Desktop Configuration

 Connect the Desktop to Internet


 Login with common ID/password
 Connect to temporary CTS VPN

1. Connect the desktop to internet by following the steps:

How To Connect Mobile Internet To A Desktop With USB Tethering:

1) On your personal Mobile Please Open Settings > Network & internet > Hotspot
& tethering.
2) Tap the USB tethering slider to enable it. If this appears grayed out, make sure the
USB cable is properly connected from CPU to Mobile device (Preferably use the
backside port of CPU to plug the USB).
3) The Hotspot & tethering warning will appear, informing you that continuing will
interrupt any existing data transfers between your phone and PC.

2. Find the common credentials to login the laptop for the first time.
Username: .\GDCUser

Note: The given username and password is case sensitive. Please enter with
caution.

Steps to connect Temporary VPN to join your desktop to


Cognizant domain

1. Click Start and then search Cisco AnyConnect Secure Mobility Client.
2. Enter the gateway address: connect-hyd1.cognizant.com/ONBOARDING. Click
Connect.

Note: Post clicking on connect if you receive an error message as shown

below,

• Please click on Change settings.

• Choose VPN Tab, select the Preferences Tab and uncheck the ‘Block

connection to untrusted servers’ check box.

a. Click on Connect and enter your employeeid@cognizant.com to sign in

(E.G:123456@cognizant.com) and click on NEXT button.

1. Enter your network password and Click on Sign In

Enter Multifactor authentication (MFA) code which you will receive in your Cognizant
registered mobile number and click on Verify to authenticate.

 The pop-up VPN connected will appear on the right bottom corner.

Great Now your VPN is connected Successfully

Steps to create individual login profile

 Once the VPN gets connected, Click on StartSearch for Internet

explorer and right click then select open file location.

 Press Shift key and right click button simultaneously on Internet Explorer
and Select Run as different user

Enter your Cognizant employee ID (123456) and password and then click OK.

Internet Explorer will open. Sign out and then login with your Cognizant employee ID
(123456) and password.

Congratulations!!! Now you have configured your Desktop succesfully.

Frequently Asked Questions

1) How do I remap the software’s from old asset to newly replaced asset?

Remapping of software’s could be completed if the existing and newly replaced asset are
registered and remap could be initiated within 5 business days.

Note: The remap could be initiated if and only if both the assets are registered &
If the old asset is in released status then remap could not be initiated.

2) How do I replace the damaged asset?

Please raise a GSD ticket by choosing “Desktop /Laptop Issues “tile and select the FAQ
“How can I report Laptop/Desktop- Damaged/Display Broken/Keys Damaged?”
which will be addressed by the respective repair center teams.

3) Few accessories are missing with the shipped asset (Eg: Connecting cables, Battery,
charger, cables, mouse, and data card USB Cables etc.) ?

As per new IT policy, accessories are not couriered as it is not cost effective. Please take an
approval from your Manager / EDP/PM, agree with Finance for reimbursements, and buy
compatible accessories. The point of Contact in Finance is Pradeep Kumar (458530).
Please reach out to Project Manager (ESA approver/PM) for any further clarifications.”

A Self-help Guide to set up New Laptop and Outlook

Prerequisite:
• A strong Internet bandwidth.
• Laptop connected to Internet preferably via Ethernet cable.
• Laptop to stay connected to Internet for eight hours without interruption
Note: Your system will restart multiple times to complete the installation of applications. The
installation time depends on your Internet bandwidth .

To configure new laptop:

1. Turn on the laptop and


select US as the keyboard
layout. Then click Yes.

Skip.

3. Connect your laptop to


your preferred network,
and select Connect
automatically. Next, click
Connect.

Note: If the your WIFI options are not listed kinldy follow the
steps for Connecting your Mobile Internet To Laptop With
USB Tethering:

Receiving Error Code 80180014

This error code means the machine is not configured with our organization domain name.

Please reach GSD and they will be able to upload your device details in our organization portal and
confirm back, once that is completed you will be able to login successfully.

Steps to fetch the Bitlocker key

For Bit locker recovery issue please try the below options to fetch the Recovery key.

1.Kindly login to https://myapps.microsoft.com/ in any of your personal device.

4. Among that, you could select the respective Laptop which is enrolled in Azure & Click on
Get Bit locker password.

IT Resources – Work Flow:

1) What is IT Resources?

 IT Resources (One IT) is a converged App in your One Cognizant (Click here to reach One
Cognizant portal) which will help us to track the registered asset, Software and Hardware request,
Customer provided Software and Hardware.

2) Process for New joiners to get the asset/Laptop Delivery status/If asset not received
on time-Delay.

 New Joiners are not required to raise a request for Laptop/Desktop in One IT. Still for
any further assistance requesting you to reach out below point of contacts for your
reference:

 For Laptop/Desktop/Data card allocation and if you require Prompt responses,


requesting you to contact POC’s ONLY THROUGH EMAILS as they have limited
access over tickets.

Once the asset is registered you can confirm from the below page.

Steps to check whether the asset is registered under your associate ID: One Cognizant-
>One IT->Manage hardware assets (PFB) for your reference (or) Click here to visit directly to the
Manage hardware assets page to view the asset ID.

