CREW HANDBOOK 2018

ATD Productions prides itself on offering a premium and professional crew to our clients. As a
member of our crew, you can always expect to be client-facing. Please keep this in mind at all
times, and prepare your dress and actions accordingly.

DRESS CODE:
● Work blacks ​includes​ ​attire you can get dirty, ATD attire, black tee, sweatshirt, dark
jeans or black pants.
Show Blacks​ includes black button down, black jeans, or black pants.
Dress Blacks​ includes formal black button down shirt, formal black dress pants and
formal black shoes
● NO logos or writing/images (except ATD attire) and NO shorts. Dark blue jeans or
clothing with holes are not appropriate.
● Remember, you are almost always seen by clients and guests.
*Note that if you are asked to change your clothing, you must comply. Please be
prepared.

OVERTIME RATES:
● All events are paid at a standard (non-OT structure) rate unless otherwise specifically
stated when booking the specific event.
● If an OT-structure applies to a specific event, the overtime rate of 1.5 times the standard
hourly rate is paid after 10 hours worked on a job, not including unpaid breaks.
● These are based on hours, not jobs; therefore it is possible to do multiple
Jobs at multiple locations during one shift.

APPROPRIATE LANGUAGE:
● Use​ of ​appropriate workplace language​ aligns with good communication.
Profanity, excessive slang or other crude or vulgar ​language​ is unacceptable,
and doesn't support your image as a good communicator at work. ​Using​ vulgar or
sexual ​language​ could result in termination.

MINIMUM CALL:
● A minimum call of 4 hours at the standard rate will be paid to all crew called to work for a
period of time 4 hours or less in duration.
● All calls are to be considered a 4 hour guarantee only, and may end earlier than the
stated call time.
● If you are late for a shift of under 4 hours, your shift will be deducted by the amount of
time you are late. Management reserves the right to not allow you to work at all if late for
a call time without compensation.
PAYMENT TERMS:
● You are an independent subcontractor or vendor, responsible for promptly invoicing ATD
Productions for all services rendered.
● Include the date of service, date of invoice, payment terms (Net30), event description,
event location, your title, times, hours, rate, payment total, your legal name, mailing
address, phone number, email, and social security number or tax ID.
● The times on your invoice will be compared to the times and GPS in WhenIWork for
verification only. WhenIWork is not an official timecard or punch clock.
● The payment terms are Net 30, which gives us 30 days to pay your invoice.

● Please do not contact ATD Productions weekly or prior to the 30 day period.
● Your completed W9 must be on file with ATD Productions, including your full address,
Social Security Number, signature and date.
● You can download a W9 from the IRS at ​https://www.irs.gov/pub/irs-pdf/fw9.pdf

TRACKING HOURS/INVOICES:
● Once onsite you must track your hours using the WHEN I WORK app and follow-up with
an invoice, after the job is completed.

MEAL BREAKS:
● A one-hour paid meal break is scheduled for 8 hour or more load-in/setup work calls
prior to the beginning of an event. ATD Productions aims to periodically have 15 min
breaks, if time permits.
● For crew staying through an event and/or lengthy work calls, ATD Productions aims to
provide meals but reserves the right to offer walkaways.
● On occasion, one-hour meal breaks are not always possible. In these rare
circumstances, meal breaks might be shortened, segmented, and/or food may be
provided while continuing work.
● DO NOT ever ask for, take, or accept guest or client food/beverages (under any
circumstances), unless specifically approved by management.

SMOKING:
● It is not appropriate to smoke while on the job, even when working outside. Wait until a
crew break and go out of sight of the client/venue. Never let a client see you smoke.
● Do not smell like smoke when arriving or returning to work.

TRUCK TURNAROUNDS, PICK-UPS & RETURNS:


● Crew members are paid at the applicable standard or overtime hourly rate for truck
pick-ups or drop-offs, or for loading, unloading, or turning around equipment.

CANCELLED WORK CALLS:


● ATD Productions always endeavors to give timely notice in the event of a cancelled work
call. Crew is guaranteed a minimum of 4 hours within 48 hours of the specified call.

