Introduction

Say hello to your potential client. This is a great space to mention how you engaged with the client, what

you understand about their plans, and any other information you know about this project. The main goal

of your proposal is to make a connection with the client about your translation services.

Hello {CLIENT NAME},

Thank you for allowing me to present my proposal to you. It was great to speak with you, and I look forward to

helping you with translation services for {CLIENT COMPANY NAME} in the United States.

As I mentioned yesterday, I come from a language background and built up experience translating a wide range

of corporate documents. My goal is to assist {CLIENT COMPANY NAME} with translation services to develop

communication and growth in the Hispanic market.

My proposal details how I hope to achieve this and outlines my translation process. If you have any questions or

specific requirements to fit your needs, please reach out, and we can set up a phone call. I'm happy to adjust.

Best,

{YOUR NAME}
Why {YOUR NAME} for business services?

Every business needs to show off sometimes. Use this space in your proposal to talk about your past work

and competitive advantages. You could include pictures, links, and customer quotes to build up some

proof about your skills.

The United States is becoming more ethnically diverse, and large sections of the market now speak English as

their second language. Connecting to these segments of the market through better translation is a solid way for

businesses to expand their reach without developing more products.

My translation services are fast and cost-effective. I charge a flat rate per word in the original document, so

predicting your costs is simple. Work will be delivered on time and in whatever document format makes the

most sense for your business. I can also work on translations through popular CMS such as WordPress.

Here are some testimonials from previous clients:

● {YOUR NAME} was great to work with. They quickly translated a large corporate document and provided

a highly professional job. We’ll definitely use their services again. -Jack, Director of Internal

Communications

● {YOUR NAME} is a brilliant professional. She translated all our marketing materials in a short space of

time and our sales have already grown by 72% in the Hispanic market in our town. -Mary, Marketing

Manager

My clients value my knowledge, professionalism, commitment to deadlines, and the results I provide.

Project description

You introduced yourself to the client. Now, it’s time to show them you understand what they need and can

deliver it for them. Write a paragraph or two in your proposal about the translation services they need and

how you can deliver them.

Based on the information provided, {CLIENT NAME} would like to target Hispanic shoppers in their local market

and through their website, which is also localized. There is also an employee manual that should be translated

into Spanish. The translations required are:

● Translation of the main website pages, including the product pages.

● Translation of the marketing collateral, such as flyers, email templates, and Google Ads.

● Translation of the employee manual into Spanish.

Objectives

In this section, you can be even more specific about your translation services. Your proposal can include

specific targets to be met, software and equipment to be used, and reporting structure can be included.

Cost and deadlines will be covered later.

Here is the plan for how my translation services will meet your goals. Let me break down the specific targets and

how they will be met.

● The website will be translated in situ using a translation plugin for WordPress. Each translated page will

be saved as a draft so it can be reviewed by your graphic designer.

● Marketing materials can be delivered to a shared Google Drive folder. Once they are uploaded, I will

translate them. You have requested translation within Adobe inDesign.

● The employee manual is in Microsoft Word format. It will also be uploaded to the shared Drive folder.

Once there, it will be translated.

Any adjustments to the plans can be made by sending me a message via email at {YOUR EMAIL}.

Deadline and deliverables

You should commit yourself to reasonable deadlines. Be sure to allow plenty of time for the translation

work to be completed. Specific delivery formats can be highlighted in the proposal if this is relevant to the

project.
I am committed to meeting your deadlines and delivering quality translation work on schedule. Here are the

milestones for this project:

● The website has 17 main pages and lists 132 products. The translation of these pages and products will

require between 60-75 hours. These will be spread over six weeks.

● The marketing collateral, as it has been described, is about 42 individual documents, of which some are

flyers, some email templates, and a few other various pieces. Translating these will require between

30-50 hours of work, depending on the complexity of each piece. Translating these will take place over

the course of 4 weeks.

● The employee manual is a priority piece, and will be translated first. It currently runs to 12 pages,

according to your description. This will be completed in the first week of the project.

My services have built an excellent reputation for organization, follow-through, and prompt delivery. I take pride

in this reputation and look forward to delivering exceptional results for {CLIENT NAME}.

Payment terms

Structuring your payments is important for your cash flow and the client’s clarity. List specific payments

and dates in your proposal to avoid any confusion. You should also include details about any extra work or

extra charges for your translation services.

Projects such as this one run for several months before they finish. To facilitate these projects, I offer a schedule

of payments. Here are the payment milestones:

● 25% of the initial estimate as payment will be due upon signing the contract and before any work begins.

● Each piece is billed by the word count of the original document. Each month, an invoice will be created

to bill you for the pieces translated that month. An accompanying spreadsheet will provide individual

document details.

● During the final month of the project, the remaining work will be billed minus the amount of the initial

deposit.

An electronic invoice will be sent once the contract has been signed and milestones passed. Each invoice is

payable within 10 business days of receipt. Late payments may result in the suspension of work and/or late fees

as specified in the contract.

Agreement

Once you agree to this proposal, I will prepare a simple contract for translation projects. The contract will

reference the terms of this proposal, including any amendments you suggest. If you agree to these terms, please

sign below, and return this proposal to me.

Thank you very much. I look forward to working with {CLIENT NAME}.
