What is SPE?
Society of Petroleum Engineers (SPE) is the
largest individual-member organization serving
managers, engineers, scientists, and other
professionals in the upstream segment of the oil
and gas industry.

Who We Are?
SPE is more than 153,000 members in 143
countries participating in 203 sections and 411
student chapters. SPE’s membership includes
petroleum engineers, scientists, researchers,
safety managers and related professionals, and
more than 69,000 student members. SPE
maintains offices in Dallas, London, Dubai, Kuala
Lumpur, Calgary, Moscow, and Houston.

What is SPE Student Chapter?


SPE Student chapters are located around the
world and provide an operating framework for
society activities at a university level. Student
members elect officers annually. Each SPE
chapter is sponsored by an SPE section.

Our Milestone
SPE PEM Akamigas SC was established on 15
October 2017. Our Student Chapter is registered
in Java Section and also in Asia Pacific Region.
SPE PEM Akamigas SC consists of 5 different
majors in PEM Akamigas.

General Requirements
1. This recruitment is open for all passionate and highly-
dedicated active students in PEM Akamigas from all majors.
2. Only active students from batch 2018 and 2019 of any
major may register for being the board of SPE PEM
Akamigas SC.
3. The candidate must commit not to join other organization
besides SPE PEM Akamigas.
4. Enclose a professional style Curriculum Vitae (CV)
5. Enclose KADEP 2 Certificate (for Oil and Gas Production
students only)
6. Enclose Self Statement Letter (file is attached)
7. The CV and Motivation letter must be written in English and
must be in pdf format. For the style and written rules of the
CV are up to the applicant, but it must be a one-page
professional CV.
Motivation letter written rules are as follows :
 Words : 250-400 words
 Pages : A4
 Font type` : Times New Roman
 Font size : 12
 Spacing : 1,5
 Margins : Left = 3 cm, Right, Top, Bottom = 2
 Paragraph type : Justified
8. The recruitment process consists of three phases which are
administrative selection, interview session, and leaderless
group discussion (LGD). For being the board of SPE PEM
Akamigas SC, you have to pass three phases of recruitment
(administrative selection, leaderless group discussion, and
dee)

EXPLANATION OF EACH RECRUITMENT PHASE

1. Administrative Phase
In this stage, the recruitment committees will check the
completeness of the documents that have been submitted
and collected to the committees. We will also asses your CV
and motivation letter. So, in this phase you have to ensure that
you submit the required document correctly and timely. We
will also check your status (your batch, your position in other
organization, etc). If we find that you are not eligible, you will
be automatically disqualified.

2. Leaderless Group Discussion


This type of discussion is an exchange of opinions, ideas, and
information on a specific case by the members of a group with
no identified leader (leaderless). All of the members have the
same level. Such discussions are used in studies of group
productivity and leadership emergence to evaluate specific
interpersonal and leadership skills. This LGD could be in English
or Bahasa.

3. Interview
Interview can be defined as an attempt to secure maximum
amount of information from the candidate concerning his/her
suitability for the position under consideration. You may be
asked by the interviewer about your background, your CV,
your motivation letter, your experiences before, etc. The
interview session will be conducted virtually through online
video meeting. The interview could be conducted in English or
Bahasa.

EXECUTIVE SECRETARY

A secretary is a person who provides clerical and administrative support. An


executive secretary is a high-ranking position in the administrative hierarchy.
Executive secretary focus on external administration and responsible to
president.

GENERAL SECRETARY

A secretary is a person who provides clerical and administrative support.


General secretary focus on internal administration and responsible to president.

Job Description:

1. Internal letter
2. Meeting notes
3. Make a meeting agenda for one period
4. Make a timeline agenda of activities for one period
5. Quarterly LPJ Report

TREASURER

The treasurer is the person who responsible for running the treasury of an
organization. The treasurer in organization has function to oversee the
organization’s budget, financial planning and cash management while limiting
risks to the organization. The treasurer will work closely with Business and
Entrepreneur division to ensure that the organization has sufficient budget to
carry out activities in one period.
Job Description:

1. Annual budget
2. Prepare financial reports
3. Regularly monitoring and comparing the actual revenues and expenses
incurred against the budget
4. Ensure sufficient funds are available to cover operational organization

DEPARTMENT OF HUMAN RESOURCES

DEPARTMENT GOALS:
1. Establish good relationships within the organization to achieve an
integrated connection between boards and member.
2. Organizing SPE PEM Akamigas SC utilities.

Internal and Personalia Affairs Division


Responsible for SPE PEM Akamigas SC boards quality control to ensure every
work program run well.

Department Goals:

Aims to enhance knowlegde of SPE PEM Akamigas SC boards and member to


face the challenge and competition.

Education and Training Division


A division whose main job is to enhance english skill, technical competence
and professional skill to help boards and member to face the professional
world.

Responsibility:
1. Commit to elevate members’ understanding of the world’s energy resources,
starts from basic knowledge based on their own background
2. Responsible to the head of Academia Department

Research and Development Division


A division whose main job is to enhance boards and members knowledge by
searching, collecting, and sharing the latest national and international
technologies and issues in the energy sector to be studied further.

Responsibilty:
1. Responsible for creating students intelligence and mentality in speaking,
debating and negotiating about petroleum science and technology
2. Sharing and discussing the current issues to SPE boards and member
3. Responsible to the head of Academia Department.

DEPARTMENT OF PUBLIC RELATION

Department Goals :
To maintain and enhance the organization image from all aspects by branding
and building good relationships with internal parties such as campus
management, student association, and other internal parties in PEM Akamigas.
Also with external parties such as other SPE SC, SPE Java Section, SPE
International, Oil and Gas Stakeholders, Community, etc.

Internal Relation Division :


This division is responsible for continually expanding and maintaining a good
relationship among internal parties in order to harmoniously collaborate and
share ideas.

1. Internal benchmarking
2. Roadshow
3. Helping cooperate with internal parties.
4. Maintaining SPE PEM Akamigas SC’s official account.

External Relation Division


This division is responsible for continually expanding and maintaining a good
relationship among external parties in order to harmoniously collaborate and
share ideas.

Department Goals:

1. To give a platform for SPE PEM Akamigas SC boards and member for
upgrade and enhance their professional knowledges and field experiences.
2. In charge for SPE PEM Akamigas SC Anniversary.

Responsibility :
Responsible to hold and manage company visit done by SPE PEM Akamigas SC
boards and member. This department aim to give field experiences of industry
current situation, also to build good relationship between SPE PEM Akamigas SC
and related companies and manage SPE anniversary program.

Department Goals :
To give information by creating documentation and sharing it in SPE Official
Social Media and also website as a promotional and marketing strategy

Design and IT Divisions :


This division role is to give information by creating design for every activity and
technological stuff.

2. Maintaining the website of SPE
3. Managing all social media feeds and stories.

Journalistic and Documentation Division :


The role of this division is to give information from the side of journalism such as
article and also making documentation.

Department Goals :
The aim of this department is to get fundraise for fulfill SPE funding needs and
build the entrepreneurship skill to the members

Responsibility :
1. Coordinate with treasurer and responsible to president
2. Initiate business that can give continuous income for SPE
3. Build up entrepreneurship mental and passion among boards and members
4. Collaborate with Public Relation Department to get sponsor.
