JOB DESCRIPTION

JOB TITLE: Project Co-Ordinator x 3 (Holiday Activity and Food Provision)


GRADE: £25 - £28k pro rata
HOURS: 3 days per week (4 months).
COMMENCING May 2019 – as soon as possible
This contract is fixed term until the 1st October, we will accept
secondments from other services. Due to the nature of the programme
the number of days taken off for annual leave will be restricted from the
22nd of July – 31st of August.

RESPONSIBLE TO: Project Manager and Steering Group

*For the right candidate there may be flexibility around remit, hours, days and geographical area
worked within the financial envelope.

Project Background
Edsential CIC and Partners (Welcome Network, Cheshire West Voluntary Action and Cheshire West
and Chester Council) have been successful in accessing funding to coordinate Holiday Activity and
Food Clubs over the summer holiday period in West Cheshire for 2019. This project coordinator role
will involve engaging and supporting the community and voluntary sector and private sector to
provide and expand, holiday club provision. As part of the funding criteria, provider groups will have
to provide at least one healthy meal per day and physical activity and nutritional education.

We are looking to recruit three Project Co-ordinators to engage providers in the delivery of the
programme and ensure that groups accessing funding are supported and compliant in their delivery.

Organisations accessing the funding will be primarily from the Voluntary, Faith and Community
Sector, alongside some private provision. Funding is to expand and enhance existing provision and
therefore knowledge of existing providers in Winsford, Chester and Ellesmere Port would be a
benefit.

Job Purpose
You will be responsible in ensuring the diverse delivery models are delivered to the highest standard
and complies with project funding. This will involve routine monitoring, organising and participating
in stakeholder meetings and ensuring that project deadlines are met in a timely manner. Ensuring
clear referral pathways are promoted to families for children to access provision. You will be
responsible for ensuring financial controls are in place and financial returns from providers are
submitted in time along with monitoring delivery and engagement.

DUTIES AND PRINCIPAL RESPONSIBILITIES

• Maintain and monitor project plans, project schedules, budgets and expenditures to ensure
budgets are maintained and expenditure is controlled
• Promote the grant scheme and provision that is funded to ensure that disadvantaged
children are provided with resources and outcomes in line with the project outcomes
• Be the point of contact for stakeholders and ensure stakeholder views are managed towards
the best solution
• Organise, chair and facilitate internal meetings where appropriate and distribute minutes /
actions log
• Deliver training and support to groups as required
• Organise and manage all logistics for external meetings/events where appropriate
• Document and follow up on important actions and decisions from meetings
• Undertake project tasks and lead on some aspects of implementation as required
• Ensure project deadlines are met
• Accountable for ensuring financial accounts are completed correctly
• Report regularly on progress to the Project lead
• Support the development of project strategies
• Identify areas of need and engage with potential providers that appropriate provision is put
in place
• Ensure programme operations and activities adhere to legal guidelines and internal policies
and all documentation is maintained appropriately for each project
• Provide administrative support across programmes as needed

PERSON SPECIFICATION

Qualifications Educated to degree level in a related field of study or equivalent work


experience

Experience At least 3 years' experience of working in a project management team


Clear understanding of the not for profit sector
Experience of monitoring funded projects
Skills and Aptitudes Excellent verbal, written and presentation skills
Excellent organisational skills
Sound planning and coordination skills
Excellent attention to detail
Competency in MS Office
Ability to work effectively both independently and as part of a team
Ability to build relationships and work successfully with people at all
levels
Ability to focus on multiple tasks at the same time
Ability to manage own workload to meet tight deadlines

Other Requirements Subject to an enhanced DBS, successful candidates will be required


to undertake Safeguarding Training.
