Rationale Project managers saw the need to redesign the company’s extranet site as the
current dealer extranet only served dealers, not partners or key customers, and was
outdated in presentation and technology which makes it inefficient in improving
engagement with dealters, key stakeholders, and partners.

Project Information

Objectives To enhance communication, efficiency, and collaboration while making it easier for
the company’s business partners to sell and service its equipment.

Scope Following an agile development approach, there must be engagement with key
stakeholders and provision of regular status updates, delivering complete visibility
into the progress of the project.

Methods ● Identify the company’s specific business and technical requirements, goals,
and vision for the new extranet system.
● Meeting regularly with the company throughout the requirements gathering
phase to gather requirements and develop a sound strategy for Microsoft
SharePoint extranet configuration, customization, and implementation.
● A Microsoft SharePoint extranet must be installed, configured, and
customized to enable the client’s dealers, partners, and key customers to
work efficiently with the client, access useful tools and downloads, and
ultimately to more effectively sell and service the client’s equipment.

Benefits With the implementation of using Microsoft SharePoint 2010 as a tool to design and
develop the new extranet of the company, the company will receive the following
advantages:
● Allow the company to meet all its unique needs easily
● Maximizes scalability, ease-of-use, and maintenance
● Significant short-term and long-term time and cost savings
● Enable the company’s dealers, partners, and key customers to work
efficiently with the company, to access useful tools and downloads

Risks ● Minor bugs that may affect the user’s experience of the SharePoint
● Errors when sharing data with other users through collaboration
● Users may be confused with the dashboards

Assumptions ● Microsoft SharePoint 2010 has an efficient interface made for user
collaboration that will allow easy user assistance and a dynamic product
database.
● The system is scalable and flexible which will allow data to easily adapt to
user's requirements.
● User-friendly interface will allow users to collaborate with ease and
confidence.
● Information and data will be easier to toggle easily.
● It will be able to track orders and stocks better.

Constraints ● TIME - the time allocated to finish the whole project is within 12 months
(1year) of processing which is done in the requirements gathering phase.
● BUDGET - the budget for the whole project is Php 50,000 a year, this
includes all the fixed and variable costs of the project.

Factors ● Efficient and easy to read view into relevant information specific to individual
users.

● User-friendly
● Easy digital ordering system allowing its users to place orders for products
with the click of a button.

● Design elements that allow the client to easily manage, inform, and sell to
different customers, dealers, and partners.
● Excellent database and privacy for only authorized users to access and
utilize
● Dashboards that allow easy toggling of information on parts, stock of parts
and parts’ associated pricing, and customer and lead tracking.

Deliverables The North American distributor of printing and finishing equipment’s deliverables for
creating this project are:
● Make the relevant information easy-to-read to the individual user increasing
robust search functionality
● A dynamic product database which quickly allowed accessibility to
authorized users
● To associate the stock price and lead tracking
● To facilitate strategies and collaborations among departments to create
contract and negotiations
● Transparency view of contracts to see risk, exposure, and granular
role-based document access.

Resources Microsoft SharePoint 2010 - a web-based tool for collaboration which can be used to
create websites.

Suppliers Aciron - a company that offers technology and business management consulting
services with a focus on assisting clients in maximizing efficiency via the use of
technology.
