INTRODUCTION

1. Reasons for choosing topic

In the context of globalization today, English seems to be a compulsory


language for all countries over the world if they want to open their doors and
cooperate with others aiming at developing and integrating globally. Vietnam is not
an exception. Being aware of the importance of English in seizing opportunities to
study abroad, getting a promotion in a current job or seeking a better one for a better
life, Vietnamese people are running in the big race of learning English. It is the high
demand for English that brings about the massive rise of English centers.

However, this also has its own problems. The first one we need to concern is
that those centers may have high quality in both teachers and facilities but the fee is
too expensive for students or other lower classes to afford. Secondly, if the fee is
cheaper, the quality may not be good. In fact, to get benefits as much as possible,
lots of Vietnamese English centers employ inexperienced teachers or even students
who do not meet necessary standards of English knowledge. Clearly, that strategy is
not an effective one in the long term.

Therefore, providing English-for-community courses with the best-quality


lessons at the lowest possible tuition rates of UNIVER Training and Education
limited company is an outstanding bright spot among countless English centers in
Vietnam, especially in the North where this pattern still is not expanded.

In addition to my passion for English and sharing my knowledge with others,


training and education is the field I am most interested in while studying at Foreign
Trade University. I look forward to further research on this issue.

Based on all the above reasons, I decided to write a report with the topic of
“English-for-community pattern in UNIVER Training and Education limited
company”.

2. Purpose of report

Interning at UNIVER as a teaching assistant is a golden opportunity for me


to apply the knowledge and skills I have been taught in university to practice.
Thanks to that internship period, I can have a good understanding of what a
teaching assistant at an English center do, how this position supports for other ones
in the whole company system, and especially what comparative advantages of
English courses at UNIVER are in comparison with other strong rivals. In addition,
I recognize some problems that cannot bring absolute advantages for UNIVER at
present. Therefore, for the purpose of analyzing thoroughly the current situation and
then figuring out some best solutions to fix it and help the company gain more
benefits, I come to writing this report.

3. Methodology

To accomplish this report, I used the method of synthesizing, observing and


analyzing. Coming to detail, I synthesized the academic knowledge of English with
skills including listening, speaking, reading, writing and grammar and apply it to
my job as a teaching assistant. During my internship period, I also synthesized
information that I collected by observing the whole picture of working process at
my company. After that, I analyzed that information to figure out what advantages
of the company are and what problems still exist as well, and then to find
recommendations for the company. This report is to summarize most of my
recommendations after internship, I hope it is useful for not only UNIVER in
considering applying them to their operation, but also new comers who attend
UNIVER in the future so that they can avoid the difficulties I have encountered.

4. Report structure

Except for table of contents, acknowledgement, list of tables and figures,


introduction, conclusion and reference, this report covers three chapters:

Chapter I gives an overview of UNIVER Training and Education limited


company with company overview consisting of its formation and development,
organizational structure, services and achievement. My internship activities would
also be added in this chapter. Chapter II provides an actual situation of English-for-
community pattern in UNIVER Training and Education limited company,
specifically its reality and pros and cons. Chapter III points out recommendations
that I conclude from analyzing the current situation of the company.

CHAPTER I: AN OVERVIEW OF UNIVER TRAINING AND


EDUCATION LIMITED COMPANY

1.1. Company overview

1.1.1. Formation and development

UNIVER Training and Education limited company, which was established


on the 14th of November in 2014 with a tax code of 0107659405 by Mr. Pham Binh
Minh, specializes in English language education. The company locates at No. 2,
Lane 69, Dang Vang Ngu, Trung Tu Ward, Dong Da District, Hanoi.

With age of almost three years, UNIVER has been giving Vietnamese the
best training products. 3 758 students who were able to communicate in English
confidently after finishing courses at UNIVER, about 96 percentage of whom got
completely improvement, and nearly 70 000 followers on Facebook are meaningful
numbers that show the ceaseless efforts of the UNIVER team (UNIVER – English
for community 2014).

