managed in a secure environment pending their transfer to ARMS or successor

Sentence temporary records in accordance with the UN ARMS Peacekeeping
Operations Retention Schedule or other written advice from ARMS
Identify and prepare lists of records due for and accession records for review or

Success Criteria
- Current backlog of approximately 200 shelf metres of records copied and control
records completed by end of cycle.
- Backlog of unaccessioned material listed and entered in RAU inventory database by
end of cycle.
- Approximately 150 shelf meters’ of records identified for shipment to New York are
shipped to UN ARMS by end March 2011.
- Improvement in awareness of UN recordkeeping guidelines such as the UN
Peacekeeping Operations Retention Schedule (PORS)
- Monthly progress reports to Chief, GSS
Approximately 70 cubic meters’ of records identified as at April 2010 for destruction are
destroyed by end of cycle.
Records in shipping containers for review or permanent retention are shelved,
accessioned and listed by end of cycle.

WORKPLAN

The Archiving Unit was set up in the absence of a Records Management Section to
complete the end of mission identification and preparation of records for transfer to
ARMS.
Main objectives of the Unit
1. Circulate ARMS guidelines and instructions on the preparation and transfer of
MINURCAT records to ARMS.
2. Coordinate archiving activities throughout the mission.
3. Prepare records for shipment to UNHQ, taking particular care to follow disposition
procedures.
4. Arrange for the shipment of Mission Archives to ARMS UNHQ.
5. Coordinate the preparation and transfer of Residual Records to ARMS.
6. Circulate ARMS guidelines on the proper disposal of non-records and documents

Goals
Establish a common procedure throughout the mission to ensure the timely and
effective identification, preparation and transfer of MINURCAT records to ARMS.
Establish a common non-record and document destruction service.
Related Actions
• Coordinate with OIC Archiving Unit to provide guidance on the end of mission
archiving in N’Djamena while in close consultation with ARMS in New York.
• Monitor the progress and troubleshoot problems experienced by Section archiving
focal points ensuring that ARMS guidelines are followed.
• Ensure lists of records are compiled correctly and boxes are packed and shipped
according to ARMS guidelines.
• Liaise with PDU to provide a service for the disposal or non-records and documents
and provide advice and guidance on destruction methods.
Success Criteria
• Provide prompt and accurate advice and guidance to Section focal points.
• Timely completion of MINURCAT’s archiving within set deadlines.
• Ensure ARMS receives accurate box and folder information for inputting into TRIM
Database.
• Ensure that non-records and documents are properly disposed of.
• Successfully prepared and packed boxes into containers and produced packing lists
for the final shipment of archives to ARMS New York.
