Visa Assistant in the Non-
Immigrant Visa Unit, Consular
Job Summary:
Section.

The work schedule for this


position is Full Time (40 hours
per week).

Supervisory Position: No
Relocation Expenses Reimbursed: No

The incumbent primary duties
include administrative support
– but not limited to
– time and attendance
for the whole section. Is
responsible for all consular
supply management which
includes the quote request,
procurement submission/work
orders and maintenance of the
section’s supply stock
and inventory. Is in charge of
being the travel arranger for the
section which involves
requesting flight quotes with
mission’s travel agency,
and travel arranger duties.
Works as main
Correspondence Unit back up
assistant and replies to all e-
mails routed through the NIV
inbox, which includes
congressional e-mails, and
helps to design inquiry
response templates, and FAQs
Major Duties: to standardize inquiry
responses as much as
possible. As one of the few
consular staff who deals with all
consular services on a daily
basis, continually looks for
ways to improve consular
operations, proposing
improvements to the
supervisor. Provides direct
support to the Consular Chief
as secretary by managing the
meeting schedule and
providing an array of direct
administrative support.
Provides NIV duties such as
screening incoming information
from a variety of sources, data-
entry, organizing electronic visa
applications and files in
accordance with laws and
procedures using dedicated
software applications, printing
visas and maintaining strict
accountability for controlled
items, such as visa foils.