Up to now, UNIVER has become a prestigious English language center in


Hanoi. This is evidenced by the company’s monthly sales of 400 million VND.
Besides, UNIVER has built four branches at four districts consisting of Hai Ba
Trung, Cau Giay, Dong Da and Ha Dong (UNIVER Training and Education limited
company 2014). Each branch, which has been in most of university clusters in
Hanoi with totally thirty rooms, provided a convenient space of learning English.

Next year, the company is going to open three more branches with one in
Hanoi and two expanded ones in Ho Chi Minh city. This is considered as a
blooming period of UNIVER.

1.1.2. Services

UNIVER has a team of Vietnamese and foreign teachers who are really
experienced, enthusiastic and dedicated to teaching students. Currently, the

company has launched four kinds of training courses named English from Zero to
Hero, Standard Pronunciation, English Communication for Community and TOEIC
Preparation. The segment of clients is students and workers who have never studied
English before or want to find the suitable environment to increase their reflexes
with native speakers.

With the slogan of “Making the best”, UNIVER always places a high
priority on the interests of the students and constantly enhances teaching method.
These create the best quality courses and help the students achieve the highest

results. Their improvement is the most valuable gift for the UNIVER team. That is a
key point setting UNIVER apart from other strong competitors such as Domino,
Language Link, Espeed or Aten.

1.1.3. Organizational structure

Under the leadership of Founder and CEO Pham Binh Minh, the company
system is divided into four departments which are Administrative Department,
Training Department, Sales Department and Marketing Department along with 150
employees. Taking the role of leading those departments are Managers.

The Administrative Department is in charge of providing information of


courses to customers, responding to clients’ concerns, handling returns or
complaints, taking orders, determining charges and overseeing billing or payment,
while locking the final number of enrollment is the main objective of the Sales
Department. The Training Department has responsibility for recruiting and training
teacher and teaching assistant teams, ensuring their working efficiency. The
Marketing Department specializes in advertising the courses to as many people as
possible with two specific groups which are designing and content ones. It also sets
long-term strategies to build up the brand of the company.

1.2. Internship activities

I had a chance to work in UNIVER Training and Education limited company,


one of the leading English centers in Hanoi, in two months (from the 1st of June to
the end of July in 2017). I was assigned to intern in Training Department under the
guidance of Mrs. Pham Thi Lieu – Training Manager and Ms. Le Hong Loan –
Administrative Manager at branch number two in Ha Dong.

To be an intern, I took charge of tasks which a teaching assistant must do. I


got four classes per week, so before each class I had to compose worksheets for
students. I also did a variety of duties such as photocopying those worksheets,
preparing computers, rearranging furniture for a particular activity, tidying up and
keeping classroom in a good order. Besides, when the students did not get the
teachers’ messages, I would make them clearer or explain them in an easier way to
understand. At home, my task was checking the students’ homework and composing
listening tests as a form of homework sometimes.

In short, I would serve as a bridge between the teachers and the students, also
between the students and the center as well, which helps to improve the students’
quality and indirectly build up UNIVER’s image.

CHAPTER II: SITUATION OF ENGLISH-FOR-COMMUNITY


PATTERN IN UNIVER TRAINING AND EDUCATION LIMITED
COMPANY

2.1. Overview of situation

2.1.1. Core values and operation principles.

Putting learners above all, UNIVER considers values for community as its
core values. For the purpose of ensuring that everyone finds courses easy to
approach, UNIVER team made a special effort to build high-quality ones with a
reasonable price. The studying environment here is open, safe and inspirational with
lots of fantastic activities, encouraging the initiative and enthusiasm of learners,
helping them cross their own safety zone and grow up.

English-for-community pattern of communication course is an ideal


combination of three following stages:

Class, Club and Tour are crucial links in the chain from beginning level to
advanced one.