3) Missing / Damaged Asset accessories/Incorrect asset delivered (at the time of asset

4) Process to register the asset

 Asset will be registered within 24 hours from the time of delivery. Incase of delay in
registration kindly drop mail to the below DL.

5) A. Can a Cognizant desktop be replaced?

 If there are issues such as a faulty system or hardware problem, the associate can
raise a GSD for repair or a replacement of the desktop.

B. Can a Cognizant desktop be replaced with the laptop?

 Currently, the replacement of laptops is on hold due to stock unavailability.

7) What is the process to install /raise the Software request?

Note: Asset Registration and active project allocation is mandatory to raise any software
request.

1. Login to OneIT page, go to the Software category and then click Request Hardware & Software. Or
Click here

2. Product Search Pop ups, type the Product Names in Search Box and click on Search.

6. Update the required details, select the Confirmation checkbox and then click Submit.

• Email will be triggered to PM for approval. If PM is unable to approve via mailer,


please share the below navigations to approve directly in One IT.

Note: Kindly seek the PM approval for the raised software/hardware request within 2 business
days.

If the Searched Product is not available, please follow the below navigation to raise a Non-
Catalogue Product.

• Request would be pending with PM for approval. If PM unable to approve via mailer
please share the below navigations to approve directly in One IT.

• 3. Select "Manage Hardware and Software Requests" under "Services" option.

• 4.Click on "Manage Team Requests" and search for the request ID

• In case of any issue , please help us with error screenshot.

4. Post PM approved, ITRMG Team will process the request and Installation Team will
reach you.

8) Need Admin access to install the Freeware / Open source Software?

 Admin access could not be provided to users to install the Software. Software request Id
from One IT is mandatory.

Note: VPN connectivity is mandatory for self-installation.

9) What is CSS?

 Any software provided by the customer, or any software used in Cognizant assets to
access client environment (license) is considered as a Customer Supplied Software
(CSS).

Steps to raise a request:

• Click here you will be taken to the Customer Supplied Software registration page as
given below:

• Select the project name and type the require license(Incase if you get any pop up please click ok
and you will be back to same page where you can select the project name and License)

• Select the manufacturer name

• Select the software name, version and OS

• Provide quantity and usage type >> click on Add Product.

• Attach the client approval email>> click on Submit

• Note:? If you are the ESA Project Manager, then it will not require your approval again. If not
please contact your Project Manager for approval.

• If PM did not receive the mailer to approve kindly forward below navigations to PM to approve in
One IT

• 1. login to https://onecognizant.cognizant.com
• 2. Click on App store and search "OneIT" and launch the OneIT application.
• 3. On the left hand side, click on hardware and Software
• 4. Select "Customer Supplied request management"
• 5. Click on "Waiting for My Approval" in the drop down list.
• 6. Select the request ID and click on "Approve".

• Once PM approves it, CSS team would allocate license.

• Once the license is allocated (Check status here) for license request REG tracking in One IT
Portal, please follow the below steps in IT Resources application to raise software installation
request:

1. Login to OneIT page, go to the Software category and then click Request Hardware & Software. Or
Click here

1) Unable to access Trutime application:

TruTime application is accessible only for PAN India associates. Access is enabled only based on Location tagged.

TruTime application is not accessible for the associates you are tagged against TRIND, MFIND, CDIND, KBIND and
Trizetto business units.

2) I am a new joiner and unable to raise top-up :

For New joiners, Trutime compliance is not mandatory until 7 Business days from the date of joining. You will not be
able to see the “+” icon to apply Top-up however this would not impact your Trutime Average.

3) How to apply Top-up?

As we continue to WFH, associates are advised to submit their Top-ups in Trutime app as per HR guidelines. It is
expected to apply top-ups within 15 days from the current date. Any top-ups cannot be applied beyond 15 days from
the current date (Even if the manager’s approval is provided). Also, if you are working in shifts, your shift would be
updated in HCM and the same would be reflected in relevant dates on Trutime App.

1. For the levels up to SA, up to 10 hours of top-up in a fortnight, will be auto-approved. Top-ups exceeding 10 hours
in a fortnight will be queued to your manager for approval.
2. For the levels from M up to AD, up to 20 hours of top-up in a fortnight, will be auto-approved. Top-ups exceeding
20 hours in a fortnight will be submitted for approval.

Trutime App allows associates to enter multiple check-in and check-out times, (up to three entries) for a single day.

For Day Shift:

If you are working from home, then it is mandatory to submit your top-up requests in the Trutime application based
on your shift timings. Please find below the navigations and workflow to apply top-up based on shift timings. You are
expected to apply top-ups within 15 days from the current date. Any top-ups cannot be applied, beyond 15days
(Even if the manager’s approval is available, past dated top-ups cannot be updated from the backend as per HR
Policy).

If you follow day-shift login time (e.g., 06:00 a.m., 09:00 a.m., 10:00 a.m., 11:00 a.m., 12:00 p.m., 02:00 p.m.),

Follow the below steps to submit a Top-up request:

1. Login to https://onecognizant.cognizant.com and Search for “TruTime” in the App store.


2. Launch the application, select the date for which Top-up needs to be applied
3. Then, click on “+” to apply Top-up with Project Name (Remarks field is mandatory only if you have chosen
“Others” from the dropdown list.)

