Charter and Operation Procedures of Industrial Advisory Panel Members

In the pursuit of fostering unparalleled excellence and ensuring the continuous growth of its
academic programs, Brac University recognizes the indispensable role of a robust and strategic
partnership between academia and industry. With an unwavering commitment to producing
graduates equipped with the requisite knowledge and skills to thrive in the dynamic realm of
Electrical and Electronics Engineering and Electrical and Communication Engineering, the
university understands the necessity of an esteemed Industrial Advisory Panel (IAP) as an
indispensable conduit for forging invaluable connections between academia and industry. The
IAP, comprising distinguished professionals, luminaries, and thought leaders from the corporate
sphere, shall play a pivotal role in guiding and enriching the curriculum, research endeavors, and
overall educational framework of these departments. By harnessing the profound wisdom and
expertise of the IAP members, Brac University aims to ensure its programs remain at the
forefront of technological advancements, empowering students with industry-relevant
competencies, and fostering an ecosystem of innovation, ingenuity, and impactful contributions
to the broader society.

Membership and Terms of Appointment:


1. Minimum Number of Members: To ensure a robust and comprehensive representation,
the IAP shall consist of a minimum number of fifteen (15) members. This number will be
determined based on the size and needs of the departments, aiming for an adequate
balance between breadth of expertise and effective decision-making.
2. Member Addition Procedure: The new IAP members can be added to the panel only
through the following procedures:
a. Invitation by Department and University: The Department of Electrical and
Electronics Engineering and the Department of Electrical and Communication
Engineering, in collaboration with the university administration, shall extend
formal invitations to prospective IAP members. The invitations will be based on
their expertise, industry prominence, and potential to contribute to the strategic
goals of the departments.
b. Consultation with Existing Members: The existing members of the IAP may be
consulted during the invitation process, offering valuable insights and
recommendations for new member selections.

3. Membership Criteria: The IAP will comprise representatives from government and
non-government organizations, industries (private and public), and academia. IAP
members may include persons from foreign organizations and industries. The following
criteria must be met while selecting members for IAP:

a. Expertise and Experience: Prospective members of the IAP shall possess
distinguished expertise and significant experience (5+ years) in the fields related
to Electrical and Electronics Engineering or Electrical and Communication
Engineering. Their professional achievements, industry standing, and track record
of contributions to the field shall be pivotal factors in their selection.
b. Industry Representation: The IAP shall comprise individuals representing a
diverse range of industries, including but not limited to electrical and electronics
manufacturers, telecommunications companies, engineering consulting firms,
research institutions, and regulatory bodies. This diversity ensures a broad
spectrum of perspectives and insights.
c. Network and Connections: Members shall bring valuable networks and
connections to the IAP, enabling collaborations, partnerships, and opportunities
for students and faculty. Their ability to leverage industry relationships for the
benefit of the departments is a key criterion for membership consideration.
4. Terms of Membership:
a. Duration: IAP members shall serve for two (2) years, with the option for
reappointment based on their continued active participation and contributions.
b. Commitment: Members are expected to actively participate in IAP meetings,
workshops, and events, and to engage in ongoing communication and
collaboration with the departments. Regular attendance and active involvement in
the IAP's activities are crucial for the effectiveness of the committee.
c. Confidentiality and Conflict of Interest: IAP members shall adhere to strict
confidentiality regarding sensitive information shared during meetings or through
other channels. Additionally, members shall disclose any potential conflicts of
interest that may arise and actively manage and mitigate them to ensure
impartiality and transparency in their decision-making processes.
5. Cancellation of Membership: The membership status of IAP members are subject to
cancellation due to the following reasons:
a. Inactivity or Non-Engagement: If a member fails to attend two (2) consecutive
meetings, contribute actively, or fulfill their responsibilities, their membership
may be subject to review and potential cancellation.
b. Ethical or Professional Misconduct: Membership may be revoked if a member
engages in unethical conduct or professional misconduct that brings disrepute to
the IAP, the departments, or the university.
c. Violation of Confidentiality: Any breach of confidentiality obligations or
unauthorized disclosure of sensitive information may result in the cancellation of
membership.

