INTRODUCTION

This assignment is about explaining five communication channels and giving an example from
the given scenario. We also explain communication process which are found on the scenario
which are source, message, and encoding. We discuss and explain the importance of
communication on organizations.

2
QUESTION 1: COMMUNICATION CHANNEL

Downward communication channels- managers, such as the administrative manager, use this
type of communication to keep their subordinates informed, provide them job-related
instructions, and provide feedback on their performance. It refers to something that comes
from the top and descends. Mr Kobus, the CEO of United Welders (pty), advised his colleagues
to utilize diffusion welding, which is environmentally friendly; this is a formal communication
method.

The term "upward communication channel" refers to information flowing upward from
employees to Mr. Kobus. This style of communication serves as a feedback mechanism,
transferring information from lower to upper management levels. The administrative manager
can use employee feedback to evaluate the success of the company's communication methods.
Because they don't comprehend diffusion welding, the employees advised that they need
training or a workshop. Some lower-level employees with no formal education have expressed
their dissatisfaction with the situation.

Horizontal (horizontal) communication channel- this style of communication is informal and

takes place between people of equal hierarchical rungs. It assists individuals in resolving their
own issues before involving others in their personal issues. This conversation takes place in
small groups or face to face. Most employees at united welders are unfamiliar with the notion
of diffusion welding, they attempt to share information with one another.

Diagonal communication channel—this occurs within the organization at several levels of

power. This form of communication occurs between individuals who are not in the same
department or at the same organizational level. Employees at United Welders, for example,
asked the COO to communicate with the CEO about the need for diffusion welding training and
a workshop.

Communication that passes through channels other than those expressly created by the
organization is referred to as grapevine communication. Employees of the United Welders
participate in this type of channel to discuss their leader, Mr. Kobus. Rumors and information

3
are passed around the grapevine in an informal manner (Marotti and Glackin 2005). Grapevine
occurs in employees' informal and inter-personal interactions. Informal groups share
information and opinions with one another and with other informal groups. During lunch
breaks, for example, some lower-level employees with no formal education have said that
diffusion welding is too difficult for them.

4
QUESTION 2: COMMUNICATION PROCESS

Source or communicator- Ms Shongwe is the originator of the message.

Encoding- principal wrote a letter and instructed leaners to give it to their parents.

Receiver- learners received the letter from the principal and they were instructed to give it to
their parents, Learners and parents are the receiver.

Decoding- principal wrote a letter that the school will be offering evening extra mathematics
lessons and instructed learners to give it to their parents.

Message- the principal at xikwembu high school, she instructed leaners to give their parents a
letter that the school will be offering evening extra mathematics lessons to address the matter.

Channel- principal is the channel, the principal delivered the message to the receiver through a
letter.

QUESTION 3: COMMUNICATION IMPORTANCE FOR ORGANIZATION

1. Improve their efficiency by updating their manufacturing processes to take advantage of new
and more efficient technologies, as well as training workers to operate the new technologies
and expand their skills.

2. To improve quality, managers must communicate the meaning and importance of high-
quality products to all members of an organization.

3. Assist in improving customer responsiveness.

4. A stronger bond with local communities in the marketplace.

5. Effective communication may contribute to organizational success by reducing the likelihood

of misunderstandings and, thus, grievances and lawsuits.

6. Assists employees in understanding their employment terms and conditions, thereby

increasing their commitment and loyalty. Investors will benefit from improved financial results
and significant returns.

7. Improves managerial efficiency; communication is critical for managers' and the entire
organization's quick and effective performance. Communication improves organizational
collaboration and harmony. Higher employee satisfaction and decreased employee turnover
will result from increased employee engagement with their work.

QUESTION 4: MEMORANDUM

TO: Mr. S Mpanza REF NO: 12370851

FROM: 074 262 7491 DATE: 13 May 2022

SUBJECT: difficulties during examination

For the examination, I encountered numerous obstacles, including a lack of motivation, which is
one of my major issues that I must address during the upcoming exams. Exam anxiety has been
a problem for me because of the high stakes and high pressure nature of exams. I had trouble
interpreting the question and wasn't sure how to respond in the correct language for the
marker. Because I struggled to log in to myunisa and the Moodle app during the exam due to a
technical issue, I was unable to begin writing my exam on time because I battled to log in until it
resumed operating after 30 minutes.

I had a panic attack during my exam because I was nervous and my heart rate had increased,
making it difficult for me to think clearly. As a result of the panic attack, I forgot some of the
things I had studied. During my assessment, there were numerous distractions, including a loud
background noise and my neighbor's loud music, which made it impossible for me to
concentrate.