TIMELINESS:
● A late arriving member of a crew is to be signed in on the WHENIWORK app at the
actual time of their arrival on the job site. You are only paid for the actual time worked.
ATD PRODUCTIONS HAS THE RIGHT TO SEND HOME ANY LATE CREW
MEMBERS ​WITHOUT​ PAY.

DRUGS & ALCOHOL:


● ATD Productions strictly prohibits subcontractors to either consume and/or be under the
influence of alcohol and/or drugs at any time while performing work for ATD Productions.
● Any independent contractor found to be in violation of this policy may be removed from a
worksite and/or have his/her contract terminated without compensation.
● For safety purposes, are required to notify your Producer, Crew Lead or Manager about
any use of painkillers, medical marijuana, or other prescribed or unprescribed
substances that requires careful operation or heavy machinery or lifting. Your crew
manager may reassign or remove you from the worksite.

DRIVING:
● If you are going to be in a driving position, ATD Productions requires a valid drivers
license, including a copy for our files.
● You are required to inform ATD Productions IMMEDIATELY if your license is suspended
or invalid for any other reason.
● You are responsible for knowing and following all the applicable traffic and parking laws,
including laws regarding larger commercial vehicles.
● The assigned driver of the vehicle is responsible for legally parking the vehicle at all
times. Use the card inside the truck to pay for any parking meters. If the card is missing
or not working, use a personal card and submit for reimbursement.

GENERAL SAFETY:
● Safety is everyone’s responsibility. You have the right to, at any time, decline to engage
in any activity that you deep to be unsafe. You are obligated to stop any employees or
other contractors from engaging in unsafe behaviors. Once brought to the attention of a
Producer or Team Leader, a final decision will be made on how to proceed by
considering industry best practices and recommendations from organizations including
OSHA.
● Any time you are lifting equipment, you are required to wear steel-toed shoes.

LADDER SAFETY:
● Take time to secure the ladder properly.
● Make sure the soles of your shoes are clean so they do not slip off the ladder rungs. Do
not wear leather-soled shoes because they can be slippery.
● Make sure your shoelaces are securely tied and that your pant legs do not extend under
your shoes.
● Face the ladder while climbing, and stay in the center of the rails. Grip both rails securely
while climbing.
● It is always better to move the ladder than to overreach.
● Leaning too far to one side, and reaching too far overhead, can make you lose your
balance and fall. Your bellybutton should not go beyond the sides of the ladder.
● Never climb a ladder without someone nearby who is able to spot you.
● On a single or extension ladder, never stand above the third rung from the top and never
climb above the point where the ladder touches the wall or vertical support.
● Do not stand above the marked level; never stand on the top rung of any ladder.
● Do not use a ladder if you tire easily, are subject to fainting spells, or are taking
medications or consuming alcohol that may make you dizzy or drowsy.
● Do not use the ladder or the pail shelf as a seat.

COMPANY PROPERTY:
● During the course of your work with ATD Productions, you may be responsible for the
safety and security of company owned property.
● Treat company property with respect and care; as if it your own.
● Never drill into technology items, tv’s, projectors, etc.

REIMBURSABLE EXPENSES:
● No out-of-pocket expenses beyond those in the Scope of Work will be reimubursed
without prior consent of a Producer.
● Any petty cash given to you must be fully accounted for.
● No meals, food, beverages or methods of transportation will be reimbursed without prior
consent of a Producer.
● Your personal commute to and from the shop, event, or venue (including but not limited
to transport/fuel/tolls) is not reimbursable unless otherwise specifically approved by
management.
● The only acceptable receipt for expenses is an original store/merchant itemized receipt
with the total confirmed paid printed on it. We recommend saving both itemized and
credit card authorization receipts if provided both. Many hardware stores do not provide
itemized receipts unless you ask them specifically.
● All expenses must be submitted within 3 business days of the event ending. Expense
reimbursement requests submitted after this time may not be approved at the discretion
of management.
● Reimbursements for approved expenses will be sent to you via check within 5 business
days after approval.
