &
security systems at SAC campuses viz. SAC Main Campus, Bopal Technical
Campus and New SAC Bopal Campus. SAC Main Campus is located at
Jodhpur Tekra, Satellite road, Ahmedabad while Bopal Technical Campus &
New SAC Bopal Campus are located at Bopal Village, Opp. DPS school, which
1.0 is at a distance of approximately 10 kms from Main Campus.

Fire Suppression System (FSS) consists of Automatic Direct Low Pressure Fire
Suppression Extinguisher, Heat Sensing tube, Hooter, HFC-236Fa Clean Agent
gas based portable fire extinguisher, Wireless Smoke Detection System and
other accessories.

The main purpose of this contract is to establish call based maintenance

contract for a period of two years.

2.0 Validity of contract (Yes/No)
The contract shall be valid for a period of THREE YEARS from

the date of Purchase Order.

3.0 Scope of maintenance (Yes/No)
This is a per call base contract for Preventive Maintenance as
3.1 well as Event Base Maintenance of FSS as per bill of material
under contract as listed in Annexure-I.
Bidder shall depute an experienced engineer to attend the

maintenance calls as and when call received from SAC.
Preventive maintenance of FSS
Bidder shall carry out preventive maintenance on call basis as
and when informed by SAC engineer. Preventive maintenance
3.3 shall include cleaning, replacement of consumable/s if required
and performance verifications of the system as per check-list
mutually finalized by OEM and SAC.
This work shall be completed within seven working days.
Bidder shall carryout event base maintenance which includes
breakdown call, shifting of system, supply & repair/replacement
3.4 of spare / consumable and to provide services to make the
system in working condition. The list of event base items are
listed in Annexure-II.
Breakdown maintenance of FSS
Bidder shall carry out breakdown maintenance on call basis as
and when informed by SAC engineer. Upon receipt of the
breakdown calls, bidder shall resolve the same within ten

working days. Breakdown call shall include diagnosis of the
system, finding out the faulty unit / component / accessories, etc.
and repairing or replacement with same or better specifications
to restore the system in normal operation. In case of replacement

 of faulty unit / component / accessories, etc., bidder shall resolve
the same within 25 working days.
Shifting of FSS
Shifting shall include dismantling and re-installation of entire FSS
from existing location to new location as directed by SAC
3.6 Engineer. Bidder shall supply and install the spare / consumable
as per site requirements on actual if required for shifting the
system.
This work shall be completed within 15 working days.

4.0 Payment & Penalty (Yes/No)
The payment towards call charges for preventive maintenance
and event base services (as per items in Annexure-II) shall be

made on actuals at the end of each quarter after satisfactory
services and due certification by the competent authority.
Whenever any FSS remains down for whatsoever reason, beyond
three working days from logging of maintenance call, penalty
4.2 equal to 3 % of call charges + charges towards spare and / or
consumables per day and maximum up to 10 % shall be deducted
from event base charges.

Limited only can bid the tender.
Bidder shall provide line by line compliance statement of all

requirements mentioned in this document.
Bidder shall clearly mention any deviation in separate sheet /
5.3 table with detail justification along with offer. SAC reserve the
right to accept or reject the same.
5.4 Bidders shall quote all the items as per Annexure - II.
All the charges under contract shall be fixed and firm during
5.5
entire contract period.
Bidder shall submit service support matrix which should include
5.6
name, address, telephone numbers and email IDs.
Bidder will take an approval from SAC engineer for replacement
5.7
of spare and consumables as and when required.
SAC Engineer shall be the focal person for all technical matters
5.8
relating to this contract.
Preventive maintenance call / Event base call will be informed to
5.9
bidder by phone / email.
Bidder is strictly not permitted to bring and use any electronics
5.10
gazettes like pen drive, dongle, mobile etc.
SAC has right to add or delete the similar item on pro-rata basis
5.11
at any time during the tenure of this contract.
Logistic support including transportation facility will not be
5.12
provided to bidder for attending the call under this contract.

 Utmost care will be taken by bidder while carrying out job and
5.13 ensure the safety of neighboring instruments or whatsoever of
SAC property.
In the event of the damages to SAC property or personal injury
5.14 to SAC / bidder engineer due to the negligence of bidder, the
responsibility will be solely of bidder.
Bidder will use their tool kits for fault repairs. SAC will not provide
5.15
any tools kits.
SAC will not be responsible for the loss of life of bidder engineer
5.16 at the time of performance of contract at SAC premise due to any
reasons.
SAC reserves the right to terminate the contract by giving one
5.17 month’s notice, without any financial implications on the part of
SAC.
