INTRODUCTION
Microsoft planned the retirement of Skype for Business (S4B) on July 31, 2021.
All its functionalities has been replicated and expanded in the new tool Microsoft Teams (Ms-Teams).
To facilitate the transition to the new tool, ICT has prepared this guide in which cover the following topics:
• Migration from S4B to Ms-Teams in Ask;
• Text messaging via the chat feature in Ms-Teams;
• Making audio calls via Ms-Teams;
• Making video calls via Ms-Teams;
• Get Helps with Ms-Teams;

Migration from Skype for business to Ms-Teams
The migration from

Skype for Business to Ms-Teams
is planned for all the ASK Group users
on 02 March 2021
• Migration start: Monday 1st March 11.00PM (Italy time) (7PM in Brazil – 6AM day after in China);
• Migration will not be immediate, it will be completed for all users within the next day Tuesday 2nd
of March;
• Teams Client software will be automatically installed on the PC (substituting S4B), in background
with no need of user interaction
• The S4B button in Ms-Outlook will be substituted by the Ms-Teams button.
• It is mandatory to leave the Ask pc switched on and connected to network on the day Tuesday 2nd
of March (if not possible the PC setup will be anyway done later when PC will be online)
• Already planned S4B meetings will be automatically migrated to Ms-Teams meeting.
S4B / Ms-Teams availability cannot be assured on 2nd March, therefore please follow these highly
suggested recommendations:
• anticipate or postpone any S4B meeting planned for Tuesday 2nd March
• In case of urgent / important meeting please use Starleaf (it is not affected by this migration, then
it will be fully available and working during those days)
• In case of issues on Teams client installation, as temporary workaround it is possible to access
and use Teams via web browser at the following address https://teams.microsoft.com/
Training and Support:

• From the 2nd to the 4th March, Local Ict will offer a priority support for Teams related issue during
working hours online and in dedicated Meeting Room
• Basic training on Teams will be offered by local Ict staff on two dates before migration (invitation
will follow from local ICT staff)
• Basic training on Teams will be offered by local Ict staff on two dates after migration
(invitation will follow from local ICT staff)
• Joining a training module is recommended but not mandatory and subject to reservation given the
limited number of places available

Existing Chats
1. Within Ms-Teams, select ‘Chat’ on the side ribbon. This will show you all chats you have been a part
of. If you haven’t been involved with any chats before, this will be blank.
2. To type a new message to one of your previous chats, click on the chat in the ‘Recent’ filter and
begin typing in the ‘Type a new message’ bar. You are able to format your text, add files to your
chat (such as a PDF document), send GIFs and emojis, as well as other features by clicking on the
icons underneath the new message field.

New Chats
1. Click on the ‘New chat’ icon at the top of the ribbon.
2. You will first need to search for the person you want to chat with. Type their name into the ‘To’
field and select them. They will appear if they have an Ask email account.
3. To find an external person, type instead his email address.
4. Select the person and begin your chat.
5. To add more people to a chat, click on the ‘Add people’ icon on the top right. You will need to type
the name for each individual you want to add.

Audio Calls
1. You can add audio and video to your chat at any time. To start an audio call, click on the telephone
icon at the top right.
2. Once the person you are calling has answered your call you will be able to share audio, providing
you have both enabled Ms-Teams to have access to your speakers and microphones.
3. Hovering over the call screen will reveal options for you to add video, mute your microphone, and
share your desktop.

Video Calls
1. To start a video call, click on the video camera icon. If you have a webcam you can show a video of
yourself.
2. On your view you will be displayed as a small tile on the bottom right of your screen, but to the
person you are calling your video will take up the full screen.
3. During a call on Ms-Teams you can share a view of your desktop or display a file, such as a PDF or
an MS PowerPoint to the person(s) you are calling. You have the option to share a full desktop view,
display a window you currently have open (such as an internet browser or an MS Word file). You
can browse through your PC to find a file if you don’t currently have it open to share.

Setup a Meeting via Outlook

There are several ways to setup a meeting in Ms-Teams.
The fastest and easiest way is through the Outlook Calendar as a Meeting Invitation:
1. Click the New Teams Meeting icon at the top of the main Calendar window, or the
Teams Meeting icon within the Meeting Invitation window.
2. Fill in the details of the meeting invitation as usual.
3. Add participants to the “Required” and/or “Optional” fields.
4. Send the meeting invitation.
5. Invitees will receive a link in the invitation allowing them to connect directly into the Ms-Teams
meeting.
