A. Roll Call of Attendees:Stephanie Arenas, Andrea Didenko, Lynette Cima-Potts, Sandy Kawa, Elizabeth

B. Treasurer Report:
a. Balance of funds currently at $5083.66. - Plus $418 from Spiritwear check
b. Federally, 501c3 status is up to date! - YAY!!!
c. To bring state up to date, will need to retroactively file for the last 3 years (total cost of $77.00). -
Sandy to pay with new Debit Card
d. 990N filing for 2022 due by April 17th. - Sandy is waiting for the website to be up to work on this.
e. Document with proof of our 501c3 to give to businesses as a “receipt” when donations are made. -
Sandy will share document with the board.
f. Spreadsheet of known businesses who have donated in the past and contact info. - Sandy will share
this with the board.
C. President Report:
a. Present By-Laws - 2023 HMS PVC By-Laws - Adding past and current bylaws to the website.
b. Board positions available at the end of this school year:
President, VP, Communications Officer, Spirit Wear Coordinator and a Dine & Share Coordinator -
Ballot to be created in April 2023
c. PTO Manager in use-will work to help to develop a budget for next year and monitor spending. -
Andrea will move this over to Sandy.
d. Sam B (Sondra) will no longer be with HMS, contact ended. Sam Langton will be doing social media and
website stuff. - Sam Langton is Mr. S’ Secretary
e. Missing/taken Whippur store items - Mr S. to lock room, question employees or PVC may eliminate
Whippur stores. - Confirmation from Mr. S, the door is now locked.

D. Committee Updates:
a. Dine & Share
i. Milk House set for April 18th. 15% of all day sales.
ii. Culvers set for June 19 and October 10, 2023. We can do Raffles, have flyers there to pass
out, need signage, 3 tip/donation buckets, and volunteers to hand out the food. (4-8) Mascot?
iii. Gather set for 9/13/23. !5% of Bar sales and Double R BBQ is the food truck there. Waiting
to hear if they will donate as well.

b. Spirit Wear - Still looking for a new vendor and someone to head it up. T-Shirts and maybe bracelets
to be sold at 6th Grade Orientation and all school Open House.
c. Walk-a-thon (May 10)
i. First communication 2/27
ii. Add communication to the 3/17 Weekly Whippur Update
iii. Packet sent home with students 3/20
iv. MAke sure to have Sam mention it on facebook and daily announcements as well.
d. Whippur Store - Everything is ordered for 2/17. Volunteer signup added to daily announcements and weekly
Whippur update.
e. TA Week (May 1-5)

c. 8th Grade Dance - May 19th - Waiting to hear about concessions
d. Waiting to hear a date for an all school dance and doing concessions again
