DWCL PROTOCOL DURING THE CONDUCT FACE-TO-FACE RECOGNITION

RITES AT DWCL

RATIONALE:

The protocol aims to ensure a safe, organized, and memorable face-to-face recognition ceremony
for tertiary level graduates in the Divine Word College of Legazpi.

Hence, this protocol is crafted to guide the DWCL stakeholders during the conduct of the face-
to-face recognition rites of tertiary achievers. It will be imperative for everyone—faculty, staff,
and students—to take responsibility for their actions and adhere to these guidelines.

1. GENERAL GUIDELINES
a. Only the student-recipient of the awards and one (1) accompanying
parents/guardians will be allowed entry for the face-to-face recognition rites on
December 2, 2023 at St. Joseph Freinademetz Gymnasium.
i. Parents or guardian/s with physical/medical inability are highly discouraged to
attend due to unfavorable ventilation inside the gymnasium.
b. The proper use of face masks during the entire program is still highly encouraged.
Both nose and mouth must be covered.
c. Awardees and personnel are required to bring their personal and essential
(hygiene) kit during the activity.
d. Loitering during the program is strictly prohibited except for personal needs (e.g.
going to CR) or emergency.
e. ONLY the official photographer or the contracted documenter shall be allowed to
take pictures or documents during the entire program.

2. BEFORE ENTRY
a. All are enjoined to make self-assessment relative to his/her health conditions
before going to school.
b. All awardees and the accompanying parents/guardians may be alighted beside the
St. Joseph Freinademetz gymnasium facing the nativity chapel except those
availing the public utility vehicles in which case shall be alighted in front the
guard’s house.
c. Alcohol-based sanitizer is located at the entrance and other conspicuous places
inside the campus for hand sanitation.
3. UPON ENTRY
a. The Recognition marshal/usherettes shall guide and monitor the traffic during the
entire activity to ensure proper order.
b. Awardees are given seating assignment as well as the accompanying
parents/guardians.
4. CONTINGENCY PLAN
a. A proper orientation shall be conducted by the committee together with the Crisis
Management Committee (CMC) a day before the program.
b. The institution reserves the right to deny entry of persons with unhealthy
conditions following below protocols:
i. The guard on duty shall hold and isolate the suspected patient to the
waiting area.
ii. The same shall immediately call the attention of the campus medical
personnel for examination and verification of the situation.
iii. Upon validation, if symptoms are identified, the individual must wait in
the isolation room until pick up and the campus medical personnel must
inform immediately the dean and the latter to inform the parents or
guardians of the situation.
iv. The same may refer the patient to the local health authorities for proper
action.
v. The guard on duty shall record the situation containing the information of
the patient and the procedures in the logbook for security and legal
purposes.
c. Management of cases arising from face-to-face engagement and referral.
i. Trained first aiders will provide immediate assistance for minor injuries or
illnesses that may arise during the face-to-face recognition.
ii. The medical personnel shall validate the situation and make appropriate
recommendations to the CMC.
iii. The blessed Helena Hall shall be the temporary designated medical room
equipped with necessary supplies for basic medical care.
iv. In case of severe emergencies, the CMC shall establish communication
procedures with external medical facilities to ensure a smooth transition of
care.
v. Family/parent/guardian(s) of the concerned student or faculty shall be
immediately notified.
