Standard Operating Procedure Department: Aftersales

Procedure Number: A 01

Procedure Title: Breakdown Maintenance

Responsibility: Service Engineer/Lead Technician

1. PURPOSE
This procedure is to provide clear direction on how to recover a broken down truck for our customers in the
most efficient and productive way without compromise to safety and policies of Nigerian Sino trucks
Limited.

2. PROCEDURE
a. Assess the situation: The first step is to assess the nature and extent of the breakdown. Determine
whether the truck can be repaired on-site or if it needs to be towed to a repair facility. This could be
done by sending a technician to the site of breakdown (if we have an existing contract with the
client), asking the driver relevant questions as well as checking the service history of the truck.

b. Contact the driver: If the driver is still with the truck, contact them to get a report on what
happened and what they have done to try to fix the problem. This information will help you
determine the best course of action.

c. Contact the client: Once you have a clear understanding of the breakdown, contact the client to
inform them of the situation, request for approval and the estimated time of resolution. However, the
client must have been acquainted with the breakdown in most cases. It is important to keep the client
updated throughout the process to manage their expectations and minimize the impact of the
breakdown on their business.

d. Call for roadside assistance: If the truck needs to be towed to the nearest NSTL repair facility, call
for roadside assistance. Contact the company that provides your fleet's breakdown recovery service
and give them the details of the breakdown. They will send a recovery vehicle to the location of the
truck.

e. Arrange for Repairs: Once the truck has been recovered, arrange for repairs to be carried out at a
repair facility. This stage can be handed over to the Service Engineer of the nearest NSTL facility if
the truck was towed there. If the breakdown is minor, the repairs may be carried out on-site.

f. Update the client: As repairs are carried out, keep the client updated on the status of the repairs and
any changes in the estimated time of completion. This will help them plan accordingly and minimize
the impact of the breakdown on their business.
g. Conduct a final inspection: Once repairs are completed, conduct a final inspection of the truck to
ensure that it is in good working order and ready to be returned back to service. Conduct a test drive
at this stage.

h. Return the truck back to service: Once the truck has been inspected and deemed roadworthy,
return it to service. Notify the client that the truck is ready to be used.

i. Document the breakdown and repair: Make sure to document the breakdown and repair process,
including the cause, time, location, and any actions taken to recover and repair the truck. This
information can be used to identify trends and make improvements to prevent future breakdowns.

3. TOOLS TO BE USED

Tools will be determined by the nature of repair to be conducted.

4. SAFETY CONCERNS

The Safety principles to be adhered to should be based on the type of repair. Kindly refer to other SOP
documents. In addition, due to the general safety condition in Nigeria, the technician should be extra
careful and prioritize his safety while also been creative to solve the breakdown.
