CHAPTER 1

THE PROBLEM AND ITS BACKGROUND

Introduction

As e-commerce continues to expand and become increasingly complex, businesses are

seeking ways to streamline their operations and improve customer engagement. One way to

achieve this is by designing a hybrid e-commerce system that incorporates automated posting of

products and management features, including an ERP system that can integrate multiple

locations and franchises.

An ERP system can provide a centralized platform to manage various aspects of an e-

commerce business, including inventory management, order fulfillment, shipping, accounting,

and financial reporting. By integrating this system with an e-commerce platform that enables the

automated posting of products, businesses can achieve greater efficiency and accuracy, resulting

in improved performance and profitability.

In addition, an ERP system can be particularly beneficial for franchises and branch

locations, as it allows for consistent branding, messaging, and customer service across multiple

locations. Franchisees and branch managers can access the same data and management tools,

enabling them to operate more efficiently and effectively.

Overall, designing a hybrid e-commerce system with the automated posting of products

and management features, including an ERP system, can bring numerous advantages for

businesses, franchises, and branch locations. This system can provide greater efficiency,

consistency, and scalability, resulting in improved performance and a better shopping experience

for customers.

Project Context

The researcher aims to design and develop a hybrid e-commerce project system with

cutting-edge features like an inventory system, sales tracking, product purchasing, invoicing,

billing, and order tracking.

The system will be built to give customers a seamless shopping experience and to give

businesses management tools. That ensure scalability and reliability, the system will combine

traditional and cloud-based technologies, and it will be developed using agile software

development methodologies. It is a User-Friendly and dependable e-commerce system that will

offer a full e-commerce solution for companies of all sizes

Modules included:

This Module assists in informing the scope of who has information and access to the

system. System access is separated into four (4) access the admin which is the systems owner

and shop owner. Then comes the Manager, who is the branch supervisor. Lastly, there is the

customer, who is the product's consumer.

The Account setting is

separated into two options. The login option is an account setting that allows you to access and

utilize the system if you already have an account. The second option is to sign up; this function is

useful for new users who haven't yet setup an account. This option allows you to establish an

account that will grant you access to the system.

The system will provide the owners exclusive access to control, allowing them to manipulate and

manage sales, inventories, and the system's security, which monitors the system's functions.

Due to the unstable system of other online payment methods, the user's online

payment method is limited to PayPal alone.

This module demonstrates the ordering system, which indicates to customers and administrators

for order monitoring; product browsing supports users in making purchasing choices; and

inventory of sales for daily, weekly, and monthly sales monitoring, which is handled by the

manager.

This module includes the sales inventory, which includes the product's return and sales, while the

material is the material used for the product, whether the usage of materials is overused or not,

and in the stocks, it will monitor whether the product's materials are in limited stock or

sufficient.

Human Resources assists managers in managing their employees and monitoring

their everyday activities. The procedure is

separated into three stages: hiring the candidate,

deciding whether to reject or accept the application, and monitoring the applicant/employee.

The delivery method will have two (2) features: tracking and delivery monitoring, which will

require information about the location of the desired order, whether it is nearby or far away. It

will then monitor if it is under preparation or ready for distribution.

Finance will be categorized into four (4) processes:

product purchase, which involves adding it to the cart; payment, which is the settlement of the

money from the purchase; request, which is an extra request for the order; and finally, sales and

The CRM is divided into two (2) parts The feedback gives customers the option to

comment on the shop or an order. The report is then made for any system errors, order errors, or

complaints.

Statement of the Problem

This study aims to develop an E-Commerce System Application (ERP) for Vita Bella.

Specifically, it sought to answer the following:

1.Using manual methods to track sales are prone to errors that can lead to lapses in the

company's sales records which makes it difficult in decision-making and understand the actual

sales.

2.Using manual procedures in the inventory system causes errors, resulting in inaccurate

inventory computations, stock discrepancies, and deficiencies in inventory management.

3.The unavailability or out-of-stock products reduce customer convenience, causing

disappointment when desired items are not available or out of stock.

Objectives of the Study

The objective of this study is to develop an E-Commerce System Application (ERP) for

Vita Bella.

Specifically, this study will:

1. Develop an automated sales tracking system to eliminate manual errors, ensure accurate sales

data, and support effective decision-making for the company.

2. Develop an inventory management system to replace manual operations, reduce errors, ensure

accurate inventory computations, and optimize efficiency.

3. Develop a real-time product availability feature to improve customer convenience by

providing up-to-date information on product availability and minimizing disappointment from

out-of-stock items.

