This is my assignmet after coming through some Professional Practice lessons in class 1620. The
writer are given a task to overview and summarize all the knowledge and lessons he have learned
in the class through this project. He must represent the savvy and the importance of
communication skill, time management skill, problem solving skils and critical reasoning skills in
arrange a practical event.

I. Definition and the importance of communication skill:


1. Definition:
Communication is the act of transferring meanings from one entity to another by the use of signs,
symbols, and norms that are understood by both parties. In a nutshell, communication skills are a
set of behaviors that you engage in when you give and receive various types of information.
Expressing your opinion on a topic, keeping up with new developments to your project, expressing
feelings, and so on are all examples of communicating.
Speak, listen, observe, and empathize are all communication abilities. It also aids in the
understanding of how to communicate via phone calls, face-to-face contacts, and digital
communications such as social media and email. (Khullar, 2022)

2. The importance of communication skill:


Communication skills are beneficial in all facets of life, from work to personal life and everything
in between. Communication is at the heart of every commercial transaction. To assist others and
yourself to absorb information more properly and quickly, good communication skills are crucial.
Poor communication skills, on the other hand, lead to a lot of confusion and frustration.
Communication topped the list of most sought-after soft skills among employers in a LinkedIn poll
conducted in the United States in 2016. (corporatefinanceinstitute, n.d)

II. Verbal communication:


1. Definition:
The method you communicate a message through words is referred to as verbal communication.
This can include your speech and writing styles. The basic purpose of verbal communication is to
deliver information in a clear and succinct manner through the use of language.
Interpersonal communication, group talks, and public speaking are the three most common uses of
verbal communication abilities. The term "interpersonal communication" refers to when one
person speaks directly to another. Group dialogues are conversations among a small group of
individuals, whereas public speaking is the presentation of knowledge to a large group of people
by one person. (indeed, 2021)

2. Types of Verbal Communication:

2.1. Intrapersonal Communication :


This is where you can have your own private vocal discussion. You talk to yourself and share
your thoughts. If you communicate with yourself, you'll get more self-assurance and clarity in
your thoughts. It will help you make judgments, compose sentences, discover the right words,
and communicate effectively with others. This will help you gain the trust of your colleagues.
2.2. Interpersonal Communication :
One-on-one verbal communication is another name for this. This type of communication
occurs between two individuals. It helps you to check whether you're effectively
communicating your ideas. You'll be able to tell if you're being understood based on the other
person's reactions, comments, and verbal and nonverbal cues. Make sure you're paying
attention to the person sitting across from you. To communicate, you don't need to speak to
someone. It's also important to be aware of what's going on around you. First, listen, then
reflect, and finally, respond. Consider what you're about to say and be sure you won't offend
anyone.

2.3. Small group Communication :


The number of people increases in small-group communication. You advance from
communicating with a single person to speaking with a group of people. Small gatherings can
take the form of team meetings, board meetings, or sales meetings. Everyone can talk with one
another because the group is small. So you don't get off track, prepare a topic for your small
group meetings. Maintain the discussion's focus and allow adequate opportunity for everyone
to speak.

2.4. Public Communication :


'Public speaking' is another term for this approach. At the same time, one person communicates
with a large number of others. Speeches, political campaigns, and presentations, to name a few,
all fall under the category of public communication. Because the audience in this type of
communication is larger, make sure to use simple terminology and phrases and to organize
your thoughts before speaking to them. If you're well-prepared, you'll feel more at ease as a
public speaker.

III. Non-verbal communication:


1. Definition:
Body language, such as eye contact, facial expressions, gestures, and more, is used to convey
information through nonverbal communication. Smiles, for example, express friendliness,
acceptance, and openness when you first meet someone. Whether they realize it or not, everyone
engages in nonverbal communication on a daily basis.
In contrast to verbal communication, which involves the use of language to convey information
through written text, speech, or sign language, nonverbal communication relies on witnessing and
analyzing physical motions. (Keiling, 2021)

2. Types of nonverbal communication


2.1. Body language:
The way someone positions their body in relation to the circumstance, the environment, and
how they are feeling is referred to as body language.

Example: When a person is angry or nervous, they could cross their arms.

