CASE STUDY QUESTIONS

1. How does the grapevine affect Azman's discussion with Hashim?
The grapevine effect is the informal transmission of information, and gossip
rumours from person to person. Azman’s discussion with Hashim brings surprise to
him, especially the new gossip. He felt dismayed as the top management was
planning retrenchment programmes as a year-end cost-saving activity. The
grapevine effect will change a person’s perception due to the accuracy of the
information. This is because gossip might be wrong and affect the environment.
2. If you were Azman, what would you do to gain more information about your job
Scope?
If I were Azman, I would inquire about the job scope with my immediate
supervisor or human resource management. Furthermore, I will approach the
company's hiring manager to inquire about this subject, as they will be aware of the
precise breadth. I'll obtain more specific information if I question them. However,
similar to what Azman did, asking Hashim, the senior officer, is also beneficial, but
the accuracy may be limited because he is not in charge of the situation.
Furthermore, conducting research will help me learn more about my job scope,
especially if I conduct research by reading the job scope document provided by the
organization.
3. What is your advice to the top management to ensure that gossiping is not rampant
among the employees?
I would advise top management to address and warn their staff that gossiping
is not welcomed. It can lead to severe misunderstandings and create a hostile
working atmosphere. The developing issue would force them to confuse their issue
with the work. Following that, top management should share their compliments with
staff to minimise biases, and top management should be more receptive to any
views. They should listen to the employees' voices because the top management is
aware of the company's status by listening to the employees. They should also have
a progressive discipline system. As a result, they will be able to provide a consistent,
objective, and fair approach to discipline. It also aids in opening communication
between a supervisor and his or her staff.
4. Besides redesigning the cubicles and creating more open areas for discussions, what
other improvements can the management consider for better discussions in the
organisation?
The management should enhance this by creating a room in the office area
with a large table for open discussion and brainstorming. With a large, open table,
employees may comfortably converse and debate without any barriers in their way.
Next, they can design a discussion room like a cafe environment, complete with a
pantry, to help the employee feel more at ease and enjoy the discussion session.
Additionally, management might hold a communication course for staff to instruct
them on communication and conversation skills. This improves their communication
abilities and allows them to explain things more effectively. Finally, management
might organize some outdoor team development activities. Participating in this
exercise will improve their collaboration skills and help build trust among the group.