4. Mention the time in HH: MM (12 hr. clock format) without overlapping with the actual swipe hours available and
click on, Submit.

For Night Shift:

If you follow night-shift login time (e.g., 05:00 p.m., 06:00 p.m., 07:00 p.m., 08:00 p.m., 09:00 p.m., 10:00 p.m.) then
you are expected to apply top-ups within 15 days from the current date. Any top-ups cannot be applied beyond 15
days (Even if the manager’s approval is available, past dated top-ups cannot be updated from the backend as per
HR Policy).
Please be informed that you will have to raise Top-up requests in two parts:

For Example: If you are working from 10 PM to 7 AM on 14th Dec 2020.

• From 10:00 PM to 11.59 PM, you should apply a top-up by choosing the date as 14th Dec 2020.
• From 12:00 AM to 07:00 AM you should apply another top-up by choosing the date as 15th Dec 2020.

4) Unable to apply top-up for dates beyond 15 days

As per Trutime HR Policy, Top-up can be applied only for the last 15 days from the current date. You will find a note
on the top left corner below the Calendar option in the TruTime application. You would be allowed to raise top-up
requests only from the date mentioned there.

Top-up hours cannot be updated/ applied for the days which are beyond 15 days from the current date. (Even if the
manager’s approval is available, post-dated top-up cannot be updated from the backend as per HR Policy).

To avoid such scenarios in the future, we request you to check your TruTime and raise Top-up requests in case of
any missing timelines within 15 calendar days of the Top-up window.

5) How to submit top-ups for Multiple Days:

Multiple top-up options are used to select the date range and apply top-up on multiple dates.
You can select the dates, provide the remarks, enter the hours and submit.

6) What needs to be done if am working from the office?

If you are working from a Cognizant facility, always register your first swipe-in and last swipe-out of the day at the
TruTime readers to capture your data automatically. Associates’ first and last swipe locations are displayed in the
application, along with their swipe information.

If you have used a temporary access card for your swipes and if the swipes are not captured, you are recommended
to submit top-ups for the day mentioning the reason.

If you are working in shifts, your top-up should be applied based on the shift which is displayed in the Trutime App.
Please follow the below navigation to check the shift updated in the Trutime app,

>>You could view your shift under the “Planned Shift” option which will be displayed below the particular date.

scheduling team if there are any issues in updating/modifying shifts.

7) How to Recall or Modify submitted Top-up?

If an Associate has entered a wrong Top-up value, he/ she can cancel/ update the Top-up information using the
'Recall' option. This feature is applicable only for auto-approved/ pending Top-ups.

Please find below navigation to recall applied top-up:

Login to https://onecognizant.cognizant.com >>Search for "Tru time" application

• Upon accessing the App using the recommended app link given, you could click on the 'My Trutime' tab on
the main page in the top-left corner of the page.

• The submitted Top-up hours get displayed below the swipe-in and swipe-out details which show the hours
topped up, approval status.

• There is a downward arrow mark “View Top-up Details” which can be clicked to view the details on this Top-
up like reason, Approver name, project ID.

• There is an option to 'Recall'/ 'Recall& Modify'.

• The 'Recall' option helps you to cancel or delete the entry of Top-up for auto-approved / pending Top-ups.

• The 'Recall& Modify' helps you to modify the incorrect data and submit it again.

Note: Top-up applied can be recalled within 15 calendar days only if it is ‘auto approved’ or in ‘pending with approval’
status. If the top-up is approved by your ESA Supervisor or Project Manager, then the top-up cannot be recalled.
(Even from backend as per HR Policy)

8) How to Resubmit of Rejected Top-up?

The associate can re-submit the rejected/ auto-rejected Top-up request on the TruTime app within 2 calendar days
from the date of rejection. A top-up applied can be resubmitted only once. Approved/ Rejected Top-ups during the
last 30 days can be viewed in the Top-up notification menu at the top right corner of the page.

Please find below the navigation to re-submit the Top-up request:

1. Login to https://onecognizant.cognizant.com

2. Click on “Appstore”

3. Type “TruTime” in the search box of the Appstore

4. Launch the application

5. Click ‘View Top-up details’ & select the date for which the Top-up needs to be resubmitted and Click on the
‘Resubmit’ button.

Note:

Top-up hours that remain unapproved for the first fortnight of the previous month will be auto rejected at 10:30 a.m.,
on the 4th of every month. (E.g., Top-up submitted for the dates from 1st Sep’2020 to 15th Sep’2020, will be auto-
rejected on 4th Oct’2020- if it’s not approved by PM).

TopUp hours that remain unapproved for the second fortnight of the previous month will be auto rejected at 10:30
a.m., on the 18th of every month. (E.g., Top-up submitted for the dates from 15th Sep’2020 to 30th Sep’2020, will be
auto-rejected on 18th Oct’2020 if it’s not approved by PM).

Auto- Approvals:

1. For the levels up to SA, up to 10 hours of top-ups in a fortnight will be auto-approved. Top-ups exceeding 10

11) How to add/remove Client Location in Trutime:

Associates who continue to work from the Client location need not swipe or submit top-up in Trutime. Please be
informed that as per the new TruTime application functionality, if you have an allocation to a project which is tagged
as client location in ESA then the TruTime data would be updated as “CLT”. Please choose the action to be
performed

Note: You would not be able to raise Top-up if the data in TruTime is updated as “CLT”.

