COMMUNICATIONS INTERNSHIP

TERMS OF REFERENCE

Internship Title : Communications Intern

BACKGROUND

1. The AHA Centre – ASEAN Coordinating Centre for Humanitarian Assistance on disaster
management – was established in 2011 by the ASEAN Member States (AMS) to facilitate
cooperation and coordination among the AMS and with the United Nations and international
organisations for disaster management and emergency response in the region. The AHA
Centre is the operational manifestation of the ASEAN Agreement on Disaster Management
and Emergency Response (AADMER), which was signed by the ASEAN Foreign Ministers in
2005 and entered into force in 2009 as a regional framework for cooperation, coordination,
technical assistance, and resource mobilisation in all aspects of disaster management.

2. The AHA Centre Communication Unit is responsible for creating, developing,


implementing and managing the Centre’s external communication activities, which includes
developing and implementing communication strategies to raise awareness of the AHA
Centre's vision mission, activities, and achievements through the AHA Centre website, social
media, publications, and other communication channels, various channels.

3. In this regard, the AHA Centre opens the opportunity and invites qualified students or
fresh graduate(s) as an intern to experience working in a world class organisation. The
Communications Intern will work closely with Communications Officer and as necessary with
the Knowledge Management Officers of the AHA Centre. The internship offers three key take-
aways for the successful intern candidate(s), as follows:

a. Promote growth and learning opportunities to qualified students in ASEAN;


b. Offer opportunity for outstanding and qualified students to experience and obtain
direct exposure to the AHA Centre’s activities and international community,
whereby the intern will have practical experience in various aspects of real work in
the regional organisation;
c. Provide opportunity for qualified students to learn and take part in events on
disaster management and leadership facilitated by international experts.

TASKS FOR THE INTERN:

4. The Communications Intern is expected, amongst others, to perform the following


tasks:
• Assist in developing monthly social media content and executing social media
strategies;
• Assist in developing the editorial plan and articles for the AHA Centre's Monthly
Newsletter 'The Column';
• Assist in organising communications-related training activities for the National
Disaster Management Offices (NDMOs) of the ASEAN Member States and AHA
Centre staff;
• Take stock of and develop a database of all AHA Centre publications;
• Provide administrative support to the communications unit;
• Assist in any other events organised by the Communication Officers; and
• Other tasks as assigned by the Communications Officers.

EXPECTED OUTPUTS:

5. Throughout this internship experiense, the succesful candidate is expected to gain


the following knowledge and exposures:

• Develop awareness and understanding of disaster management and its challenges


within the ASEAN region;
• Demonstrate the ability to critically assess, evaluate and monitor impacts of the
communications strategy of the AHA Centre; and
• Demonstrate an understanding of professional and ethical work practices, including
management, coordination, and administration skills.

6. The successful candidate is also expected to deliver the following outputs:


• Articles published in the AHA Centre’s Monthly Newsletter ‘The Column’;
• Contents published on the AHA Centre Social Media platforms;
• Compiled database of AHA Centre publications (physical and e-publications);
• Presentation of their experience and learning points at the end of their internship to
the AHA Centre's staff in the staff meeting;
• Submission of an article on their experience at the end of their internship for the
AHA Centre Monthly Newsletter; and
• Submission of a formal report on their set objectives or research deliverables for
the AHA Centre's knowledge management.
QUALIFICATIONS:

7. Candidates for the internship programme are to be selected on a competitive basis.


The following qualifications are pre-requisites for internship:

• Bachelors or Master degree student who is currently studying in a recognised higher


institution or fresh graduate from the following disciplines; Communications Studies,
International Relations, Public Relations, Management, or related disciplines;
• Priority will be given to ASEAN nationals; second priority will be given to nationals
from ASEAN Dialogue/Development/ Sectoral Partners currently studying in higher
institutions or universities;
• Have adequate interest working in disaster management;
• Posses ablity to adapt to new environments and to work with individuals from
different cultural backgrounds;
• Have good research and writing skills;
• Have good understanding and experience on maximising social media will be an
advantage;
• Possess reliable knowledge and skills on using Microsoft Office software;
• Have basic knowledge and skills on using software for graphic design or video
production;
• Proficiency in written and spoken English.

Interns will work under the supervision of identified staff members at the AHA Centre
i.e. responsible officer (RO). Interns are expected to be based in Jakarta and will conduct
the internship on-site at the AHA Centre office with occasional work from home
arrangements. A transportation allowance during the internship will be covered by the
AHA Centre.