These membership criteria and terms aim to ensure that the IAP comprises individuals with the
necessary expertise, industry representation, and commitment to actively contribute to the
advancement of the departments of Electrical and Electronics Engineering and Electrical and
Communication Engineering of Brac University.

Terms of Reference:
The Terms of Reference (ToR) of the Industrial Advisory Panel shall be to conduct a
comprehensive review of the Department's objectives and goals, with the aim of fostering a
culture of academic and professional excellence while enriching the realms of education and
research. Through scheduled meetings, the Department shall provide succinct updates on its
current state and progress concerning developments that impact its overall well-being.
Leveraging their expertise, the Industry Advisory Panel shall formulate recommendations for the
Department, propose actions that ensure the maintenance of the highest standards and the
continual improvement of the Department's undergraduate and graduate programs. By generating
novel ideas, offering advice, engaging in critical evaluation, providing guidance, and extending
general support, the Industry Advisory Panel shall assist the Department in strategically
positioning itself to embrace future challenges and seize emerging opportunities, thereby
preparing the engineers of tomorrow. To foster closer connections, the Department shall organize
periodic opportunities for Industry Advisory Panel members to engage with faculty and students,
fostering a collaborative environment that nurtures mutual understanding and knowledge
sharing.
Terms of Reference (ToR) by the Industrial Advisory Panel (IAP) members:
1. Visionary Guidance: The IAP members shall serve as the quintessential harbinger of
visionary guidance, meticulously charting the course for the departments of Electrical and
Electronics Engineering and Electrical and Communication Engineering at Brac
University. Drawing upon their rich reservoirs of expertise and industry insights, the
members shall provide invaluable recommendations and strategic counsel to steer the
departments towards academic eminence and technological prowess.
2. Curriculum Enhancement: Recognizing the dynamic nature of the engineering field,
the IAP members shall actively participate in the continuous enhancement of the
curricula offered by the departments. Through systematic curriculum reviews, the
members will identify emerging trends, emerging technologies, and evolving industry
demands. Their deliberations shall shape the curricula, ensuring that it remains adaptive,
relevant, and equipped to address the future needs of the industry.
3. Industry Collaboration: The IAP members shall foster meaningful collaborations and
partnerships between the departments and the industry, transcending the confines of
academia. By forging synergistic alliances, the members shall aim to facilitate
internships, cooperative education programs, and industry-sponsored and linked projects,
exposing students to real-world challenges, cutting-edge technologies, and industry best
practices. More specifically the members shall be involved with the students' Final Year
Design Project (FYDP) as stakeholders. These collaborations shall facilitate a seamless

transition from academia to industry and nurture a skilled workforce, poised to make
impactful contributions to the ever-evolving engineering landscape.
4. Research and Innovation: At the forefront of technological advancements, the IAP
members shall actively contribute to the promotion of research and innovation within the
departments. By identifying research thrust areas, fostering interdisciplinary
collaborations, and providing strategic guidance, the members shall propel research
endeavors that address critical societal challenges, explore emerging frontiers, and push
the boundaries of knowledge. This emphasis on research and innovation shall fuel a
culture of intellectual curiosity and stimulate an ecosystem that thrives on
groundbreaking discoveries.
5. Quality Assurance: The IAP members shall assume an integral role in ensuring the
highest standards of quality in the departments' academic programs. Through rigorous
academic reviews, the members shall assess the effectiveness of teaching methodologies,
evaluate program outcomes, and provide constructive feedback to enhance the overall
learning experience. The members recommendations shall contribute to the continuous
improvement of academic processes, fostering an environment of academic rigor, and
ensuring that graduates are well-equipped for the demands of the industry.
6. Industry Trends and Market Analysis: Drawing upon their deep-rooted connections
and industry acumen, the IAP members shall consistently monitor industry trends,
conduct market analysis, and provide insightful recommendations. By keeping a vigilant
eye on technological advancements, market demands, and emerging industry sectors, the
members shall enable the departments to anticipate and adapt to changing landscapes,
thereby aligning the academic programs with the ever-evolving needs of the industry.
7. Any Other Business: There may be unforeseen or time-sensitive matters that require
discussion during the meetings. To address these topics, an agenda item titled "Any Other
Business" will be included, allowing IAP members to raise relevant issues outside the
predefined agenda. The participants will assess the feasibility and significance of each
matter. This provision ensures the IAP's adaptability and responsiveness, fostering
constructive dialogue on emerging concerns that contribute to the overall objectives and
success of the panel's collaboration with the departments of Electrical and Electronics
Engineering and Electrical and Communication Engineering at Brac University.

