Prefatory Part

Prefatory part should appear chronologically as illustrated bellow. (Students may


omit any of the parts which are not relevant to her/his report).

a. Cover page
Cover page displays title, concerned department including university,
student's name, name of supervisor and date.

b. Title Fly
Title Fly displays thesis title, concerned department including university,
student's name, name of supervisor and date.

c. Declaration or Statement of Authorship


Here the student declares that the material has not been used for other
purpose from other institutions and that all sources are acknowledged.

d. Acknowledgement
Here the student recognizes the help rendered by supervisors, technical staff,
family and anyone else who offered support or advice.

e. Executive Summary
Executive Summary is the first substantive description of the report which
should be viewed as an opportunity to set accurate expectations. It is a
summary of the whole report that presents all the major elements of the work
starting from origin and purpose, the major facts and analyses to conclusions
and recommendations in a condensed form. Size of the executive summary
should be less than one eighth of the writing.

f. Table of Contents
Here all the major divisions and chapter titles should be listed including
page numbers.

g. List of Tables/Illustrations/Figures
List of tables should have the table number, their title and respective page
numbers. Similarly list of illustrations will have the figure number, their title
and respective page number.

h. List of Acronyms
Here the abbreviation with the elaboration should be mentioned. The list
should be arranged in alphabetic order.

2. Main body of report

Chapter One – Introduction:

The first chapter is extremely important because it sets the scene and the
tone for the report. It is the first real opportunity for the student to highlight
the importance and value of the work and to contextualize it, all in a well-
written, clear and interesting manner. This is the first impression that the
reader or examiner will get. It will give an indication of the writing style, the
depth of the content, structure, language and complexity. Examiners indicate
that they pay considerable attention to the first chapter, which creates a
strong initial indication as to the standard of the report. This first chapter
must introduce the key components, providing a clear statement of the topic
or things to be discussed in the report. It generally includes:

i. Background: Basic information (without unnecessary details and


descriptions) regarding topic of study
ii. Purpose: Purpose may be to study an organization from
Marketing/HR/Finance/Accounting perspective, to understand the
working/operations, to analyze the organization using SWOT,
PESTEL, Ratio, Common-size, Index, Trend analysis techniques,
whichever is applicable.
iii. Data Collection: (Secondary)
iv. Scope: As it is impossible to cover all the departments of organization
in time, therefore the students should mention the major focus of
his/her work or the specific department attended.

Chapter Two-Overview of the Organization

This chapter should cover the most relevant information about the Main
organization, with special focus on the branch/office of work:

a. An Overview of the Organization

i) Brief history
ii) Introduction of the organization
iii) HR Policy of the organization
iv) Competitors

b. Organizational Structure:

This chapter will include topics like-

i) Organizational Hierarchy Chart


ii) Number of employees
iii) Main offices
iv) Introduction of all the departments
v) Comments on the organizational structure

Note: In Chapter 2, students are expected to collect information from various


sources such as interaction with the organization’s personnel (managers,
internship supervisor, colleagues etc.) and company website, documents,
brochures etc. but it is necessary to mention the sources of information in
report.
Chapter Three – Methodologies:

i. Methods of any survey/interview/focus group discussion/ secondary data


analysis.
ii. Mention any other method applied in the analysis and discussion part.
iii. Mention the Population and sample

Chapter Four- Analyses of Particular Side of the Company (A department/ A


function/ A project/ operations/segment etc.):

o The contents should be based on your selected chapter.

This is the heart of your report and will largely determine your grade on it. In case
of analysis of department or side of the organization the content and methods
should be decided upon discussion with your team. In case of Self Evaluation, take
a long, hard look at your learnings and tell the good and the bad of it. Be sure to
bring some insight, analysis, and reflective thinking to this section. Don’t
generalize and offer superficial, glib observations. Be specific and detailed in
describing your experience.

Write details about what you have learned about this topic from this course and
relate it with organization’s functions. Use practical examples.

Chapter Five – Conclusion, Limitation and Recommendation

Supplementary Part

1. References

For writing the report, reference(s) should be cited. Both intext referencing and
preparing reference list is expected from students. They might follow any available
format such as, APA, HARVARD etc., in regard to the agreement with the
supervisor.

You don’t need to follow any specific reference style.