2.2. Movement:
Walking swiftly or slowly, standing, sitting, or fidgeting all send distinct meanings to
bystanders.

Example: Respect and attention are communicated by sitting still and paying attention in a
meeting.

2.3. Posture:
The way you sit or stand can convey your level of comfort, professionalism, and overall
attitude toward a person or topic.

Example: If a person feels fatigued, frustrated, or dissatisfied, they may hunch their shoulders.

2.4. Gestures:
While gestures differ greatly throughout cultures, they are commonly employed to
communicate information to others, both purposefully and unintentionally.

Example: Someone could give a "thumbs up" to show that they agree with something or that
they are enthusiastic about it.

2.5. Space:
Distance between yourself and others can express information about your comfort level, the
importance of the topic, your willingness to help or connect with others, and more.

Example: To respect a new contact's limits, you should stand two to three feet apart from them.
2.6. Paralanguage:
Non-language aspects of speech, such as speed, pitch, intonation, loudness, and so on, are
referred to as paralanguage.

Example: If you're enthused about something, you might speak quickly.

2.7. Facial expressions:


Facial expressions are one of the most common nonverbal ways of communication. It's
possible to transmit emotion or information by using the eyebrows, mouth, eyes, and facial
movements.

Example: When someone is astonished, they could lift their brows and widen their eyes.

2.8. Eye contact:


Eye content (or lack of eye contact) can be used to show your interest and attention in a very
powerful way.
Example: Disinterest or disdain can be conveyed by looking away from someone and at the
ground or your phone.

2.9. Touch:
Touch is also used by some people as a means of communication. It's most typically used to
express support or comfort. This method of communication should be used rarely and only
when you are confident that the recipient is comfortable with it. It should never be used to
express any negative feelings such as anger, impatience, or disappointment.

Example: Placing your hand on a friend's shoulder might be interpreted as a show of support or
empathy.

IV. Communication in my group:


We interact mainly through Discord (a social media platform) to make sure that everyone could
attend this activity. Moreover, this makes it easy to hand over tasks to every member of the group.
Everyone could catch up with the working process of the group.

Each member in the group has their reactions to problems during the working process. This can be
seen in both verbal and non-verbal communication. Like when we do the presentation, a argued
with my group members about why I used a lot of body language and emphasis on keywords to
clarify my points and let the listener focus on the key points. Many reactions from my group
members like grinning, smiling, laughing, gaping, frowning, etc are expressed. Yet, in the end,
everyone agrees with each other about the methods I use.

In group work, I have used all types of communication from communication lessons in class 1620.
When I want to make my points strong and clear, I use assertive communication to force group
members to listen to my points. Yet I still prefer aggressive communication so that the ideas in the
group could be flexible. Sometimes I use passive communication and accept members’ ideas if
their ideas was too good. In the group work, I and all the members in the group focus on group
work, communicate information, and agree very quickly that why we complete the assignment
very fast with quality content.

TIME MANAGEMENT SKILLS IN PLANNING AN EVENT

I. Definition and the importance of time management skill:

1. Definition of time management skill:


Time-management abilities are those that enable you to properly organize your time so that you
can be more productive. Learning to successfully manage your time will help you advance in your
career, as time-management skills are transferable skills that can be used to any position. The
following are some examples of time management abilities:

 Planning:
Time management requires planning since it allows you to identify and arrange your daily
responsibilities, prepare for meetings, and stick to your schedule. Making work plans to fulfill
deadlines is also part of planning. If you're writing a research paper, for example, you'll need
to plan out the many tasks required to finish it. These processes may involve selecting on a
study topic, deciding on data collection and analysis methods, creating the paper and getting
feedback from your coworkers before submitting it to your boss for evaluation and approval.

 Prioritisation:
Prioritization is an important component of the planning process. It entails evaluating each of
your responsibilities in order to identify their significance. Once you've selected these critical
jobs, you'll need to figure out how you'll spend your working hours completing them. Saying
no to more work requests if you don't have the time to accommodate them into your schedule
is also a form of prioritisation.