Members of the IAP shall:


a. Maintain confidentiality on all matters that require it
b. Maintain objectivity, impartiality, and professionalism
c. Uphold the department’s values within and outside of the IAP
Through these meticulously delineated Terms of Reference (ToR), the IAP members shall fulfill
its pivotal role as an esteemed bridge between academia and industry. With a steadfast
commitment to excellence, collaboration, and innovation, the members shall propel the

departments of Electrical and Electronics Engineering and Electrical and Communication
Engineering towards unparalleled academic distinction, while fortifying the connection between
theory and practice, and nurturing graduates who are not only technically proficient but also
poised to shape the future of the engineering realm.

Expectations from Members:


It is important that members engage actively in IAP’s activities and continue to find ways to
promote the panel’s function in order to sustain satisfactory membership status. The following
guidelines, which can be expanded on, outline what is the minimum amount of engagement
expected out of each member:
a. Attend annual meeting at Brac University or other designated site
b. Actively participate in the discussion of the IAP meeting
c. Actively collaborate with the students during their Final Year Design Projects (FYDP)
d. Create and deliver specific opportunities to build stronger partnership with the
Department by offering company resources, sponsorships and recruitment efforts, serving
as a guest speaker, hosting a tour or visit of your company and its facilities, and other
means
e. Serve as connectors between the Department students and faculty, and external
individuals or groups, to create synergies and collaboration opportunities

Meeting Frequency:
The Industrial Advisory Panel (IAP) shall hold a minimum of one meeting annually. Whenever
possible, these meetings will be conducted in person, fostering a conducive environment for
effective interaction. However, in exceptional circumstances that prevent physical gatherings,
online meetings will be arranged to ensure continuous communication. If necessary, the meeting
frequency can be increased to address emerging challenges, seize opportunities, and
accommodate the evolving needs of the IAP. Meeting notice will be given at least fourteen (14)
days in advance to when the next meeting will be held. The minutes of each meeting will be kept
and copies will be emailed to the members no later than one (1) month following a meeting. This
commitment to regular and flexible meetings ensures that the IAP remains an active platform for
productive discussions, strategic guidance, and fruitful collaborations.

Quorum and Meeting Attendees:


Quorum: To ensure effective decision-making and representation, a quorum shall be required
for the Industrial Advisory Panel (IAP) meetings. More than half of the total IAP members must
be present to constitute a quorum, allowing the meeting to proceed and decisions to be made.

Meeting Attendees: In addition to the IAP members, certain individuals may be invited to
attend the meetings to provide valuable insights and expertise. The following categories of
individuals are eligible to attend the IAP meetings:

1. IAP Members: All appointed members of the IAP are expected to attend the meetings,
actively participate in discussions, and contribute to the decision-making process.

2. Faculty Members: Faculty members from the departments of Electrical and Electronics
Engineering and Electrical and Communication Engineering should attend the IAP
meetings. Their presence allows for the exchange of academic perspectives and enhances
the collaboration between industry and academia.

3. Officials/Ex-Officio: Relevant officials or ex-officio members, such as department heads,


senior administrators, or designated representatives from Brac University should attend
the meetings. Their presence ensures seamless coordination, alignment with university
policies, and effective communication between the IAP and the university administration.

By stipulating the quorum requirement and specifying who can attend the meetings, the IAP
establishes a framework for meaningful engagement, diverse perspectives, and inclusive
decision-making processes.