Scope and Limitation of the Study

This study developed an E- Commerce system application for Vita Bella. It included eleven

(11) modules. These are the User, account, owner, payment method, sale, inventory management,

human resource management, delivery, finance management, and customer relationship

management. The system or the application will be handled the system administrator who is the branch

owner of the Vita Bella located in Dasmariñas, Cavite. The branch owner has the full control of the

eleven (11) modules of the system. Wherein the owner can monitor the sales and inventory of the

designated store. The function of the application is to monitor inventories, sales, user, deliveries,

customer relation and payment transaction. Lastly other users are the customers, the function of

customers is to purchase products and transact online.

Significance of the Study

This study will benefit the following:

Company This study will help the company to optimize its operations, increase revenue, and

gain a competitive advantage in the marketplace.

Staff In this study, conducted within an organization can have significant benefits for staff

members, ranging from a more positive work environment to enhanced professional

development opportunities, increased job satisfaction, and better decision-making. Such studies

demonstrate the organization's commitment to its employees and contribute to their overall well-

being and success.

Manager In this study, it can provide managers with valuable insights, knowledge, and tools to

improve their leadership skills, make informed decisions, enhance employee engagement, and

drive organizational success.

Consumer In this study, it can provide consumers with a better shopping experience, making it

easier to find products, complete purchases, and receive support. This can lead to increased

satisfaction and loyalty.

Researcher This study about e-commerce system application can provide researchers with

opportunities to contribute to the body of knowledge, apply their findings in practice, collaborate

with businesses and organizations, publish their work, and advance their careers.

Future Researcher A study on e-commerce system application can provide future researchers a

foundation for their research, identify new areas of inquiry, advance technology, and inform

policy and regulation.

Definition of Terms

This study operationally defined the following:

Account- refers to a personal or business user account that is created on an online shopping

platform or website.

Application- refers to a software program that is designed to facilitate online shopping and other

related activities on mobile devices such as smartphones and tablets.

Automated Posting- a social media management tools that allow them to create and schedule

posts for multiple platforms in one place.

Billing- the total amount of business conducted in a given time, especially that of an advertising

agency.

Consumer- a person who purchases goods and services for personal use.

Deliveries- the carrying and turning over of letters, goods, etc., to a designated recipient or

recipients.

ERP- Enterprise Resource Planning. It is a type of software that integrates various business

processes and operations into a single system, providing a unified view of a company's resources

and information.

E-commerce-is the buying and selling of goods and services over the internet or other electronic

networks. involves conducting business transactions through websites, mobile apps, social media

platforms, or other digital channels.

Franchising- a method of distributing products or services involving a franchisor, who

establishes the brand’s trademark or trade name and a business system, and a franchisee, who

pays a royalty and often an initial fee for the right to do business under the franchisor's name and

system.

Inventory- a complete list of items such as property, goods in stock, or the contents of a

building.

Logistics- refers to the process of planning, implementing, and controlling the movement and

storage of goods and materials from the point of origin to the point of consumption.

Monitoring- refers to the process of closely observing and analyzing various aspects of an online

business, such as website traffic, user behavior, sales performance, customer feedback, and

market trends.

Payment- the transfer of money, goods, or services in exchange for goods and services in

acceptable proportions that have been previously agreed upon by all parties involved.

Product- refers to any tangible or intangible item that is sold online.

Refund - a repayment of a sum of money, typically to a dissatisfied customer.

Sales- a transaction between two or more parties that involves the exchange of tangible or

intangible goods, services, or assets for money. 

Security- it is a program that will implement and maintained that assures protection of data.

Supplies- a stock of a resource from which a person or place can be provided with the necessary

amount of that resource.

System Admin- a professional responsible for managing and maintaining computer systems and

networks.

Website- a digital platform that is used to sell products or services online.

REVIEW OF RELATED LITERATURE AND STUDIES

This chapter presents the relevant studies and literature that the researcher takes into

consider in presenting the importance of the study. In order to completely understand the

research and improve understanding of the study, it also gives the system's synthesis.

Foreign Literature

Information technology and the Internet have had a dramatic effect on business

operations. Companies are making large investments in e-commerce applications but are hard

pressed to evaluate the success of their e-commerce systems. The DeLone & McLean

Information Systems Success Model can be adapted to the measurement challenges of the new e-

commerce world. The six dimensions of the updated model are a parsimonious framework for

organizing the e-commerce success metrics identified in the literature. Two case examples

demonstrate how the model can be used to guide the identification and specification of e-

Differing characteristics of local environments, both infrastructural and socio-

economic, have created a significant level of variation in the acceptance and growth of e-

commerce in different regions of the world. This paper focuses on the impact of these

infrastructural and socio-economic factors on e-commerce development in China. The findings

provide insights into the role of culture in e-commerce, and the factors that may impact a broader

acceptance and development of e-commerce in China. In this paper, we present and discuss our

findings, and identify changes that will be required for broader acceptance and diffusion of e-

commerce in China. Cultural issues such as ‘socializing effect of commerce’, ‘transactional and

institutional trust’, and ‘attitudes toward debt’ were determined to be the major impediments to

e-commerce in China. However, our research also shows that, even though their means for

payment are different, the most enlightened, able, and sophisticated consumers in China

participate in e-commerce in the same frequencies as the mainstream e-commerce consumers in

