Office Memorandum

Subject: Imptementation of ERP System in CPWD - Guidelines for Digitization of

data fields of Service Book.

The Nodal officers of Implementation of ERP System in CPWD may refer to OM dated
l1lLtl2O20 and l9lLU2020 on the subject matter. List of employees under the respective
controlling offices of a Project Region/Region i/c CPWD Academy has been mailed on l8th
and 19th Nov'2020 to respective Nodal officers for confirmation of mapped data.

2.0 As discussed in the review meeting with Nodal officers on20llU2020, the Guidelines for
Digitization of data fields of Service Book are given below:
i) Service Books may be page numbered (leaving blank pages) before scanning.
ii) Additional documents appended in the Service book, which are related to details required
in the web-link form, may also be page numbered and scanned along with service book.
iii) Documents are to be scanned with 100 dpi resolution.
iv) Service book of only serving employees whose retirement date is beyond 31tt March
2027 to be scanned.
v) Service Book should be updated and Service should be got verified and recorded as
verifled before scanning.
vi) Indexing should be done for quick reference as per following detail:

viii) Login credentials of maker and checker will be mailed after receipt of their mail IDs /
controlling office mail ID from respective Nodal Officers of the Project Region/Region.
3.0 All the Nodal officers are again requested to e-mail us mapped employee data (for
maker & Checker) with comments along with mail IDs of controlling office and their
maker and checker at the earliest.
4.0 This issues with the approval of DDG(ERP),CPWD.
