PROJECT BACKGROUND

Introduction

An inventory system that contains a list of an order, which then prompts

employees.To select the required materials, and gives them information on packaging and

shaping, inventory can be used to manage inbound and outbound traffic as well as

automate the sales order fulfillment process hardware substance. Automation is the

technological replacement of human labor.

For discretion sales and inventory management processes, extensive functionality

is needed for managing logistic facilities. Internal warehousing is covered by warehouse

management functions for inventory . recording and monitoring of materials based on

movements, storage, and its support both quantity and worth. This program manages all

supply orders, lowering warehousing and transportation costs while enhancing the

consumer experience.

Project Background and Context

GES Trading supplies hardware products/tools that are used in construction and

home improvement. The company performs different calculations in managing their

stocks and sales. When it comes to their stocks, GES trading uses traditional inventory

management, the company manually counts the items left and lists all needed in the shop.

The proponents are proposing a Web Based Inventory System for GES Trading

where admin can manage the process of stock supplies with a real-time database. Admin

can monitor the details of the product, quantity and description while also adding stock

for products, updating supplies and deleting unnecessary information. Additionally, with

our proposed system, it provides accurate reports of stocks that improves the quality life

of the company due to its efficiency and reliable data.

Project Purpose and Description

Main Objective

The main objective of the project is to develop a Web Based Inventory System for

GES Trading to help the business in managing and monitoring stocks.

Specific Objectives

1. To design a module that manages inventory and provides a centralized view of

stock.

2. To design a module that will optimize the process of managing inventory by

maintaining records.

3. To design a module that oversees forecasting and planning by analyzing data

patterns.

4. To design a module that controls expenses by creating stock reports for

inventory analysis.

5. To assess the proposed system's security, usability, and efficiency.

6. To provide better customer service or achieve greater efficiency.

7. To avoid duplication and properly manage the products.

8. To design a module that aims to follow the method of Perpetual Inventory

Management System to keep track of the inventory and decrease possible errors.

9. To design a module that is integrated but can stand alone to process specified

Scope and Delimitations of the Project

Scope

1. The system has the ability to generate reports such as: numerical reports and

graphical representations of the inventory.

2. The system has a feature that can export stock reports files.

3. The system can only be accessed by an authorized user.

4. The system can monitor data in real time to provide precise stocks of their

product.

5. The system can manage, add, update existing items, and track products.

Delimitations

1. The system will not provide notifications when products are out of stock.

2. The system can’t be accessed through mobile phones.

Operational Definition of Terms

This section presents the operational definition of terms that can help the reader

further understand the study.

Inventory - The goods or products that a business has in stock and is available for

sale or distribution.

Inventory Management - The process of overseeing and controlling the levels of

inventory a business has, ensuring that there is always enough stock to meet

demand, but not too much that it becomes wasteful or incurs unnecessary costs.

Stock Keeping Unit (SKU) Accuracy - The percentage of inventory records that

match the physical inventory on hand. It is calculated by dividing the number of

accurate records by the total number of records.

Product - an item that a business carries in its inventory for sale or distribution.

Product List - is a comprehensive list or inventory of all the products or items

that a business carries or sells. It typically includes information such as the name

of the product, its unique identifier or code (such as a SKU), its description, and

its price.

Product Archive: is a collection or record of products or items that a business

used to carry or sell, but are no longer available for purchase. It is essentially a

historical record of a business's past products.

Categories - it organize or group the similar products or items together based on

common characteristics or attributes.

Brand - it is known as a name, term, symbol, design, or other feature that

identifies and distinguishes a company's products or services from competitors'. A

brand can also refer to a company's reputation or image that it develops over time

as a result of its marketing efforts and the quality of its products or services.

REVIEW OF RELATED LITERATURE AND STUDIES

Foreign Literature, Studies and Systems

This review of related literature examines recent research studies that explore the

impact of inventory management practices on business performance across various

industries. The reviewed studies demonstrate that effective inventory management

practices can improve a business's profitability, competitive advantage, and

organizational performance. However, businesses face various challenges in

implementing effective inventory management systems, such as outdated storage

facilities, delays in delivery, and a lack of knowledge about computerized inventory

management systems and methods.

In a longitudinal research study conducted by Adekoya and Olumayokun (2020)

on the listed hospitality companies in Nigeria, it was found that effective inventory

management positively affects profitability, leading to increased earnings per share and

dividend per share. Similarly, Atnafu and Balda's (2018) study on the manufacturing

sub-sector of micro and small enterprises (MSEs) in Ethiopia found that higher levels of

inventory management practices can lead to enhanced competitive advantage and

improved organizational performance. The study suggests that investing in inventory

management systems can be an effective way for MSEs to increase competitiveness and

performance.

Elijah and Ngugi's (2021) study of commercial government entities in Kenya

found that the adoption of effective inventory management strategies, such as the ABC

inventory model and economic order quantity model, had a positive influence on the

performance of these entities. However, there is room for improvement in the

functionality and effectiveness of the Just-in-Time (JIT) system currently in place in these

entities. The study emphasizes the importance of formulating relevant policies and

focusing on effective inventory management strategies to improve the performance of

commercial government entities in Kenya.