Electronic commerce (or e-commerce) is the purchase or sale of goods or services

over any kind of computer network. Possible networks include the Internet; and extranet, which

is a private platform that uses Internet technology, or TCP/IP; and an electronic data interchange

(EDI) network. The study of e-commerce can be roughly divided into three levels of analysis:

global systemic, state, and individual firm or person. The global systemic or international level

considers how e-commerce influences relations between states. The state level considers how e-

commerce affects the business of government and the relationship between the state and society

(including firms and persons). It allows one to compare similarities and differences in terms of

what governments are doing to promote (or, less commonly, to discourage) the use of e-

commerce, and the impact of e-commerce on a country’s economic performance. Finally, the

individual level, which looks at firms as well as individual persons, considers how e-commerce

economic relations or otherwise. The literature on e-commerce differs by discipline, with

considerably more attention given to e-commerce by the legal, business, and technical

communities than by our respective social science disciplines, economics, and political science.(

Firms across the globe have adopted e-commerce (EC) in their operations and have

reaped benefits thereof. While firms in technologically developed countries like US and UK has

deployed EC to its advantage, whereas firms in developing countries like India failed to follow

the suit. Though it has been widely acknowledged by the researchers that the adoption of EC by

businesses in developing countries is an important economic indicator of growth; many firms in

India still have not realized the potential benefits of EC. This study examines the existing status

of EC in India and reviews the available literature on E-commerce adoption in India and puts

forth opportunities for future research. The study might serve as a starting point for further

With the advent of the Internet, online processes are replacing conventional models

in our society. The greatest impact in online technology has been achieved by e-commerce. E-

commerce is attractive both to buyers and sellers as it reduces search costs for buyers and

inventory costs for sellers. In this paper we investigate the impact of e-commerce on the

insurance industry in India. The recent growth of Internet infrastructure and introduction of

economic reforms in the insurance sector have opened up the monopolistic Indian insurance

market to competition from foreign alliances. We study the evolving scenario in the insurance

industry in India and identify the features of online insurance that improve the conventional

Electronic commerce (EC) has substantial potential to foster the growth of small and

medium-sized enterprises (SMEs) in developed and developing countries alike. However, EC

adoption by SMEs in developing countries has faced many challenges that have not been

adequately addressed due to the complex nature of EC adoption in such countries. The aim of

this study is to systematically examine the influence of organizational, industry, and national

readiness and environmental pressure on the adoption of diverse EC technologies by SMEs in

developing countries. A quantitative survey was conducted with retail SMEs within the

Malaysian grocery sector to validate the proposed multi-level model. Findings indicate

significant influence of environmental pressure on the adoption of various EC technologies.

Organizational and national readiness have different influences across diverse EC technologies,

while the influence of industry readiness is shown to be insignificant. This study extends the

current understanding of the influence of micro-, meso- and macro-level factors and has

important implications for researchers, practitioners, and policy makers. (J. Bus. Res.2015)

Local Literature

In the Philippines, e-commerce is mostly being implemented by major retailers and

multinational corporations for bank-to-bank exchange. A number of Business to consumer

transactions have emerged through the years such as auctions, online shopping, and online

banking. This just shows that Filipino businesses welcome this new opportunity in selling goods

since 16% of the population is using Internet. This new marketing strategy will not only benefit

those big companies but also the small businesses who cannot afford to advertise their products.

Just by creating a website in a very affordable cost would make the business grow in terms of

sales and enhance the company image as well. (Lacson, Pasadilla,2006)

In general, it discusses the changes in the nature of work from the front to back office

is likely within the sectors performing services Employment demand for this industry, they may

be focused away from agents and blue collared workers, toward higher management and

executive staff. As Filipinos entered the 21st century, local e-commerce transaction reached Php

1 billion. It shows that there’s at least one billion transaction sales growth annually. If this trend

continues, figures can reach up to Php 20 billion as more businesses conduct online transactions.

If significant economic growth takes place in the next 10 years, these estimates may even double

or triple (Toral, 2004).

