Title: Reflection of the first workshop I have conducted

Medical education or continuous healthcare education among students and


healthcare professionals is significant in order to improve their skills and practice in
transforming to become a competent professional that serves for the community.
Relatively, reflective writing is an efficient practice and provides golden opportunity
for healthcare professionals and students to identify and analyze their weakness
together explore ways to prevent for the challenges to reoccur (Artioli, et al., 2021).
Moreover, Desselle, et al., (2019) mentioned in an article that reflective practice
which is applied by healthcare professionals in clinical settings aid them to analyze
their previous experiences or tasks in order to produce a reliable conclusion or
judgement in a clinical pratice.

Reflective writing can be performed by using various models and I would like to use
Gibbs Reflective Cycle Model to write my reflectiom regarding the workshop that I
have conducted on 27th May 2023. According to Wain (2017), Gibbs Reflective Cycle
Model was developed on year 1988 to motivate students to investigate different
stages of an activity or an experience systematically. Gibbs Reflective Cycle Model
is a cylical process that consist of six phases as shown in Image 1 below.

1. Description

During the initial stage of reflective writing, Galli & J. New (2022) describe that the
author should explain an activity, experience or a situation from the top to bottom
where one should answer questions like “what happened?”, “when and where did the
activity happened?” and “who are involved in the activity?”. My friends and I have
done sufficient survey and analysis in deciding the appropriate title to conduct a
workshop. We have identified in a journal that in healthcare system and education,
students experiencing poor mental health where the students acquire mental health
disorders which has increased to 20% in year 2016 from 10% from year 2011 (Fauzi,
2021). Thus, my friends and I decided to conduct a workshop on stress management
by using DEAL framework involving the participation of nursing students from final
year. The workshop was held at Tutorial Room A University Science Malaysia (USM)
with the supervision of lecturers from Medical Education Department. The main
objective of the workshop is to manage stress and to recognize potential stressors
together to educate the steps to develop a personal action plan for stress
management. There was no appointment of leader in organising this workshop as
tasks and responsibilities delegated equally and we worked together as a team in
completing and succeeding each task.

2. Feelings

A part from that, I have experienced various emotions throughout the journey of
managing this workshop. Firstly, I was feeling happy and excited because I was
given an opportunity to conduct a workshop for the first time in an university with my
friends from Medical Education Program. Next, during the planning phase of the
workshop, I feel overwhelmed and pressurize as I have many tasks to be fulfilled
together with assignments and daily working life. However, later I felt happy and
grateful when I was able to work together as a team to face and resolve the
challenges throughout the journey with the support from lecturers and made the
workshop as a succesful project.
3. Evaluation

The workshop was planned and conducted as per the deadline given by the faculty
members. The Gantt Chart (Image 2) below shows the start and finish date of the
elements of our workshop such as planning, looking for resources and funding.

In this workshop, we have applied two types of evaluation method to identify our
strength and weakness of the workshop which are formative evaluation and
summative evaluation. Formative evaluation provides relevant feedbacks from
students to fill in the gap of the program whereas summative evaluation performed to
receive judgements about our workmanship of the workshop from the participants
(Das, et al., 2017). I have created a pre and post evaluation workshop form using
Google form which is consist of 15 questions and total 27 students responded. We
have received registration through Google Form of 31 participants. Nevertheless,
only 27 participants present for the workshop and other four students were absent
due to illness.

4. Analysis

On the other hand, I have faced a lot of challenges in conducting the workshop.
Firstly, it was very difficult to gather participants for the workshop as it was during
weekend. My team members and I have consulted our lecturer, Dr Nurhanis for
guidance, support and advice in obtaining number of participants. Then, in order to
get resources for the workshop, we have faced difficulty to get funding as we were
unable to get approval for our budget because the Dean of the Medical Department
was busy with examinations and meetings. Fortunately, our program coordinator, Dr
Jamilah has kindly offered financial aid upfront for us to proceed for the preparation
of resources and materials for the workshop. Other than that, we have faced many
disruptions while conducting the workshop such as poor internet connection in
Tutorial Room A and limited resources like one microphone and there was no laser
point for the presentation. Therefore, we have used our own resources for the
presentation and diverse our presentation with games, activities and Q&A sessions.
Besides that, the feedback for the workshop was all positive and no negative
feedback was received from the participants. We had maximum engagement from
the students throughout the workshop and the student refers to the workshop to be
beneficial, useful and aids them in managing stress. Image 3 below shows the

5. Conclusion

As a conclusion, reflective writing of this workshop has helped me in developing


critical thinking and as a self-reflection to recognize the strength and weakness as an
individual and in a team. Ezezika O (2022) mentioned that the benefits of reflective
writing is to make betterments in an individual applied critical thinking , metacognition
and self awareness of their learning together creates best understanding of
professional healthcare practices. Similarly, with the full involvement in this workshop
from start to end, I have gained high confidence level, able to work in a team by
delegating tasks and sharing ideas and allow me to recognize area of my deficiency
in conducting an educational program. Lastly, I am very thankful that this opportunity
was given to me that allows me to understand the importance of teamwork.

6. Action Plan
What would I like to change or implement when I was given a chance to conduct a
workshop again in future? There are three aspects I would like to carry out during the
planning of the workshop. Firstly, I will look for the appropriate location and venue
upfront before finalizing the number of participants for the workshop which is
equipped with adequate resources for the activities. This effort will help me to rectify
any issues and problems with the resources available and I will able to resolve the
problems prior to the workshop. Furthermore, I will look for sponsorship or
organizations for the workshop prior to prepare for resources for the workshop to aid
with financial constrain. Finally, I will hold a weekly meetings with my peers to follow
up with the planning of the workshop either face to face meetings or via online
meetings to discuss for any changes, improvements or sharing ideas regarding the
workshop.

Conclusively, this workshop was very successful with the support of the participants,
lecturers and teamwork among our group members.