Covered by 48 lessons, each communication course goes over 32 different


topics inside class and sixteen outdoor lessons. At class, the students will be
equipped with background knowledge of necessary skills in English. For every
close and practical topic in daily life such as greetings, hobbies, food, travel,
weather, hometown and so on, the native teachers not only give their students a
variety of vocabulary and grammatical structures, but also correct thoroughly any
mistakes in their pronunciation. Additionally, with an outdoor lesson per week, the
students are surrounded by English speaking environment with lots of funny games,
so that they can train their reflexes and speak English naturally. This is an effective
method for them to review previous knowledge in a relaxing way. They are also
evaluated by four monthly speaking tests for checking the progress and figuring out
their own suitable learning style.

Parallel with Class, the perfect combination of Club and Tour shows
incredible improvement of the students. Clubs called UCAN and led by dedicated
teaching assistant team are on a dramatic development (UCAN English Club 2016).
Each club has wide participation of all students in one branch. Those English clubs
are aimed at boosting mainly pronunciation and debate skills. UCANers have many
huge advantages. Firstly, without fee, they can learn English pronunciation
professionally and join lively debates to build up their own critical thinking skills
once a week. Secondly, UCAN clubs will monthly organize team-building sessions
within a branch or between branches. That is such an amazing opportunity for
members to both enhance their English speaking and create an extensive network of
new friends. Along with outdoor activities, UCANers have twice a month to be tour
guides for foreigners visiting Vietnam. This activity will be done like a competition
among small groups. It requires a good preparation of members for each topic given
before so that they can learn a lot during their preparation.

Clearly, UNIVER is doing well its own mission which sets enormous values
for the community.

2.1.2. Enrollment procedure

Another strategy to catch customer’ attention of UNIVER is organizing a


professional, effective but very simple enrollment process. Following is the three-
step registry of communication course at UNIVER:

Compared to some other centers, the customer approach of UNIVER is more


polite and smarter. Instead of calling anyone they have numbers to introduce
courses despite their wish, UNIVER chooses to show the advantages on its website
in order that people who have interests in will leave their phone number and email
address, then wait for the customer service to contact in one or two working days.

Coming to the first step, when the counselor contacts, the customers will
come to one of four branches which is more convenient to take an entrance test. The
test includes two parts: a thirty-minute paper test with reading and writing skills,
and a five-minute speaking test right after that. This result will help the customers
and the consultants know their exact level, then devise the appropriate plan to fulfill
their objectives in the next step. At the same time, in this one, the consultants will
provide the students with all information related to the course that they want to
learn. Afterwards, they will try studying one lesson before making a decision to
register for that course or not.

Obviously, UNIVER team always try their best to serve the learners with the
best condition.

2.2. Advantages

In the past three years, UNIVER team has made dramatic progress to keep its
pioneer spirit in the for-community field and become one of leading English
language centers in Hanoi. Behind that success, there are really many advantages
that it offers the learners.

2.2.1. Tuition fees

By comparison with other English language centers, UNIVER’s fee


impresses on many segments of middle-income or non-income customers. This is
one of reasons why we call that course “English-for-community one”. In fact, many
people want to learn English but do not have enough financial resources, so
UNIVER completely solved that problem to open opportunity’s horizon for all of
whom.

Besides a four-month communication course with VND 350 000 per month
for day classes and VND 550 000 for evening classes, the learners here can join
English clubs, UCAN, to practice their English with the native speakers without
paying a penny. Furthermore, when becoming members of UCAN and just spending
their money on drinks, they can participate in lots of awesome indoor and outdoor
team-building. Immersed in such entire English environment, the students can gain
considerable improvement quickly.

In addition, the company also has many policies to support the students when
they have not paid enough tuition. They can become collaborators of the company
and find more trainees by introducing courses. If the learner wants to learn more
different courses, the company may have higher discounts for them. It also has a
percentage discount on holidays, New Year or summer holidays.

It is reasonable price coming together with other preferential treatments that


make UNIVER become the first mover in English-for-community field in Hanoi.

