Case Study 9 - Office attraction

You are members of the Human Resources Department at Crawford PLC. Discuss the
questions in Karl’s memo and agree what action to take. One of you should take the
role of Jenny and chair the meeting.
Roleplay :
1. Yumna as Jenny (The Leader)
2. Putri as member of HRD division (HR Business Partner)
3. Hana as member of HRD division (Chief Diversity Officer)
4. Shaskia as member of HRD division (Vice President of HR)

Dialogue :
Yumna :
“Good morning everybody, thank you for coming to our meeting today. I am Jenny as
the Chief of HRD division, and on this occasion I would like to discuss about the
questions in Karl’s memo and our agreement based on what action that we will take.”

“Let’s go around the table and introduce ourselves, Mrs. Shaskia do you want to start?”

Shaskia :
“Yes thank you Mrs. Jenny for the opportunity let me introduce myself. I am Shaskia
as Vice President of HR and here are my colleagues please introduce yourselves first.”

Hana :
“Introduce me I am hana as Chief Diversity Officer.”

Putri :
“ And I am Putri as the HR Business Partner.”
Yumna :
“Well since everyone is here shall we start our discussion, how about we start with the
case regarding to Mr. Marcus Ball and Mr. John Goodman? Mrs. Putri what do you
think about this case?”

Putri :
“In my opinion, because our company culture is too casual, it makes employees too
relaxed and unprofessional in responding to the work in the company.”

Hana :
“Also I think mr. Marcus is unprofessional at his job because he abused his power by
violating company policy. Therefore, this issue should be investigated in more detail,
because this recruitment only looks at and listens to Marcus's side. So we have to
make corrections and re-selection so that there is no abuse of power regarding
personal matters and the way of recruitment in terms of the skills and responsibilities
of prospective workers.”

Shaskia :
“While from me based on the case problem of Mr. John Goodman we should be
professional and put away personal life when we're in the working place. In this case
just like Mrs. Hana said in the previous case, we have to take a deeper look at the
problems that occurred between John and the Financial Director. Who knows that the
Finance Director already has some backings, which are the other directors. And in the
end he uses this privilege to demote Mr. John's, because the new position occupied by
John is very detrimental to him and John had a hard time getting a promotion from his
new position.”

Yumna :
“Well, thank you for the opinion, now we will move on to the next discussion, which
about the problem of Mr. Derek Hartman. What do you guys think and solution about
this problem?”

Putri :
“For the case of Mr. Derek Hartman, in my opinion, if he is still in the main office,
cases like this will continue to happen, therefore we must act decisively for the
convenience of other employees. So whether Mr. Derek Hartman, like it or not, we
have to move him to another branch office as a consequence of what he did, and also
be accompanied by a warning letter and if this case happens again then Mr. Derek is
in danger of being ejected permanentlyfrom the companies and if this case happens
again then Mr. Derek is in danger of being ejected permanently from the companies.”

Yumna :
“Hmm such an interesting suggestion Mrs. Putri, thank you. Then in relation to this
case, should we make a written policy regarding close relationships in the office?”

Hana :
“Yes, I think of course we should make the written policy. The policy certainly has
main guidelines, such as being prohibited from bringing personal problems into the
world of work, being fair and not favoritism towards each employee, and being
professional if there are problems with other workers outside of office work.”

Shaskia :
“Maybe some other additional points include being prohibited from abusing position
or power, and also implementing good relations among co-workers. However, if we
have made a written policy, of course we must also make sanctions if the policy is
violated. Some suggestions from me if the sanctions are violated are by giving
warning letters, demotion, salary cuts, and even dismissal.”

Yumna :
“Well, thank you for the suggestions, maybe the suggestions that I have been received
today I will be discussed again with the other directors.”
“Then how can we avoid someone gaining an unfair advantage from having a close
relationship with another member of staff? Are there any specific examples of bad
practice that could be written into the policy document?”

Putri :
“The way to avoid getting an unfair advantage by having close relationships with
coworkers or superiors is to set up a set of guidelines on workplace relationships and
let employees know the company's expectations of workplace behavior to clarify what
is acceptable and what is inappropriate. And also training for supervisors on how to
minimize and eliminate bias in assessing employee performance.”

Hana :
“While my addition is that we can develop training for employees on how to prevent
bias creeping into their interactions, as well as how to recognize and report biased
behavior.”

Shaskia :
“A little more suggestion from me is that no one in the company can have a romantic
relationship or date with an employee he or she supervises directly or whose terms or
conditions of employment he or she can influence. Moreover, no employee working
in the same department can have such a relationship.”

Yumna :
“So from the cases we've been discuss, I stated that every employee is expected to be
able to maintain professionalism within the office and not bring personal matters into
it. Well, I think our discussion is sufficient so far, thank you for the contribution from
all of you and I hope that suggestions what we have discussed today can be realized
well.”

Shaskia :
“Thank you so much Mrs. Jenny for the meeting that has been held”

Hana :
“Yes thank you Mrs. Jenny”

Putri :
“Thank you so much everybody for the contribute”
