PREPARATION OF THE BILL OF QUANTITIES
A. List of Principal Quantities
A list of principal components of the work with their estimated
Quantities shall be provided to assist the tenderers for a quick
assessment of the work
B. Preamble
The Preamble shall indicate the inclusiveness of the unit prices and
shall state the method of measurement that has been adopted in the
preparation of the Bill of Quantities (other than BESMM4)
C. Daywork Schedule
A day work Schedule shall be included if the probability of unforeseen
work, outside the items included in the Bill of Quantities, is relatively high

D Work Items
The items in the Bill of Quantities which are to be priced and to
contribute to the Tender Total may be arrange into numbered parts to
distinguish between these parts of the work of which the nature,
locations, access, limitation on sequence or timing or any other special
characteristics is thought likely to give rise to different methods of
construction or considerations of cost.
General items (2A) Common to all parts of the work shall be grouped
as a separate part of the Bill of Quantities.
Items in each part shall be in the general order of the work
classification.

E. Grand Summary
The Grand Summary shall contain a tabulation of the parts of the Bills
of Quantities with provision for insertion of the total of amounts
brought forward from the part summaries

PREPARATION OF THE BILL OF QUANTITIES
Coding and Numbering of Items
i. Coding: For covenience of reference, each item in the work classification
has been assigned a code number consisting of a letter and not more than
3 digits.
The letter corresponds to the class in the work classification in which
the item occurs and the digits give the position of the item in the
first, second and third divisions of the class, for example code 2H 1.3.6
ii. Item Numbers: Code numbers may be used to number the items in
the Bill of Quantities, the items within the Bill of Quantities being listed
in order of ascending code number

iii. Coding of Unclassified Items: Where a feature of an item is not listed in the
work classification the Digit 9 shall be used in appropriate position in the code
number.
iv. Where there is an item to which a division of classification does not apply or for
which fewer than 3 divisions of classifications are given the digit 0 shall
be used in the appriate positions in the code number.
v. Numbering of items within additional description:
Where code numbers are used as item numbers, a suffix number shall be
used to distinguish items which have the same code number but different
additional description eg. 2H136.1

In the preparation of Bill for Civil Engineering works especially for items
measured in m, m2 and m3, different shapes are encountered and the
determination of the lenghts, areas and volumes of these figures
respectively are necessary to get the exact quantity of the materials
involved in the work. The common shapes encountered include:

Volume Calculation Methods
The three most common methods to estimate cut and fill volumes are:
ü The cross-section method or Average end area method
ü The grid method
ü Using specialist software
Cross-section method
The cross section method involves plotting cross sections of the existing
and proposed levels at regular intervals across the project site. For each
of the cross sections, the cut area and the fill area is determined. The
volume between each pair of sections is estimated by multiplying the
average cut or fill area of the two sections by the distance between them.
Once these volumes have been calculated for each pair of sections the
total cut and fill volumes are obtained by adding them all together.

GRID METHOD
The grid method involves drawing a uniform grid into a plan of the
earthworks project, and taking off the existing and proposed ground levels
at each node of the grid. With these values the average depth of cut or fill
required on each cell of the grid is calculated, and the volume for each cell
is obtained by multiplying the depth by the cell area. By adding the volumes
for each cell together the total cut and fill volumes for the project can be
estimated.
The cut or fill depth for each cell is found by substracting the average
existing level of the cell from the average proposed level. If the resultant
depth is positive then this is a fill cell, while a negative value indicates a cut
cell. In either case, the volume is calculated by multiplying the cut or fill
depth by the areas of the grid cell.

SOFTWARE
Modern computer software allows earthworks volumes to be calculated
quicker and more accurately than either of the two manual methods
described above. There are a number of software products available for
this purpose. These products vary greatly interms of complexity and price.

trapezoidal rule is used for the calculation of areas and volumes. However,
for an irregular cross-section, compute the cross-section area by dividing
in into triangles and trapezoids.

The Bridge Structure
ü The total length of the bridge is 40metres (2-span)
ü The carriage way is 8.0 metres flanked by 950 metres
walkway with a precast parapet wall on both sides.
ü The superstructure consists of Ten (10) 20m span precast
concrete rectangular beams of 1300mm deep and 450mm
width. The Beams are spaced 2000mm apart and topped by a
precast slab of 50mm deep as permanent formwork and
composite with an in-situ slab of 230mm thick.