2.2.2. Quality of employees

UNIVER’s employees put the word "mind" with the learner as a guiding
principle. They are considerate towards the students, but strict with themselves. The
teachers, teaching assistants, administrative and marketing staff are all excellent
individuals dedicated to the mission of imparting knowledge and skills to the
Vietnamese, helping them stay on the global playing field.

In order to create an ideal environment for learning English, each teacher has
his or her own style and is always active and creative aimed at bringing students not
only useful but also fun and exciting hours. One special thing at UNIVER is that the
students are taught by the foreign teachers from all over the world. The courses here
cost them a very low price but provide them a complete English speaking
environment. We cannot find such preferential treatment like that in any centers in
Hanoi. Moreover, most customers coming to UNIVER to look for the consultancy
are beginners or workers who have no background knowledge, so they need
Vietnamese teachers to guide them first. Understanding this demand, besides the
native speakers, the center also supplies Vietnamese teachers who catch on their
learning habit and style to get the most effective lessons. Eventually, all teachers at
UNIVER must not only pass a fierce interview from Training Manager, but also
have an international certificate of teaching English like TESOL
(Teaching English to Speakers of Other Languages) or other English certificates
such as IELTS (International English language test system) from 7.5 score on and
TOEIC (Test of English for International Communication) from 900 score on to
ensure the courses have the best quality.

If the teacher team are people who kindle students’ passion for English,
teaching assistants are the ones who support them in maintaining that passion and
keeping themselves on the right tract. The teaching assistant is one of the
indispensable positions at UNIVER classes. Besides taking charge of many

different small but important tasks to have well-prepared lessons, they are the
followers of each student’s learning process, willing to answer any questions or
stand for them in need. Like teachers, people who apply for this position must be
students studying English as their major at university, have passion for English as
well as responsibility, enthusiasm and energy for their job.

UNIVER also has a professional team of consultants. They are always


recruited based on certain criteria. If people lack technical skills, they can be trained
properly. Their first lesson is about the attitude of working with the students, the
teachers and colleagues. This shows that the company values the attitude of the
employees. If there is any negative feedback from a client about the attitudes of a
counselor, she may get a salary deduction or job dismissal. In contrast, if that is a
positive comment, then she will have more chances of gaining a higher salary or
position.

2.2.3. Classroom location and equipment

UNIVER has set up very convenient classroom locations for the learners
with four branches in four districts of Ha Dong, Cau Giay, Dong Da and Hai Ba
Trung. All of them are centrally located in Hanoi; hence, everyone will find it easier
to move to the classroom. Besides, those places are crowded with population,
schools and universities. Therefore, demand will also be higher than other districts.
Having no traffic congestion during peak hours will be one of the reasons for the
students to choose the center to study.

In addition to being located at suitable places, classrooms at UNIVER are


equipped with modern and useful computer and related electronics resources,
making classes more efficient, compelling and informative. With a wide-open
space, each class has one computer, one projector, one air-conditioner, two fans and
enough desks and chairs for twenty students and space for other learning activities.
A computer with presentation software can provide a single tool for augmenting
lectures with outlines, slides, statistical charts and tables, images, music, and even
video clips. This helps both teachers and students save time in imparting and taking

in knowledge process. The room also have nice decoration and many pictures on
the walls that show English learning tips and most used words in order to assist the
subscribers. Therefore, they always feel comfortable and engaged to come to the
class. It is a great success of UNIVER that not every English center can get.

2.3. Problems

Besides the strengths, it is undeniable that there are still some drawbacks of
English-for-community course and the whole company operation that need to be
tackled.

2.3.1. Teaching method

The quality of the product or service is the core value of any company. That
is even truer for companies providing educational services. Specifically, one of the
factors contributing to these companies’ great success is a unique teaching method.