TruTime in the timesheet is just for reference and therefore we request you to submit the timesheet and it will not
affect the Timesheet data.

For the days you worked at the client location it is updated as “CLT” and TruTime will not be considered to calculate
the average. It would be ignored in Go Perform as well.

If you are working in a project within Cognizant facilities and not in client location then, we request you to reach out
to your ESA PM/ Proxy manager to make the required changes in ESA.

How to Create a Timesheet?

• Login into https://compass.esa.cognizant.com (or) log in to One Cognizant – PeopleSoft ESA application
• In fluid view, kindly select timesheet
• Select the period end date to get into the timesheet
• In Normal View, Kindly select Employee Self Service >> Time Sheet
• Select the required ‘Period End date’
• Choose the Project ID by clicking on the lookup icon and fill in all the Project hours
• Submit the timesheet
(Kindly contact PM for any queries in Activity/ Billing Action selection)

Notes:

 It takes 48 hours to get access for a new joiner to log in ESA portal post activating Cognizant credentials.
 Future hours will not be editable in the timesheet.

How to check the allocation details to submit the Timesheet?

• Click on “My Assignments” from the Homepage

You will default to the “Current” tab where could find the current allocation details and you could click on the “History” tab
to check the completed assignment details

 For any project allocation/discrepancies query kindly reach out to concern PM and for PDP queries please reach out
to Talent Supply Chain SS (Cognizant) GWFMSS@cognizant.com.

• For past month allocation modification/ tagging, please do request the PM to check with the
CMTRAssignmentSS@cognizant.com

How to modify the submitted timesheet?

Once if the timesheet is submitted, the same will not be editable unless the same is sent back or approved. Once the
timesheet is sent back you could open the required timesheet and submit the same for approval.
Once the timesheet is submitted then the same will be pending with PM/ESA Supervisor/ UPPM BI. Please do
contact the approvers to reject the timesheet if any modification is required.

How to modify the approved timesheet?

• Login into ESA using the URL https://compass.esa.cognizant.com


• In fluid view, kindly select timesheet
• Select the period end date to get into the timesheet
• In Normal View, Kindly select Employee Self Service >> Time Sheet
• Select the required ‘Period End date’
• Select the Version Action as "Create Revision" and then click on the Go button

Note: Now the status of the Time report will be changed from "Approved" to "Pending"

• Fields would become editable now, kindly update the details in the timesheet report
• Click on "Submit with confirmation" to submit the timesheet
• "Version action" option would be enabled only after 4-8 Business hours post-approval.

Ø No backend rejection or modification is possible for the timesheet data.

Will I have access to modify the past month's timesheet?

Please be noted that it is possible to modify the approved timesheet of current + past 3 months only. It is not possible
to edit the timesheets before that since billing for the past month would have been completed already. Even back-
end modification cannot be done.
In case of any billing issues of the project please get in touch with the Vertical finance team.
DL for vertical finance: Type ESA Finance in outlook and then press CTRL+K and select the respective vertical and
drop a mail to the vertical finance

How to approve the timesheet?


• Login to ESA (https://compass.esa.cognizant.com)
• Click on the MTR screen.
• Click on "Revenue & Timesheet "
• Click on the search icon and select the project ID from the popup
• Select the Date Range and click on Get data to view the timesheet
• Once If PM clicks on the "Approve Timesheet and Revenue" button then both the timesheet and revenue will be
approved

Note:
• Onsite/offshore approver roles will be removed from the timesheet approval workflow.
• Once action is taken by PM or PS, then the timesheets will be removed from their queue.
• For PM, the approver will always be HCM Supervisor with no edit option.
• For select projects, based on the customer contract or project type, activity-based billing will be enabled.
• For CRPIT/PDP/Bench projects with NBL billability will be auto-approved except for contractors

How to submit a blank timesheet (Complete week leave timesheet)?


Kindly be noted if you are trying to submit the timesheet for a period that has complete leave hours, then only a blank
timesheet has to be submitted without filling in project details or working hours.

(Note: The leave hours should be applied in HCM and should be ported to Timesheet. The timesheet cannot be
completely blank)

In this case, kindly request you to follow the below steps:

• Login into ESA using the URL https://compass.esa.cognizant.com


• In fluid view, kindly select timesheet
• Select the period end date to get into the timesheet
• In Normal View, Kindly select Employee Self Service
• Time Sheet Select the required ‘Period End date’
• Do not fill the project ID (If already populated, kindly click on the "-" sign at end of the row in the project hours line to
delete the project details.)
• Click on Update Totals and check for the leave details in the Time Off row (If leaves are applied in HCM) and check if
location holiday is updated in Holiday (Public/National) row if any.
• Click on 'Submit with Confirmation' to submit the timesheet.

How to remove a regional/national holiday from the timesheet?


