SCOPE OF WORK

1. CONTRACTOR shall provide YASREF with Implementation for following:

1.1 SF- Succession Plan:

YASREF has already configured the Success Factors Succession Plan module long time ago but
did not go live with the solution, now YASREF is looking forward to start using the system and
executing the business processes.
The CONTRACTOR shall be dedicated to the following items:
• Evaluating the previous configurations and ensuring that the configuration is valid.
• Impact assessment of relevant SF releases that might affect the Succession Plan capabilities
and YASREF’s current business process for Succession Plan.
• Evaluate new enhanced features or functionalities from previous and upcoming SF releases
that are applicable.
• Enhance the system as per the current business process.
• Refresh MDF position data from SAP ECC to have the up-to-date position hierarchy.
• Assess talent pools and their respective mapping with Job codes, positions, etc.
• Upload any talent/background portlet data.
• Assess the RBPs and adjust, as necessary.
• Providing system change documentation for system changes and the maintenance of system
architectural documentation.
• Training shall provide to admin, train the trainer and key users.

1.2 SF- Recruiting:

YASREF is looking to implement SF- Recruiting to execute the business processes including
Recruiting Management, Marketing, Posting of vacancies, and Career Site update.
The CONTRACTOR shall be dedicated to the following items:
• Candidate Profile: internal /external candidates profile including the design and configuration
of the Candidate Profile for storing all relevant information of Candidates with minimum of 5
background sections. The Internal Candidate Profile shall sync with Employee Profile in the
automatic syncing of information entered from the Candidate to the Employee Profile section.
• Candidate Application: including the design and configuration of the Application Form that a
Candidate fills in as part of the recruiting process with minimum of 2 templates.
• The Recruiting process shall has Pipeline and Candidate Status and Sub Status
• Career Site (branded): Career Site shall be enabled and configured as a landing page for
Candidates.
• Job Requisition template: including the design and configuration of Job Requisition template
with minimum of 4 template.
• Approval workflow: including the design and configuration of Approval Workflow (route map)
for Job Requisition In order to manage the approval of a new Job Requisition.

• Applying the Recruiting Roles including Recruiter and Second Recruiter, Hiring Manager,
System Administrator, Coordinator and Sourcer.
• Set-up of Interview Scheduling Activation of the Interview Scheduling functionality and
Interview Central.
• Set-up of Question library and Competency library as per YASREF library
• Set up Job Profile Builder and Upload Job Profile Builder Content (Roles, Competency
mapping, Skills, Job descriptions etc.).
• Offer letter Approval and Offer letter Template: including the design and configuration of offer
letter template and Offer Approval workflow with minimum of 3 offer letter templates and with
minimum of 2 Offer letter Approval.
• Recruitment Email templates: including the design and configuration of automatic
notifications email templates as per 25 standard in addition to minimum of 7 custom Ad-hoc
email templates.
• Data Migration: including the data migration templates, upload of data files, data error
reports, import of external candidate’s profiles, candidate background elements, and
candidate applications.
• Other Recruiting Functionalities:
 Agency Access with minimum of 10 Agencies
 Data Retention Management
 Data Privacy Consent Statement and General Data Protection Regulation (GDPR)
 Intelligent Services
 RM to EC Integration
 Job Profile Builder Integration
 Referral Feature
 Recruiting Reports and Dashboard
 Candidate Relationship Management (CRM)including Talent pools, Talent pools status
pipeline and E-mail Campaign
• Home Page Template: home Page can be created based on YASREF branding
requirements. Also, CONTRACTOR shall provide Career Site Tool Training to YASREF team
using a sample template.
• Strategy Pages: Strategy Pages can be created with customer branding to define the Careers
Areas/Job Profiles with minimum of 10 Strategy Pages.
• Company Pages: Company Pages can be created based on the customer branding
guidelines, these are to categories the company’s information. (Ex: Benefits, work culture,
business areas) with minimum of 4 Company Pages
• Recruiting Marketing Widgets: widgets can be created/enabled based on the requirement
(Ex: Keyword Search, Map etc.) with minimum of 3 widgets
• Talent Community: Talent Community Portlet shall be created for candidates who are willing
to create a profile.
• Mobile Friendly Site: mobile site shall be created to be easily accessible from mobile
• Integration with Employee Referral Marketing to Recruitment Management
• Recruiting Instance Integration with RCM module will be done for Job Postings

 Job posting is based on RCM Job Requisition data
 Integrates RCM and RMK tracking capabilities
 RP complies with the job boards requirements
 Provisioning and setup of Recruiting Posting tool, job/school boards , Universities and
job boards

1.3 Post Go-Live Support:

CONTRACTOR shall provide YASREF with Post Production Support for the Implemented modules.

