CHAPTER I
INTRODUCTION

1.1 Background of the Study

In the hospitality industry, inventory system plays a crucial role in ensuring


the smooth operation and profitability of lodging establishments. An effective
inventory system enables lodges to maintain adequate stock levels of essential
items, such as linens, toiletries, food, and beverages, to meet guest demands
while minimizing storage costs and preventing stockouts. Efficient “INVENTORY
SYSTEM” also contributes to cost control, reduces waste, and enhances guest
satisfaction.

1.2 Locale of the Study

The respondents of this study will be the Owner of the D King’s Inn that is
located at Purok YBL, General Santos Dr, Brangay Sañto Niño, Barrio 2,
Koronadal City. It’s just a minute’s drive from Koronadal City. This place was
selected for implementing the Inventory System because it will enable the
researchers to gather enough data for knowing the effectiveness of Inventory
System to help D King’s Inn on their business.

1.3 Statement of the Problem

Despite the recognized importance of inventory system, many lodges face


challenges in maintaining efficient and effective inventory system. These
challenges can stem from various factors, including:

Manual inventory tracking: Many lodges rely on manual methods for


tracking inventory levels, which can be time-consuming, prone to errors, and
difficult to maintain.

Lack of real-time data: Without real-time data on inventory levels, lodges


may struggle to anticipate stockouts and make informed purchasing decisions.

Inadequate inventory control measures: Ineffective inventory control


measures can lead to overstocking, understocking, and theft, resulting in
increased costs and reduced profitability.

1.4 Conceptual Framework – IPO Model

INPUT:

Inventory Data: This includes information on the quantity, cost, and


location of all inventory items.

Purchasing Strategies: This encompasses the methods used to procure


inventory items, including vendor selection, order placement, and negotiation of
items.

Storage and Handling Practices: This involves the procedures for


storing, handling, and maintaining inventory items to minimize damage and loss.

PROCESSES:

Inventory Tracking: This involves monitoring inventory levels on a


regular basis to ensure adequate stock levels and prevent stock outs.

Demand Forecasting: This entails predicting future guest demand for


inventory items to inform purchasing decision

Inventory Replenishment: his involves placing orders for new inventory


items to maintain appropriate stock levels.

OUTPUT:

Efficient Inventory Utilization: refers to the effective use of inventory to


meet guest needs while minimizing waste and storage costs.

Reduced Inventory Costs: encompasses the minimization of expenses


related to inventory acquisition, storage, and handling.

Improved Guest Satisfaction: This involves providing guests with the


amenities and services they need and expect, leading to positive guest
experiences.

1.5 Objectives of the Study


The goal of this study is to contribute to the creation of a system that will
improve the company’s capacity to manage the resort.
1.6 General Objective
Creating and implementing a Resort Management and Booking
system for Alada Resort is the goal of this study in order to assist
management with booking, billing, and other necessary to
transaction.
1.7 Significance of the Study
This study aims to achieve the following:
1. To develop the following back-end modules:

a. Log-In Module – a module that would create an


authentication process that would allow employees and
the management to access the system.
b. Cottage Management Module – a module that will handle
the management of cottages. It should be able to add,
update, and delete cottages that are on the resort.
c. Reservation Module – a module that will allow the
employees and the management to schedule a booked
date for the resort. This module will also include the
following sub-modules:
 Reservation Countdown Module – a module that
will be responsible for the 1-week deadline of
reservation.

Manager- studying the role of manager in inventory system can help


identify best practices for effective implementation and management of inventory
system.

Employees- helps employees understanding the perspective on inventory


system that can help them identify potential challenges and areas for
improvement in the inventory system practices.

Guest Satisfaction- effective inventory system management can


contribute to guest satisfaction by ensuring that guest have the amenities and
services they need and expect, such as clean linens, toiletries and safety for
staying.

Cost saving- studying the impact of inventory system on cost saving can
help identify strategies for optimizing inventory cost and improving overall
profitability.

1.8 Scope and Limitation


1.7.1 Scope

This study focuses on the inventory system practices on D King’s Inn. It


encompasses various types of lodges, including budget-friendly options, mid-
range accommodations, and luxury reports. The study considers both manual
and computerized inventory management systems.

1.7.2 Limitation

Resistance to change: Lodge owner and manager may be resistant to


change and may be hesitant to adopt a new inventory system.

Training Requirements: Employees may need to be trained on how to


use new inventory system, which can be time-consuming and disruptive to
operations.

1.9 Definition of Terms

Inventory System- is a software or set of procedures that tracks and


manages the movement and storage of inventory. Inventory System can be used
in a variety of business, including Retail, Manufacture, Wholesale and many
more.

Lodge- is a type of accommodation that typically provide lodging, meals,


and other amenities to guest. Lodges are often located in rural or remote areas
and offer a more rustic and intimate experience than hotels.