• Login into ESA using the URL https://compass.esa.cognizant.com
• In fluid view, kindly select timesheet
• Select the period end date to get into the timesheet
• In Normal View, Kindly select Employee Self Service
• Time Sheet Select the required ‘Period End date’
• Please remove the 8 hours from the holiday hours and click on submit with confirmation

NOTE: Please do not click on update totals as it would refresh the page and the holiday will appear again. Please
directly click on submit with confirmation.
How to submit a timesheet against multiple projects?
• Login into ESA using the URL https://compass.esa.cognizant.com
• In fluid view, kindly select timesheet
• Select the period end date to get into the timesheet
• In Normal View, Kindly select Employee Self Service
• Time Sheet Select the required ‘Period End date’
• Fill in the “Project” and enter the project hours
• Click on ‘+’ to add a new row to add multiple projects
• Submit the Timesheet.

Note: Please do check the “My Assignments” in ESA for the allocation clarification.

Project, Activity ID combination not valid - PC business unit error:

• Login into ESA using the URLhttps://compass.esa.cognizant.com

• In fluid view, kindly select timesheet


• Select the period end date to get into the timesheet
• In Normal View, Kindly select Employee Self Service
• Time Sheet Select the required ‘Period End date’

• In the timesheet, please click on the "-" button at end of the row where we update project efforts.

• Delete all the data.

• Fill in all the mandatory details

• Click on "Submit with confirmation" to submit the timesheet

Hours cannot be entered – Error:

This error will be due to the incorrect project ID selected while entering the timesheet. Timesheet
application will allow you to submit the timesheet if and only if you have an allocation against the project on that
specific date.

Unable to access Timesheet:

If you are a new joiner and have created a password recently then it takes about 48 hours from the password
creation to access the ESA portal. If you still receive any error while accessing the page, please do follow the below
navigation to clear the all-time cookies and cache of the browser.
For IE browser:
Step 1: Go to Tools in Browser and select Internet Options:
Step 2: Under the browsing, history tab click on the "Delete" button to delete the temporary files and cookies
Step 3: After clicking the delete button please uncheck the "Preserve favorite’s website data"
Step 4: Go to the content tab and click on "Clear SSL State"
Step 5: Close all the browsers and open

For Chrome browser:

1. Click on Settings in Chrome


2. Scroll down and click on the advanced button
3. Select Clear Browsing data
4. Click on the Advanced tab Advanced
5. Select All Time from the drop-down and click on Clear data
6. Close the browser and open

Unauthorized Error in timesheet page:

If you are getting unauthorized error in timesheet login page, please drop mail to Fast@cognizant.com for Profile
save in ESA, once profile is saved you could able to access within 24 hours.

Unable to modify partially approved timesheet:


If timesheet is submitted against two projects and Project A manager approves and Project B manager Send back -
Only project B would be editable.
Post the approval of two project, you could able to create revision for timesheet modification.

1. How to Access HCM?

If you are a new-joiner, it would take about 24-48 hours for id activation. We request
you to wait and check accessing the portal after this time.

Peoplesoft HCM could be accessed either via One Cognizant or via direct URL.

• Once the document is submitted for HR approval it will take minimum of 24-48 hrs. to
process the request. For any approval issues, you could raise ticket with keyword
“Can you please approve my name change request” in https://1ct.es/ls

• Once approved the details will flow to other downstream portals in 24 hrs.

To edit the Existing Name:


Please ensure that you hold a valid supportive document that matches the name you update in
the portal and supportive document are same.

edit the existing number.

3. Update all the applicable phone types and finally click on Save.
To authenticate your number:
1. Only “Personal (Mobile)” type could be authenticated.

2. Once after saving the updated number you will get “Authenticate” option relevant to the
personal mobile field.

3. Click Authenticate >> Click “I Agree” and “Submit” to proceed further

4. Provide the OTP sent to your personal number and click “Verify OTP”

5. Now the status would be changed to Authenticated

For any OTP issues, you could raise ticket with keyword “Phone number authentication issues in
HCM” in https://1ct.es/ls

Note:
1. You will now be able to add Personal (Mobile), V-Net, Work (direct), Residence and
Business phone types in HCM.

2. The Country code will get auto populated as per your current HCM location.

3. Personal Mobile type refers to your primary contact number. You can control whether to
make it visible in Outlook. Please note that it will not be flowing into Outlook by default.

However, this phone number will be used by critical apps like BCM during emergencies even
when the flow to outlook is disabled.

4. Business Phone type refers to Cognizant provided number and it will be auto ported to HCM
and Outlook by default and there is no option to change the flow to outlook.

5. Work Direct phone type can be used to update your desk phone number with state code.
You may also add Mobile number which is used for work purpose. This will flow to Outlook by
default and there is no option to change flow to Outlook.

6. Residence type can be used to update your residence mobile or landline number (with state
code). This is an optional filed and will not flow to outlook.

7. VNET will flow to Outlook by default and should be of 6-digit.

8. Please note that it would take 24 - 48 hours’ time for the changes to reflect in Outlook.

9. Your Personal mobile / Business / Work phone / Emergency contact number cannot be
same. If entered phone number already exist, please enter a different valid phone number.

10. If you are unable to update the Mobile number in HCM, make sure your National ID (PAN)
details are approved in HCM.

Email Address:
Now VPN is not mandatory to authenticate E-mail address
Please follow the below steps to update and authenticate your email address,

b. Click on “Add email address” and choose the type from the dropdown list as “Personal
(e-mail)” >> Update the email address and finally click on Save.