Kaile's (2020) study emphasizes the significance of effective inventory

management practices in healthcare institutions, with a focus on the Adult hospital UTH

in Zambia. The study reveals that despite using several effective inventory management

practices such as short cycle deliveries and Just-In-Time purchasing, the hospital still

faces challenges such as delays in drug delivery and outdated storage facilities. The study

recommends that hospital management should prioritize inventory management by

investing in reliable inventory tracking systems, ensuring a reliable forecast of demand,

and providing sufficient funds for procurement. These measures can improve inventory

management practices and help healthcare institutions optimize their supply chain

operations, reduce costs, and improve patient satisfaction.

Finally, Muchaendepi et al.'s (2019) study on small and medium-sized enterprises

(SMEs) in Harare, Zimbabwe, found that most SMEs in the areas surveyed used the JIT

method of inventory management, but lacked knowledge about other computerized

inventory management systems and methods. The JIT method presents challenges for

SMEs in the supply chain, as they must maintain constant communication with suppliers

to reduce the time it takes to receive materials. However, due to a lack of computerized

communication, SMEs must place orders only when needed, which can lead to delays in

delivering products to customers. The study highlights the importance of effective

inventory management practices for the success of SMEs in Harare, Zimbabwe.

In conclusion, effective inventory management is critical to the success of

businesses in various industries. The studies reviewed highlight the positive impact of

inventory management on profitability, competitive advantage, and organizational

performance. However, businesses face challenges in implementing effective inventory

management systems, including a lack of knowledge about computerized inventory

management systems and methods, delays in delivery, and outdated storage facilities.

Therefore, it is crucial for businesses to prioritize inventory management, invest in

reliable inventory tracking systems, formulate relevant policies, and focus on effective

inventory management strategies to optimize their supply chain operations, reduce costs,

and improve customer satisfaction.

Local Literature, Studies and Systems

Businesses are increasingly turning to automated inventory management systems

as a way to streamline their operations and remain competitive in today's fast-paced

business environment. The adoption of these systems has been fueled by the numerous

benefits that they offer over manual inventory management methods. This review of

related literature and studies aims to provide an overview of the advantages and

disadvantages of automated inventory management systems, based on a selection of

recent studies.

Benefits of Automated Inventory Management Systems

According to Cruz (2021), automated inventory management systems play a

critical role in improving a business's operations and profitability. One of the main

benefits of these systems is the ability to reduce inaccuracies in inventory tracking and

control, which can lead to improved customer satisfaction and increased sales.

Additionally, automated systems can prevent data loss and eliminate bottlenecks in daily

operations by ensuring that inventory data is accurate and up-to-date at all times.

Another study by Herald Express (2020) found that the use of automated

inventory management systems can help businesses to improve efficiency and

profitability by reducing the need for human intervention in the inventory management

process. Automation tools can help reduce errors and increase productivity by enabling

machines and software to perform repetitive tasks more quickly and accurately than

humans.

Furthermore, Sotelo (2020) highlighted that automated inventory management

systems offer several benefits, such as real-time inventory tracking and better

decision-making. These systems allow businesses to monitor inventory levels in

systems can provide businesses with data analytics and insights that can help with

forecasting and planning.

Challenges of Automated Inventory Management Systems

While the benefits of automated inventory management systems are significant,

there are also certain challenges that businesses should be aware of before implementing

them. One of the biggest challenges is the risk of technical problems such as system

crashes, power failures, or hacking attempts. As noted by Gaspar (2022), these issues can

result in the loss of critical inventory data and disrupt business operations. Additionally,

automated inventory systems rely on hardware and software to function properly, and if

there is a hardware failure, it can impact the system's performance (AccountingTools,

2022).

In conclusion, automated inventory systems offer several advantages over manual

systems, including time savings, accuracy, consistency, and increased efficiency.

However, these systems also come with certain disadvantages, such as the risk of

technical problems and the need for reliable hardware and software. As such, businesses

should carefully weigh the pros and cons of automated inventory management systems

before making a decision about whether to implement them.

Synthesis of the Reviewed Literature, Studies and Systems

HTML, CSS, & JavaScript

HTML provides the foundation for the structure of the system, which is then

expanded and adjusted using CSS and JavaScript. Appearance, style, and layout are all

controlled by CSS. JavaScript is used to manage how certain elements respond.

Back End

PHP

The proponents used PHP as a backend general-purpose scripting language geared

toward the integration with ASP.NET that is capable of establishing an efficient way of

connecting to the database.

The system is supported by the windows 10 operating system and it does support

mobile devices since it is a web-based system. The system supports the data information

that is stored in the database. In terms of the system, PHP is used since it is a widely

utilized open source general-purpose markup language and it concentrates on server-side

scripting and mostly on developing dynamic web pages in web development.

The system allows users to add new products and update existing product details such as

name, description, price, and stock quantity.

The system provides a search feature to allow users to search for products based on

various criteria such as product name, category, and price range.

The system allows users to view the current inventory status, including the total number

of products, the quantity of each product, and the total inventory value.

The system provides alerts for low inventory levels and out-of-stock items.

The system allows users to place orders for products, and track the status of their orders.

System Development Methodologies

The proponents have chosen to use Agile methodology due to its flexible and

adaptable approach. As the project involves developing a software application, the

proponents recognize the importance of being able to respond quickly to changing

requirements. This is how the proponents utilized Agile methodology in the process of

software development:

Planning

In this phase, the proponents identified the requirements and objectives of the Inventory

System project, including the ability to track inventory levels, manage orders, and

generate reports.

In the design phase, the proponents created a high-level design of the Inventory

that the Inventory System is high-quality and functional.