Strong competitors of UNIVER such as Domino English School, Pasal


English Education or Langmaster Learning System have already built their own
teaching method since their foundation. With the combination of preeminent
“Flipped learning” method, which converts knowledge into at-home interactive
videos and turning 100 percentage of at-class time into practice, and the Instruction
– Practice – Recall (I-P-R) model based on brain research from the University of
California in the USA, Domino English School helps their students easily learn and
memorize the lesson (Domino English School 2013). Another example is the
distinctive teaching method in Pasal. The Pasal Total Immersion principle of
Effortless English method, which emphasizes on the role of psychological factors in
learning English, makes the learners comfortable and energetic when learning
English (Pasal English Education 2013). To compete with other big English centers
in Hanoi and bring student the best effective classes, Langmaster applies the NLP
(Neuro – Linguistic – Programming) research and develop the Total Physical
Response (TPR) method of teaching English ( Langmaster Learning System 2013).

Unfortunately, UNIVER has not yet found for itself that extraordinary
distinction. Although the great effort of UNIVER team in employing foreign
teachers with the medium salary, inviting voluntary teachers from Europe
occasionally and providing for-community classes without fee cannot be denied,
both Vietnamese and foreign teachers still have not shared a common teaching
method which creates a discrepancy between them. As a result, the learners
sometimes complain about the unstable teaching method of the teachers that makes
them hard to follow during a four-month course. This should not be the long-term
development strategy in the overall plan of UNIVER.

2.3.2. Marketing performance

Another disadvantage of the company is that the Marketing team is not


working effectively while the company budget for marketing is the most. There are
some reasons needed to be considered.

On the one hand, the quality of personnel at Marketing Department needs


much more improvement. In four branches, there are only twenty people working
for this department. Compared to other three ones, this one has the lowest number
of employees. Besides, the leader of Marketing Department is also the Director of
the company and except for him, none of them are professional marketers. Although
having passion for marketing, advertisement and sharing as well, they are just
university students applying for collaborator positions with the hope to be trained
and learn more from this field. Because of lacking marketing skills and experience,
they do not know how to optimize the standard process to minimize costs while still
completing work. Moreover, instead of one collaborator specializing in their task,
staff here are multitasking members, so it is difficult for the leader to manage the
whole department’s work.

On the other hand, according to a recent interview in the second quarter of


2017 from the Marketing Department (UNIVER Training and Education limited
company), it is clear that the communication channels are various but not really
powerful. They stated that just 32% customers approach the center’s information

through these channels although there are many of them applied such as Website,
Facebook, LinkedIn or Twitter. The rest is spread by their friends or relatives. This
problem can create an unbalance between marketing online and marketing offline,

CHAPTER III: RECOMMENDATIONS

In this chapter, I will make some recommendations based on above analyses


of the disadvantages at UNIVER with English-for-community pattern in particular.
The first recommendation is related to ways of improving training department’s
operation. The second one is about some points regarding marketing promotion.

3.1. Training Department improvement

As mentioned before, one of the problems which still exists at UNIVER is


that the teacher staff here do not share a common teaching method. Sometimes, it
works because it creates a variety of teaching styles that do not make the lesson
boring. However, some students find it confusing to follow a certain teaching
method and hard to figure out their own learning style. Therefore, it is necessary to
build a systematical teaching method for all teachers of the company and spend
much time on training new teachers before they work as well.

3.1.1. Building the own teaching method and updating curriculum annually

Firstly, instead of organizing monthly meetings of the teaching assistants to


make a report about the overall situation of classes, the company should organize
more meetings within Training Department with both teachers and teaching
assistants, also in the whole company with four departments periodically. Thanks to
such full member meetings, each department will know each other’s shortcomings
and brainstorm together to come up with the best solutions to those problems in
which teaching method is involved. Based on the close observations in classes of
teaching assistant team, the knowledge and teaching experience of the teachers here,
the feedbacks of the students from the Administrative Department, their interaction
on communication channels from the marketing staff and updates on customers’
demand from the sale collaborators, the Director of the company and Training
Manager will come to a final decision to choose the best teaching method applied
by all teachers.