 Maintaining boundaries:
The most valuable resource you have is your time. Because we seek to maintain great
connections with our coworkers, learning to say no is a difficult skill to master. Saying no is
an important time management technique that will help you protect your time. If you practice
saying no first, you will become more comfortable. Start by denying minor requests to gain
confidence before declining larger work requests that would take up a lot of your time.

 Organisation:
Planning relies on solid organizational skills. Schedule appointments, keep your calendar up
to date, file documents properly, and take careful notes during meetings are all examples of
organizational abilities. It's easier to locate documents when they're well-organized.

 Communication:
Strong verbal and written communication skills are important. Effective communication skills
can assist you in communicating your timetables and other expectations to your coworkers.
This will help your coworkers to coordinate their task completion in order to meet your
deadlines and objectives.

 Delegation:
You'll be able to focus on the urgent chores needed to fulfill your deliverables if you can
subcontract less vital duties. Delegation takes time to master. Delegating duties to the
appropriate person is critical. If you study well, you will be able to delegate jobs to
professionals who will be able to complete them more efficiently and effectively than you
could.

 Stress management:
You can stay motivated and perform at a high level if you can manage your stress levels.
During stressful times, taking regular breaks, exercising, and meditating can help you relax
and focus on maintaining your physical and mental health.

 Self-discipline:
Self-control is needed for good time management. Procrastination and distractions are easier
to overcome with self-discipline. You must discipline yourself to stay focused on these goals
until they are completed once you have prepared a work plan with priority tasks.

2. The importance of time management skill:

You may accomplish more with less time and effort if you have good time management abilities.
Spending less time on a particular activity reduces stress, helps you to master new abilities, and
allows you to remain focused. These advantages of efficient time management might motivate
you to reach higher job goals and attain more life achievement. Time management skills can help
you stay motivated and energetic at work while also making your work more fulfilling.

Employees that can successfully manage their time, complete work tasks before deadlines, and to
a high standard are sought by employers. Managing your time and meeting your work
responsibilities might help you stand out to the management team at your company and increase
your promotion prospects.

and communicate with one another. IoT has transformed the eCommerce business both externally, from
the perspective of customers, and internally, in areas like as transportation and inventory management.

 Inventory Management (Slide 8):

IoT sensors, as well as RFID (Radio Frequency Identification) tags, have completely changed the way
inventory is organized. Without the need for human intervention, these sensors and tags can learn all
critical item information such as the sort of goods, its availability, and its expiration date.

 Supply Chain Management (Slide 8):

During Supply Chain Management, IoT devices provide for exact and thorough tracking of an item's
travel. IoT sensors and RFID tags let businesses keep track of what's going on with their products, such as

1. Definition:
Problem-solving abilities aid in the speedy and effective resolution of problems.
Employers look for self-reliant employees with these skills, thus it's one of the most
important skills to have. Quickly identifying the underlying problem and implementing a
solution are required problem-solving abilities.
Problem-solving is viewed as a soft skill (a personal strength) rather than a hard skill
that can be acquired through education or training. By being familiar with prevalent
challenges in your business and learning from more experienced personnel, you can
improve your problem-solving abilities.

2. The importance of problem solving skill:


The ability to solve problems is a great trait. Your problem-solving skills not only boost
your job value, but they also assist you deal with a variety of life challenges.
Communication, analytic, critical thinking, creativity, and empathy are examples of these
abilities.
You can also effectively negotiate the problem after identifying it if you have strong
communication and analytical abilities. You can build effective solutions to cope with the
challenge at hand using innovative problem-solving concepts.
These are some of the reasons why developing these talents is critical:
 It allows for self-discovery and growth.
 You'll learn to cope with situations more creatively.
 It teaches you that how you view events is affected by your feelings.
 Even when others think there's nothing that can be done, you often have the option to
address difficulties.
 People regard you as capable, responsible, and helpful when you have good problem-
solving skills.

II. Some techniques and tools for the problem solving


Types of Root Cause Analysis Tools:
 Pareto Charts
The Pareto Principle argues that "80% of the consequences result from 20% of
the causes." Pareto Charts are based on this principle. In practice, a Pareto chart is a
combination of a bar chart and a line graph that depicts a frequency distribution in
relation to relative significance.

