Explanation Letter
It has been reported to the Human Resource Department that you failed to exercise due care and
attention in the performance of your duty and caused negligent. According to the management,
one of the buyer named ‘Olymp’ had some embroidery issues. The Style number is ........., smoky
blue and the issues were uneven run stitch, skip & open stitch, puckering etc. Being the Head of
Production of Embroidery, you are supposed to look after to ensure the quality of production due
to the business conducted by the company. Since this issue came forward, it has now become a
question of reputation.

In the circumstances, you are asked to show cause within 07 days of the receipt of this letter as to
why management should not take administrative action against you for your action.
You shall submit your explanation to the undersigned within the stipulated time, decision will be
taken without further reference to you.
