Meeting Agenda’s

1. Ad Hoc- created or done for a particular purpose as necessary.


2. Adjourn- put off a meeting with the intention of resuming it later.
3. Agenda- a list of items to be discussed at a formal meeting.
4. Casting vote- an extra vote given by a chairperson to decide an issue when the votes on
each side are equal.
5. Chairperson- is the leader of a business meetings or group.
6. Ex officio- denoting or relating to a member of a body who holds the role as a result of
their status or another position that they hold.
7. Motion- a formal proposal put to a legislature or committee.
8. Proxy- the authority to represent someone else, especially in voting.
9. Quorum- the minimum number of meetings of an assembly that must be present at any of
its meetings to make the proceedings of that meeting valid.
10. Verbatim- in exactly the same words as were used originally.
Meeting Documents

Notices- a means of formal communication targeted at a particular person or a group of persons.

Agenda- a list of things to be done.


Notice with Agenda- informs the members when and where the meeting will take place.

Chairperson’s agenda- is to guide the board chair to help the board make clear-cut decisions or
redirect them to committees and follow up to make sure they are brought back to the board for
reconsideration.
Minutes of meetings- the written record of everything that’s happened during a meeting