One indisputable benefit of e-commerce is its ability to reduce transaction costs. For

consumers or buyers, this is most likely to take the form of lower search costs and better

information on products and prices. There could be drastic savings in production and delivery

costs of electronic or digital goods as well. Information and communication technology (ICT)

has become and will continue to be an integral part of the day-to-day life of every Filipino across

all levels of our society. The occurrence of communication technology around the world

necessitates that government get on a cohesive and coordinated strategy on how to prepare its

citizens to survive, live and thrive in a digital world. (The Philippine Digital Strategy

Transformation 2.0: Digital Empowered Nation 2011) The main objective of the paper is to have

a competitive society where everyone has a reliable, affordable and secure information access in

E-commerce has become a standard method of providing distributed information to

many different platforms. It is being implemented by a growing number of companies to be more

completive in corporate world. All companies need to make a step forward towards a new

technology. To be able to compete with the global market, e-commerce was a good answer

(Lanvin and & Maggarqul, 2006).

The company’s websites seem to have significant influence on sales and corporate

image, and are expected to contribute to overall customer satisfaction. The easiest way to be

reliable to the customers to maintain an easy and simple image in the company’s website, which

created positive web experience to the customer. This can be done by having transparent

interface, rich content, easily accessible information and having a design that facilitates multiple

audiences. This is simply emphasizing the importance of knowing the target visitors as they have

different tastes in terms of color and design as a whole. Also, a good design is not enough to

make your customers stay in the website; it must be informative as well especially on the product

details. As what Efendioglu and Igna stated that companies may have great content, dynamic and

attractive design on their website, but the customer may not be aware of that website because of

wrong or inadequate online marketing. (Hossain, 2000)

Apart from the content of website and design of the pages, security must also take into

consideration most importantly on the payment transactions. Authentication and payment

systems must provide a high level of security due to the sensitive functions they perform. In

order to achieve a strong authentication method, it is necessary to identify and understand what

needs to be protected, possible attacks, how to protect vulnerable points and a way to detect

attacks. These methods can also be made more resilient to attacks by incorporating multiple

authentication factors and communication channels. Most importantly, the limitations of the

authentication method used must be clearly understood.  This why most E-commerce prefers

payment gateways such as Paypal, PayZa, Google Checkout etc. to ensure a fast and secure

transaction between the client and the company. Several criteria must also be considered to

create a successful e-commerce. Search Engine Optimization (SEO) is a specialized research-

driven process of analyzing and editing your web site in order to increase the rankings of your

site pages for specific search terms in search engines. By targeting strategic key phrases that

appeal to your target audiences, SEO allows you to be found by global or regional markets of

individuals who are seeking precisely whatever it is that you offer. Whether it is a product, a

service, a mission or a message that you want to promote, search engine optimization provides

benefits for just about any type of organization that wants to reach people. (Jaffray, 2004).

Through internet, E-commerce offers a simplified approach in business deals and gives

a new option for selling and buying the company's products and at the same time not only selling

and buying of products but also advertising the site. Since the products are available in the web,

the more chances of gaining exposure to target customers and can eventually encourage them to

purchase an item. It's the most affordable way of advertising comparedto some paid commercials

that even small businesses can easily implement. (Roso and Navarro, 2006)

Since most of the companies employ websites as one of their marketing strategies,

competitors are also spreading. The company must take into considerations the key factors in

order to have a successful online marketing system starting from the target audience, web design,

interface, security in terms of payment and customer information, content and even the smallest

details of a website.

Synthesis

Based on the information gathered by the researchers, company who engages into online

Marketing are more likely to be more competitive in the business field. The company will have a

good image, thus attracting more customers. According to the related literature and studies

collected, e-commerce also promotes convenience to both consumers and company. Vet, to have

a successful online marketing, there are several criteria to be considered first before developing

website. These are the target visitors, the web design, security, maintainability, reliability,

handiness, quality and ease of use. The researcher’s aim is not just building a website but a

customer-converter online marketing by providing adequate details of the products, user-friendly

interface, secured payment transaction, search

engine friendly and easy-to-maintain environment. The proposed system will not just build to

advertise all over the web but to provide good services to the target visitors. These considerations

will help the company in gaining a good image and eventually attracting more customers to buy

their items.

Figure 1 shows the Vita Bella organizational chart from Owner to Manager, Human

Resource, Finance, and Staff. It shows the Vita Bella’s organizational structure in terms of its

roles. Owners act as leaders and direct the company toward its goals. In addition to hiring,

budgeting, financial planning, obtaining finance, and cash flow monitoring, they also set up the

organizational structure, manage personnel, assign duties, and keep an eye on daily operations.

The manager's responsibility is to allocate resources wisely. Managing finances, planning, hiring

personnel, and other operational support resources are all included in this. The HR department

has an important role in supporting the organization's human capital needs, ensuring employee

engagement and satisfaction, and conforming to relevant laws and regulations Staffs are the

backbone of an organization. Their contributions, expertise, collaboration, and commitment are

vital for achieving organizational goals, maintaining a positive work environment, delivering

exceptional customer service, driving innovation, and fostering the growth and success of the

organization. Each member of the Vita Bella has the responsibility to manage and organize the

business to maintain its profitability.
