MINUTES OF A MEETING

The meeting is held for the procurement of WI-FI routers for University campuses from KBEE IT
Connections. The meeting has been called by MR Dicks (Procurement Manager) and it is chaired
by DR Coal.
The issue discussed in the meeting is the meaning and importance of WI-FI, Mr. Dicks fully
explained to the meeting members the importance of WI-FI, and how WI-FI works and will help
the university.
MR Dicks further discussed that the university has placed an order with KBEE IT connections for
six 805.11 WI-FI routers that were supposed to be installed on 3 university campuses but KBEE IT
connections have two yet delivered the routers.
MR Dicks added that since the order has been placed with KBEE IT connections, the university is
unable to get in contact with them because their receptionist hung up the call from the university,
Mr. Dicks further stresses the consequences of the delay in delivering routers to the university as
things are not running accordingly at the university campuses.
After deliberations by team members, Prof Johnson suggested that the order made to KBEE IT
Connections be canceled by the university and alternative service providers of the routers be
considered for their services on purchasing routers. The suggestion made by Prof Johnson is
supported by Dr Carl. Dr. Carl added that the university should cancel the order with KBEE IT
Connections and seek a refund with interest.
Ms. Padi suggested that the university should seek assistance from a TV program called “BUA
FELA" so that the process of refund can be elevated, but the notion is rejected by Dr Coal. Dr.
Coal says the university shouldn’t get involved with such TV programmes, but rather another
route be followed to demand the refund, furthermore, Dr. Coal asked the board if the suggestion
made by Prof. Johnson to engage the university legal team in the cancelation of the order and
seek refund with interest was supported. The entire board agreed with the notion.
The procurement department was given a task to update the university management about the
problem and legal process as soon as possible, as well as starting a discussion with the alternative
service provider for the WI-FI Routers.