To authenticate your e-mail:


1. Only “Personal (e-mail)” type could be authenticated.

2. Once after saving the updated number you will get “Authenticate” option relevant to the
personal e-mail field.

3. Click Authenticate >> Click “I Agree” and “Submit” to proceed further

4. Provide the OTP sent to your personal mail and click “Verify OTP”

3. Once the document is approved by the backend team, the details will flow to other

ESA Location has to be updated by your project manager in ESA portal.

Under Seat Tagging you will be able to check the ESA project location. Once the ESA location
is updated, you will be able to edit the work address

If your seat is tagged in My Workspace, it gets automatically ported to HCM within 24-48 hrs.
Hence edit option would not be available.

If your seat is released due to location or project change, Edit option would be available and
you could edit your work address and save it until you are tagged to a new seat as per your
new location or project. P.S: The data will be ported to Outlook properties within 24-48 hrs

2. This will show the effective date as today by default, you have to select the reason from the

Please follow the below navigations to add the dependent information and the system would
consider the latest “Active” record as the updated record.

• Now click on “Dependent Address” Tab > Here you need to enter address and contact
information of your dependent

• You can Select “Same as Employee” check box

• Now click on “Dependent Profile” Tab Enter Birth date, location of your dependent

• Choose “effective date” and “As of Date” as current date and update all the information
mention on the tab.

• Click on “Save” "

Note : National id of dependent is not mandatory hence if the national id is not available you
can provide your or else you can ignore and continue.

Beneficiary type should be chosen as “COBRA” for NA associates and “Both” for Indian users.
It would take 24 hrs to reflect in other downstream portal

Delete Dependent Details:


"Please be informed that if you wish to delete any existing record, since it is incorrect or
updated by mistake, you may choose the Dependent status as “Inactive” under the Dependent
Name tab and “SAVE”

9. Apply Leave & Cancellation:

Leaves which are past dated beyond 15days from the current date could not be applied from
portal. For those past dated leave, you can raise ticket with keyword “back dated leaves “for
backend update

If the leaves are not approved by your supervisor, it would be auto-approved on the third day
from the leave date.

To cancel leave:

Unapproved leaves will be cancelled as soon as the cancellation is initiated.

To Re-apply leave or to apply saved leave:
• Please navigate to absence history page by clicking

• Click on Edit option relevant to date and re-submit the leaves.

Note: If you have cancelled a leave, the same can be resubmitted in Absence history but the
details cannot be edited

Edit option will be disabled if the status of the leave is in “Cancellation initiated” in
Absence history. In this case please reach out to you supervisor for approval.

You will have to apply a new leave request from Apply/schedule

10. What is Compensatory off?


Comp off request could be applied for the Holidays you worked. You will be allowed to apply
compensatory off only if the specified date is said to be Holiday as per HCM shift scheduler.
Also, please confirm if the holiday worked date lies within 60 days from current date.

Note :
1. The compensatory off leave request will be submitted for Supervisor approval. There is no
auto-approval process is in place for the compensatory off request.

2. Approved compensatory off is valid only till 60 days from the date of work/date of holiday
and you could see the leave type in Leave balance page post approval.

3. You can avail the comp off by applying the leave via

4. Compensatory leave request is valid only for 60 days from the date of work. Hence
supervisor has to approve and you should avail the leave within 60 days from the Holiday
worked.

5. In case the HCM Supervisor has not approved the compensatory off leave request then the

compensatory leave balance will not be credited to avail leave.

6. Compensatory off cannot be applied on a working date hence please reach out to Project
Manager to have the Holiday/Week-off to be updated promptly.

1) How to raise ID card requests?
ID Card requests should be raised by associates using the following navigations,

 In Appstore please enter the ID card app.
 ID card application will get open.
 In that application select the reason for applying for a new ID card.
 You could upload the image by clicking on ”Upload image” for the ID Card
 Click on submit

2) How to raise an Access card request?


Access Card requests should be raised by associates using the following navigations

2. Click on App store
3. In the App Store search bar, type Access Card and search
4. Launch Access Card 2.0 application and select Long-Term or Short Term Access accordingly.
5. Seat number, City- Facility, Building- Floor- Wing, Door number and Account name will be auto-populated.
6. Click on Submit.
Note: Once the request is submitted, the request will be queued with ODC Manager for approval, after which the
request will be queued with the Location admin team- AdminHelpdesk@cognizant.com

3) How to check the status of the Access card request?


To check the status of the submitted access card request you could follow the below navigations,

1. Login to https://onecognizant.cognizant.com
2. In the Appstore search bar, type Access Card and search.
3. Launch Access Card 2.0 application
4. Select the URL “Click Here to view your access request”.
5. You could able to view the request history along with the Approver name and Associate ID.

It would take about 4 Business Days to complete the request.


The request will be pending with ODC Manager Approval for 3 business days- after that, the request will get auto
rejected.
After ODC Manager’s Approval, it will take 1 business day to get processed by Location Admin Team.

1) Steps to Access Cognizant Learn:
Cognizant learn is a learning platform where an associate could enroll and complete a course. There
are too many types of courses that Cognizant offers to its associates to develop themselves.

One could access Cognizant learn by accessing the below link:

New-joiners will have access to Cognizant Learn after 24 hours from the date of Joining.

Associates could search and enroll for different courses based on their roles or interest and avail
certifications for all the completed courses. Each type, of course, would have different criteria for
completion.