Secondly, in today continuously changing world, because old curriculums


cannot fulfill the students’ aim, it is compulsory for any educational services to
update new knowledge if they want to establish a dominant position compared to
their rivals.

Besides, one of the best things that need to be done to improve more teaching
quality is listening to all the feedbacks from the learners, even if they are
complaints, compliments, or suggestion. It is undeniable that everyone has a high

demand of being listened and respected, while the customers are undoubtedly the
best judges. The customers’ satisfaction and happiness are the clear signs of their
promising supports for the center. Their feedbacks not only help to adjust and
improve the education system in time, but also strengthen the precious connection
and mutual trust between the center and customers.

3.1.2. Training new teachers

In addition to the experienced teachers, UNIVER has been engaging a great


number of young new teachers, who have great enthusiasm but have yet to
accumulate valuable experience. UNIVER should organize some lessons, where
several senior teachers can observe new ones teaching in the class, then after those
lessons, offer new recruits constructive criticism to help them better their teaching
styles. These kinds of lessons should be given once or twice a week or during
summer holiday. Besides, new teachers can take initiative in work by attending the
experienced teachers’ class as much as possible to learn needed things and skills.

3.2. Marketing enhancement

Adding to the essential improvement of Training Department’s efficiency,


marketing team also needs more promotion. Followings are two suggestions which
boost marketing operation in a long term.

3.2.1. Training personnel’s professional knowledge and skills

Because the marketing staff of UNIVER are almost collaborators and current
university students, they need to be trained at the first place. Before they start their
tasks, the company should help them have a deep understanding of all features of
the company’s service, which is a minimum requirement for the job. This step will
provide starters with basic knowledge of developing effective marketing strategies.
They should be required to find out, narrow down and analyze potential customers,
then construct the marketing strategy for each small project. It is the most practical
and useful way for them to learn through reality, where they can themselves
experience and enhance ability through colleagues, seniors and experts’ criticisms.
It is also required that Marketing Department of UNIVER should specialize
each personnel’s task. That means two small teams including designers and content
collaborators in this department must separate their own specific tasks. It will help
considerably boost the productivity and efficiency of work.

3.2.2. Focusing on quality of online communication channels

What is needed for the marketing team at UNIVER is focusing on the quality
rather than quantity, and I will suggest the effective online channel that they should

absolutely make use of is Facebook. Because it is one of the most popular social
media where people can quickly access to information along with discussing hot
debates. Facebook can give the chance for the company to effectively broaden its
image and increase the rate of potential customer’s access through writing posts,
creating events and so on. h

CONCLUSION

In summary, with the aim of improving the quality of the courses applied by
the English-for-community pattern and then helping the company maximize its
efficiency, I have synthesized several problems encountered at UNIVER Training
and Education limited company as well as analyzed and figured out a number of
solutions. First, UNIVER should spend more time training the employees,
especially the newbies so that they can acquire in-depth knowledge about the
courses here. In addition, Training Department in particular need to build the own
stable teaching method which helps the students easy to follow during the course.
Besides self-study, Marketing staff should focus on marketing online via social
media channels to promote the company’s advertising campaign.

However, due to time constraints, limited materials and my research


capability, the report still has some certain shortcomings relating to the feedbacks
from the learners as well as specific activities of the marketing team. If I have an
opportunity to do more research, I will learn more about the art of customer service
in Sales Department to deal with tough troubles I can get into when working at the
company. I look forward to receiving comments from the teachers and other
students to figure out more solutions to solve above problems at UNIVER.

My internship at UNIVER Training and Education limited company has been


a great experience to date for me. I have had a good command of English, got a
chance to meet lots of amazing students with various kinds of job, and learned a lot
from other experienced employees. I hope this report would help the company in
rebuilding the strategy for Training and Marketing Departments, and be a
contribution to UNIVER’s success for now and tomorrow.
