*Course hire fee includes biscuits with self-service tea and coffee.
*Party hire fee includes an exclusive 2hr play session for up to 15 children, gift table and
card post box hire, simple venue decoration, children’s buffet for 15 children, unlimited
squash & water, cake cutting service, fruit and pastry platter for adults with self-serve
tea and coffee, as well as our staff on hand to help out, to do all the work setting up and
cleaning afterwards leaving you to entertain your guests and relax. The ultimate stress
free entertainment service, just come & have fun, then home to chill!

Terms and Conditions of
Private Hire for Ollie Polly Play Cafe
1. Definitions
A. "The Customer" means organisation or person who wishes to purchase goods
and services from the company.
B. "The Company" means Ollie Polly Limited (Holding company of Ollie Polly Play
Café & Ollie Polly Parties)
C. The "Goods" are any items supplied by contract between the customer and
company, regardless of ownership.
D. The "Contract" is any written or verbal agreement between the company and the
customer.

2. General
A. These terms and conditions shall apply to all contracts for the supply of goods or
services by the company to the customer.
B. All goods remain the property of the company except where purchased outright
such as party extras.
C. The company reserve the right to substitute any items as a result of
circumstances beyond its control.
D. All goods, once signed for by way of this contract become the responsibility of
the customer.

E. A refundable deposit of £100 will be held in trust for the duration of the event to
be refunded in full unless damages occur in which the deposit will be deducted
the cost of any repairs required.
F. Goods shall be presented in good working order. Unless notice is received to the
contrary as soon as reasonably possible and in any event no later than 24 hours
before the event, goods shall be deemed to be in good working order.
G. No substitute items shall be accepted by the company.

3. Price, Payment & Cancellations
A. A quote shall be submitted by the company to the customer either in writing or
verbally.
B. Acceptance of the quote either verbally or in writing becomes subject to a
booking fee of £100 which shall be forfeit if the event is cancelled by the
customer within 21 days of the date.
C. In the result of the party having to be cancelled due to Government restrictions, a
refund, credit note or opportunity to rebooked will be offered.
D. If the customer cancels their party 21 days before the event for any
circumstances, the customer will lose 100% of their balance.
E. If the customer wishes to rebook another date due to the customer cancelling
current arrangement party 21 days before their party, another date will be
offered at 50% (£190) previous party payment/balance shall not be refunded, all
extra service previously booked shall be honoured.
F. Payment in part or in full of any quote to supply goods and or services herein
referred to shall be deemed as acceptance of these Term & Conditions.
G. All prices are based on a 2hr hire period with 15 minutes either side to allow for
settling in / bidding farewell to guests. Additional play time hours are available
but will be charged at £150 per hour (subject to availability)
H. The balance of the party hire and any additional services is to be paid in cleared
funds at least 21 days before your event, unless otherwise arranged.
I. We accept payment by cash, card, payment link or by bank transfer directly to
our bank account, unless otherwise arranged.
J. Maximum guest permitted is 45 people including 15 children. Additional guests
must be arranged with Ollie Polly before arrival

4. Your responsibilities
A. Customers shall make all reasonable efforts to ensure the goods, venue building
are not damaged or misused during the hire period via any use.
B. Customers must notify the company of any guests with dietary requirements or
food allergies at least 14 days before their booking date.
C. No outside food to be brought into the café without prior arrangement.
D. No decorations shall be put up or displayed in the café by guests with prior
arrangement and any costs in results of damages caused by guests putting up
decorations will be responsible of the lead person of the booking.
E. The customer shall not attempt to sell or otherwise dispose of the goods.
F. The customer shall pay the company for any repair or replacement of goods that
are lost, stolen or damaged beyond reasonable repair as a result of their own
actions or those of third parties they have invited / hired to attend the event.
G. The customer is responsible for ensuring that the maximum amount guests is not
exceeded (45 people in total including 15 children) Babies in arms ( under 6
months) not included. Client is liable for charges damage, disturbances,
inconvenient caused by over-crowding.
H. A valid credit/debit card must be provided on arrival for a holding damage
deposit.
5. Liability & Indemnity
A. To the fullest extent, the company shall not be liable for any losses the customer
may incur arising out of or in connection with the hire of our services or third
party suppliers.
B. The customer agrees to indemnify the company at all times in respect of claims
by any person in relation to any injury, loss, and claim or expense arising out of
or in connection with the use of our services.

6. Termination of Hire
A. The company reserves the right to terminate the contract immediately and
repossess the goods at any time where the customer is in breach of these Terms
& Conditions.
B. Where provision of clause 6.A applies you the customer authorise the company
to enter any property where the goods are being used in order to repossess such
goods.

Terms and Conditions of Play Area


It is the responsibility of the person who is hiring the equipment to ensure all possible
steps are taken to avoid any injury to guests or damage to the equipment.

Please read and adhere to the following safety instructions carefully:

1. The equipment and play area has an age limit of 5yrs and under, please ensure
no-one over this age uses the equipment at any time to avoid damage or injuries.
2. Please ensure that adults supervise their children at all times.
3. Shoes, glasses, sunglasses, jewellery, badges etc must be removed before using
the equipment.
4. No party poppers, coloured streamers, silly string or confetti to be used.
5. No food, drinks or chewing gum is allowed on or near the equipment. This is to
avoid the risk of damage, choking and potential allergic reactions. (Please note
that if the equipment is left in an unreasonably dirty condition, then the hirer
will incur a cleaning charge of £60).
6. Ensure the venue & equipment is not over-crowded and limit numbers according
to the age and size of the persons attending and any current Covid-19
regulations.
7. Ensure children are not pushing, colliding, fighting or behaving in a manner as to
risk injury or cause distress to others.
8. Ensure that no-one attends with of covid symptoms and notify staff immediately
of anyone who is feeling unwell.
9. Any damages costs caused by any 3rd parties companies booked by the guests
including entertainment will be the responsibility of the lead person on the
booking.

By signing this Disclaimer, I the hirer accept Sole Responsibility for the safety of persons
using this facility and agree to ensure it is supervised at all times by either myself or a
responsible adult over the age of 18. I accept full liability for any injury occurring from
or as a result of misuse or reckless use. I confirm I have read and will adhere to all the
HIRE AGREEMENT TERMS AND CONDITIONS (as detailed above).
By signing this form I agree that the goods hired are in an acceptable condition and
agree to pay for any loss or damage caused to the full cost of the damaged item.