We have many learning platforms along with Cognizant learn which Cognizant provided. Kindly refer to
the Be Cognizant link:

2) Organizational Mandatory Course in LRN portal:


Note:

• Organizational Mandatory courses could be launched in the LRN portal.


• Please be informed that the courses will be assigned by the backend team and an email trigger will be
sent from the Office CCO mailbox stating to take up the activity.
• Please wait for the email trigger from the Office CCO mailbox.
• Any internal email communication sent from your BU will not be addressed by us.
• New Joiners will have access to the LRN portal only after 7 days from the date of Joining.
• Applicable only for Healthcare Department - Please check if you have the active allocation for the
Healthcare project in ESA. You can try accessing the course after 1 week from the date of allocation to
the Healthcare project.

We suggest accessing the LRN portal from Chrome/Edge browser, please follow the below steps
1. Login to https://cognizant-console.lrn.com
2. Click on Mandatory Learning
3. Click on the relevant course to launch

You shall follow the below navigation to check the course completion status,
Login to https://cognizant-console.lrn.com/notifications/history to check the course completion status.

Please ensure to visit all the slides. Skipping/ fast-forwarding any slides will not capture the course
completion. There is no backend process to update completion.

Associates on leave are excluded from taking up the courses if their long leaves are submitted in the HCM
portal and approved by their Supervisors.

3) Click on Content tab >> Click on Clear SSL State.
4) Click on Privacy tab>> Uncheck "Turn on pop up blocker option">> Click on Apply>> Click on OK

Steps to be performed in Chrome browser:

>> Open a new Chrome browser by closing all the existing browsers

When launching an online course, if you get a blank screen, kindly follow the below steps to activate Flash
In the course window, on the top left corner click on the lock icon.

>> come back to the course page (click on ALT+TAB on your keyboard)
>> click on reload.

4) How to use SumTotal Mobile App?


Perform the following steps to access SumTotal Mobile for the first time.
1. Download SumTotal Mobile from your app store.
2. Add this URL when prompted http://cognizantlearning.sumtotal.host/Core/
3. Enter your Cognizant User ID & Password to login.

Note: The language the app uses is based on the language/locale settings on your mobile device. If you
select a language that's not supported, the app displays in U.S. English.

Keep the following considerations in mind:

 You must be online during your first login attempt. During the first login attempt, the mobile app
validates the mobile site URL and your login credentials. This validation cannot be completed while
you are offline. If the URL is valid, the app saves the URL so that you do not have to enter it again.

 During your first login attempt, your company logo does not appear on this screen because the app
has not been connected to your company's server yet. After you log in once, when you log in again,
you will see this logo.

• Enter your Username and Password.


• Tap Sign In.
• Set a four-digit numeric PIN for offline access later. Setup PIN appears only on the first-time login
with the SumTotal app in Mobile.
• The SumTotal Mobile Home page opens.

Note: The PIN is device-specific. For example, if you access the app on your smartphone then later access
it on a tablet, you must create another pin because it is a new device.

Mobile Home Page

The LEARN Mobile Home page includes several widgets like:

• Resume Learning: Provides the user with quick access to all recently launched, incomplete training
items.
• My Courses: Displays all incomplete registered and assigned activities. If you’re registered for a
curriculum, all incomplete activities included in the curriculum are displayed on this widget.
• Recommended Activities: Displays recommended activities based on your interests, required skills
and suggestions from others in your organization.
• My Interests: Displays activities based on the interests you’ve selected.

Note: All these widgets will appear only for mobile-enabled activities.

Access the Mobile Menu

Tap to view the Mobile menu.

The available menu options vary depending on the user's role. You will see any of the following:

• Myself

• Home: Tap to access the mobile Home page.


• Tasks: View incomplete, assigned tasks.
• Courses: Interact with your in-progress, downloaded, and assigned activities.
• My Checklists: Manage your observation checklists.
• Evaluation: View your assigned activity evaluations.
• Training Transcript: View your completed learning activities.

• My Team

• Team: Access your team, view profiles, and complete relevant workflows.
• Approvals: Approve or deny registration approval requests. (Steps given in pg.7)
• Observer Checklists: Manage observation checklists that have you assigned as an observer.
• Reporting: Run reports. Saved reports open with the compatible reader available on your mobile
device. Your device must be equipped with a compatible reader to view these reports.
• Signout: Log out of your current user sign-in.

5) Completion Porting from Cognizant Learn to Other Apps:

Once after completing the course in Cognizant Learn, check the status by below navigation (Navigate to
Section 5 for detailed steps)

Once the completion is reflected in Cognizant Learn, It would take about 24Hours for the completion to
get ported to My Learning or any other portal from Cognizant learn.

6) External Certification Upload & Approval queries:

External/Professional certification should be done externally and not in Cognizant learn. Once after
successful completion, the learning certification could be recorded in Cognizant learn and the status of
the course could be completed.

Navigation to record an external certificate in My Learning Studio:

>> Login to https://onecognizant.cognizant.com >> Open My learning Studio


>> Click on menu bar on top left corner >> Select My Space option
>> Select External credentials
>> Under the certification option, select a new request
>> Search for the certification with the course code/name
>> Enter the required details, attach the document of the certificate and click submit.

Note: The attached certificate will go for approval by your supervisor. Kindly reach out to your supervisor
for the approval process.

