Job Description

Crew Welfare Officer

Job Overview

Directly reporting to Business Support Manager. Responsible for performing


administrative tasks for Business Support Section such as crew benefits, claims handling
and employee engagement activities. Procurement of welfare items such as but not
limited to anniversary plaques and tokens. Ensures the safekeeping of all files and
documents related to the Business Support Section. Performs other tasks as may be
assigned from time to time.

Job Description

I. Local Functions

A. Crew Benefits

· Encodes government-mandated benefits according to crewing payroll system

extract (SSS, PHIC, HDMF which includes SSS/HDMF crew contributions and

loans payment).

· Prepares online monthly reports to SSS for embarking crew (R1A).

· Prepares monthly report to PHIC for newly hired crew and updates of member

information.

· Prepares/checks DIS provident fund contributions summary.

· Prepares summary of social costs for forwarding to Accounting Officer.

· Updates AMOSUP booklets and provides endorsement letter.

· Assists crew in claiming for DIS provident fund and/or statement of account

from Luxembourg.

· Prepares for crew list for submission to AMOSUP for welfare fund, provident

fund, union dues and other local union fees.

· Ensures that crew and dependent for enrolment and cancellation are properly

coordinated with HMO providers as well as with the Crewing Personnel.

· Facilitates requests for sea service and other crew certification.

· Ensures that inventory of crew uniforms is updated.


· Receives vessel packages and ship mail.

B. Crew Claims

· Endorses medically repatriated crew to post-medical clinic and for post-medical

treatment.

· Provides orientation on guidelines for medically repatriated crew and policies

and procedures of claims and sickness benefits availment (if any).

· Encodes and updates necessary details of the repatriated crew in Master list for

monitoring purposes.

· Receives, collates, and verifies receipts from medically repatriated crew and

submit to accounting for processing of reimbursements and payments.

· Collates medical billings, sickness allowance and medical reimbursements

incurred and generates summary of expenses to be submitted to Business

Support Manager.

· Encodes sickness/illness days in crewing personnel system of entitled medically

repatriated crew for payment processing of sick wages.

· Uploads medical reports, medical reimbursement/invoices, and copy of monthly

wages in shared drive.

· Attends disability discussion hearings in local correspondents’ offices as

needed.

C. Crew Care

· Assist Business Support Manager and committee in executing planned welfare

and company events such as Main Seminar, Christmas Party and Crew Family

Welfare events and other crew activities for both onshore and onboard.

· Coordinates with vendors, service providers, resource speakers and other

concerned parties or agencies as needed and required for the smooth execution

of events.

· Facilitate crew engagement survey in regular intervals.

· Generates ang maintains records of anniversary list/loyalty awardees.