The most prevalent types of error can be shown at a glance using Pareto Charts.
Pareto charts can help teams prioritize fixes for the most impact by highlighting the
most prevalent sources of a defect in descending order.

 The 5 Whys
The 5 Whys approach is a method of investigation that focuses on a specific
issue. It's simple: you simply keep asking "Why?" until you find a core issue. When
studying simple problems that do not require quantitative analytical approaches, this
Root Cause Analysis tool is the ideal choice. The 5 Whys can be combined with a
Pareto Analysis to uncover a problem area.

 Fishbone Diagram
This is a popular tool for analyzing complicated issues. A Cause-and-Effect
Diagram, also known as a Cause-and-Effect Diagram, divides potential causes of a
problem into subcategories that are linked to the main issue under investigation.
When the source of the problem is uncertain, fishbone diagrams are used.

 Scatter Diagram
Scatter Diagrams, also known as Scatter Plots, are visual representations of two
sets of data. It's a straightforward quantitative method for determining whether two
variables are correlated.

The independent variable (or suspected cause) is represented on the x-axis,


while the dependent variable (the effect) is plotted on the y-axis, in order to apply
this root cause analysis tool. You know the variables are associated if the pattern
shows a distinct line or curve. You can then move on to more complex regression or
correlation analysis if necessary.

 Failure Mode and Effect Analysis (FMEA)


FMEA (Failure Mode and Effect Analysis) is a method of identifying system
failures. This tool, which consists of two key components: Failure Mode and Effect
Analysis, can be used at any point, including planning, designing, implementing,
and inspecting.

The term "failure mode" refers to the various sorts (or modes) of failure. While
Effect Analysis examines each failure mode's impacts and implications. Both are
intertwined.

III. Problems and solutions in the training event


In every program, there will always have problems during events. I just list some problems that I think
will affect directly to the success of the event below. I used The 5 Whys as problem solving skill to solve
all the problems:

1. Problem: Guests are late


Solution: The guest’s delay will have a direct affect to the event, especially the
workshop. If the guests are late, the workshop must be delayed. In this situation, the
MC has to make distraction to buy time to wait for guests to come. And the guest
shuttle must be on time to ensure the event schedule.

2. Problem: MC is late or unable to come


Solution: The late or absent of MC will affect on the event. If the MC is late, the
event must be delayed. Yet, if MC is unable to come, there must have a backup MC
ready for replacement to ensure the event must happen as planned.

3. Problem: Sound and light have problems during the event


Solution: The sound and light must be double check before the event. Yet if they
still have problems, there must have a repair team to fix or replace them right a way. If
it still not work, reject them from the event.

4. Problem: Lack of facilities


Solution: During the event, if the facilities are insufficient, they must be filled or
replace immediately. If it still not work, reject them from the event to keep the event
running.

5. Problem: The absent of personnel

F. PERFORMANCE EVALUATION
I. Team member’s roles
Each member of the group is assigned to a different task. The group's leader, Bui Nhat
Minh, summarizes and reviews the material. The primary material creator for the event is
Pham Quang Thanh. Nguyen The Manh, who creates presentations for the group using
PowerPoint. Finally, there's Nguyen Khanh Hung, who plans and organizes the content for
group sessions.

II. My contribution
Leader Bui Nhat Minh give the task to create content for the event. I plan and write
content for the event the team organizes. My work is closely related to other positions.
After writing the content for the event, I had to give it to Bui Nhat Minh to summarize and
review the content. After checking the content, I gave it to Nguyen Khanh Hung to prepare
the content before the group meetings. After the group agreed on the content through a few
meetings, Nguyen The Manh will put the content I wrote into the presentation for the event.
G. CONCLUSION
The writer acquired a lot about professional practice after learned it from 1620 class and
completing assignment, such as different communication types and the how to utilize time
management skills effectively. It supports me a lot in saving my time and my effort during the time
I do my assignment.
Moreover, thanks to problem solving skills, I could solve every problem I listed in the event
and in my daily life. Lastly, critical reasoning skills assist writer to have a logical and sensible
thinking. To sum up, the skills I learned during the time I learned and did my asignment helped me
a lot.