For external certificate approval:

Please follow the below navigation to approve an external certification (action to be performed only by
Supervisor),

7) RDP & SkillUP:

SkillUp had replaced RDP hence only Trainees would be able to access RDP.

Please be informed that the RDP Trainee program will get generated from the backend by the RDP
team. In case the RDP-Trainee program is not generated nor need to change the RDP-Trainee program
then, please drop an email to the below,

The auto-registered RDP program will be available under the RDP module, please follow the below

Please ensure that the program is completed within 12 months from the date of joining. An email will be
triggered every 30 days once to ensure that the RDP-Trainee program is completed within the stipulated
timeline.

Once you are confirmed, your RDP will be made inactive and you can start accessing My Learning
Studio (SkillUp) to complete your Yearly Learning Goal.

1) Apply Leave:

Leaves that are past dated beyond 15days from the current date could not be applied via HCM
portal. For those past dated leaves, you can raise a ticket with the keyword “backdated leaves “for
backend update via Live-Support GSD in One Cognizant.

Any leaves within 15days could be applied by following the below navigations,
Please find below the Navigation to apply for Leave in HCM:

• Login to

• Select the start and end dates
• In the Absence Type, choose the relevant absence type and then Click Calculate
Duration.
• Click Submit

The leaves would be submitted for the Home manager's approval. Post-approval your leaves
would be reflected in the downstream portal within 24hours.

If the leaves are not approved by your supervisor, they would be auto-approved on the third day
from the leave date.

2) Leave Cancellation:
Leaves that are past dated beyond 15days from the current date could not be canceled via
HCM portal. For those past dated leaves, you can raise a ticket with the keyword “backdated
leaves” for backend update via Live-Support GSD in One Cognizant.

Follow the below navigations to cancel the leave,


1. Login

2. Choose the leave which you want to cancel and click Submit.

Note: Approved leave could be cancelled however the cancellation will be submitted
again for HCM supervisors’ approval.
Unapproved leaves will be cancelled as soon as the cancellation is initiated.

3) How to Re-apply leave or apply the saved leave?


Follow the below navigations to re-apply the cancelled/ saved leaves from HCM portal,

• Please navigate to the absence history page by clicking

• Click on the Edit option relevant to date and re-submit the leaves.

Note: If you have cancelled a leave, the same can be resubmitted in Absence history
but the details cannot be edited

Edit option will be disabled if the status of the leave is in “Cancellation initiated” in
Absence history. In this case, please reach out to your supervisor for approval.

You will have to apply for a new leave request from Apply/schedule
(https://compass.talent.cognizant.com/psc/HCMPRD/EMPLOYEE/HRMS/c/CT_FLUID_MNU.
CT_ABS_EES_REQ_FLU.GBL?Page=CT_ABS_SS_REQ_FLU&Action=A), leave the module
in case the leave details have to be edited.

4) What is Compensatory off?


Comp off request could be applied for the Holidays you worked. You will be allowed to apply
compensatory off only if the specified date is said to be Holiday as per the HCM shift
scheduler.

Also, please confirm if the holiday worked date lies within 60 days from the current date.
Please follow the below navigation to request compensatory off leave:

1. Login to

2. Mention the Holiday date and hours that you have worked with reason.
3. Click Submit

Note:

1. The compensatory off leave request will be submitted for Supervisor approval. There
is no auto-approval process is in place for the compensatory off request.
2. Approved compensatory off is valid only till 60 days from the date of work/date of the
holiday and you could see the leave type on the Leave balance page post-approval.
3. You can avail the comp off by applying for the leave via
https://compass.talent.cognizant.com/psc/HCMPRD/EMPLOYEE/HRMS/c/CT_FLUID_
MNU.CT_ABS_EES_REQ_FLU.GBL?Page=CT_ABS_SS_REQ_FLU&Action=A in
manage absence by choosing leave type as Compensatory off.
4. Compensatory leave request is valid only for 60 days from the date of work. Hence
supervisor has to approve, and you should avail of the leave within 60 days from the
Holiday worked.
5. In case the HCM Supervisor has not approved the compensatory off leave request
then the compensatory leave balance will not be credited to avail leave.
6. Compensatory off cannot be applied on a working date hence please reach out to the
Project Manager to have the Holiday/Week-off to be updated promptly.
7. You would be able to check the status and expiry date of the comp off in
Compensatory Off Status page,

5) Where to check my Leave Balances?

Follow the below navigations to check your Leave balances and their expiration date

2. You will be able to check the remaining leave types and their expiration dates respective to
the leaves.

6) Where to check my Holiday List and Policies?

Follow the below navigations to check the FAQs and the holiday list,

• You would be able to see 3 icons on the top right corner

a) First icon would be the list of holidays for all the Cognizant Locations
b) Second icon gives you the Leave Policy
c) Third icon will have the FAQs related to Leaves.

HOLIDAY LIST

To view the Holiday list

• Login to Peoplesoft HCM (https://compass.talent.cognizant.com)


• Navigate to Main Menu >> Employee Self-service>> Manage Absence
• Click on Apply / Schedule Leave
• Click on the first icon which is the “Holiday Schedule”
• An excel would be downloaded with location specific holidays
• Holiday schedule available in Be.Cognizant page
