1. Starting on time – The meeting should start on time and not when the attendees are
expected to arrive. It is essential to value the time to utilize what needs to be discussed
thoroughly.
2. Plan and structure meetings - There is no optimal length for an appointment; the time
depends on the objective, but 30 minutes is an acceptable baseline. Publicize the
meeting's aim and schedule in advance. Choose a reasonable program but give the
appearance of brevity; meetings generally consume the time allotted.
3. Keep things on track – Never lose sight of the meeting's agenda and the purpose of
why it is conducted in the first place. If other themes arise, jot down notes, and save
them if time permits. It will provide a batch of fresh ideas and perspectives that can
benefit the company. Also, make sure that the discussion concentrates on the
company's goals, successes, and difficulties encountered – all these factors play a
significant role and will impact the project's completion.
4. Fully engage your teammates in the meeting – Selection of the participant is vital in
making the meeting worthwhile and engaging among the team. Additionally, promote
freedom of expression. Not everyone is comfortable voicing their thoughts or views in
front of a group; thus, solicit comments from the whole room rather than from specific
people. Lastly, assign responsibility; activities should always have a responsible party
and an agreed-upon completion date.
5. Summarize the meeting – Reiterate what has been agreed upon and accomplished so
that all are on the same page. Always conclude on a good note whenever possible to
make the team feel energized and ready to take on the next challenge, not discouraged
and wishing for the end of the day.