2. CONTRACTOR shall provide YASREF required Annual Maintenance Support during YASREF
working days (Sunday to Thursday) and business hours (7:00 AM to 4:00 PM Saudi time) including
main core services activities which are Incident Management, Service Requests, User Queries,
Problem Management, Continuous Service Improvement, and Change Requests for already
implemented modules along with the new modules as following: 
• Performance Management
• Goals Management
• Calibration
• Career Development Plan
• Learning Management System
• JAM
• Compensation
• BizX
• Employee Profile
• Succession Planning
• Recruitment module ( RCM and Marketing ) and Onboarding
If required, CONTRACTOR shall provide YASREF Annual Maintenance Support during emergency
cases during non-working hours or days

Therefore before starting the Annual Maintenance Support, the CONTRACTOR shall provide
envisioning exercise which will determine the level of enhancements needed to the existing modules
already deployed at YASREF.
The CONTRACTOR shall be dedicated to the following items:
• Managing support calls from initial diagnosis through to resolution.
• Advice and assistance to YASREF key users on user acceptance testing, system integration
testing, and regression testing.
• Bug fixes (configuration).
• Report development.
• Workflow updates.
• Assistance during cycle launches.
• Providing system change documentation for system changes and the maintenance of system
architectural documentation.
• Implementing enhancements on a case-by-case basis including documentation and unit
testing
• Recommending and coordinating the application of releases and patches as required to keep
the application current and compliant.

In more details, the scope for the Annual Maintenance Support shall cover the following services
activities:

Preventative Maintenance
Preventive maintenance is the action for monitoring, analyzing recurring issues and trends and
providing recommendations on areas for continuous improvement.
The main activities include:
• Monitoring and analysis of defect trends
• Proactive recommendation of sustainable improvements
• Identification of performance improvement opportunities

Corrective Maintenance
Corrective maintenance: Its objective is to correct an anomaly / defect that prevent SAP Success
Factors from working as it should. Corrective maintenance involves modifications in YASREF SAP
Success Factors solution.
The main activities include:
• Receipt and management of SAP Success Factors defects in raised ticketing
• Co-ordination with YASREF SAP Success Factors team
• Investigation and resolution of defects
• Error correction
• Testing
• Deployment of fix throughout YASREF SAP Success Factors landscape
• Maintenance of relevant documentation – Configuration Workbooks
• Root Cause Analysis for raised concerns

Change Request
Change Request / maintenance objective is to implement new, improvements and modification of
the YASREF SAP Success Factors solution. Change requests will be validated by the YASREF SAP
Success Factors team and business process owners and will be for any request more than 160
hours for a single change request.
The main activities include:
• Participation in business requirement gathering
• Change impact analysis (both system performance and functional process)
• Effort estimation
• Design and development of evolution
• Integration Testing
• Deployment of evolution across YASREF SAP Success Factors landscape
• Creation / update of relevant documentation

Technical Support
The primary goal of YASREF Annual Maintenance Support is to ensure the operability of the SAP
Success Factors System. Operability is the ability to maintain IT systems in a functioning and
operating condition, guaranteeing systems availability and required performance levels to support
the execution of the enterprise’s business operations.
• Technical Components Monitoring – Major jobs etc.
• Change Control Management
• Incident and Problem Management
• Reporting

Incident Management
YASREF will require to follow the Incident Management processes to ensure that normal operations
will be restored as quickly as possible with the least possible impact on the business and end‐users.
The required for incident management activities, including but not limited to:
• Incident detection and recording
• Classification and initial support
• Investigation and diagnosis
• Resolution and recovery
• Incident closure
• Incident ownership, monitoring, tracking and communication
• Some of these items specifically include
• Corrective actions on SAP Success Factors systems for all technical defects and problems
• Errors in service processes
• Support and management of interventions with all external parties / interfaces (e.g., SAP
SFSF Support, file server. etc.)
• Responsible for the testing, failover and restore processes for Disaster Recovery.

Release / Upgrade Support


To enhance and strengthen the Annual Maintenance Support, the CONTRACTOR shall consider
the following value services:
• Weekly Issue Log
• Minimum of 3 Sessions per Quarter by the Solution Team to walk through the new features
released in SF in the preceding quarter
• Liaising with SF Product Team for bug fixes
• Minimum of 2 Health Check on SF Instance upon contract sign-off to recommend un-utilized
features of SF and improved way of using the existing features.

General:
CONTRACTOR shall consider the following during the implementation and Annual Maintenance
