Chapter 1: Introduction

Our project on HOTEL CHECK-IN MANAGEMENT SYSTEM give idea


about the management in hotels. All the information regarding the check-in
and check-out facilities of the customer. The department can make booking
and food as Oder of customers. Customer can choose your arrival and
Departure. It also provides the facility of searching the customers in that
particular hotel by name or mobile number, id. It gives the information
about the customer and the room occupied by him. This software is very
useful to the departments for managing their activities.
Although hotel is already having well-developed software for information
management, we just want to study how this is done, so we selected this
software. We just want to study how this is done. So, we find out
information and we got most of the hotels or small hotels the back-end used
only MS-office, we have included SQL as well in our project. Since its pure
relational database.

1.1 Background

We visited various hotels and gone through their software. In most of the
hotels are using MS office software for managing data. So, we can decide to
add and storing data for easily accessible we have included SQL database. In
one hotel, we found that they have the problem that their software does not
show the room vacant. The status of the room is updated only after 12 hours
or 24 hours depending upon the time period they have taken. They were
facing problem in providing rooms to customers.

1.2 Objective

Developing software on a topic like this system has much scope it can be
made more attractive and many more modules can be attached to provides
various services to customers. Our project provides various services to the
customers like booking, cancellation enquiring about any customer by
Name, id, etc. or about room availability. The main objective in hotels since
the routine activities of managing departments become easy.

1.3 Purpose Scope and Applicability.


1.3.1 Purpose:
1. Enhancement: - The main objective of this system is to enhanced and
upgrade the existing system by increasing its efficiency and effectiveness.
The software improves the working method by replacing the existing
manual system with the computer-based system.
2. Automation: - The hotel management system automates each and every
activity of the manual system and increases its throughput. Thus, the
response time of the system is very less and it works very fast.
3. Accuracy: - The system provides a quick response with very accurate

information regarding the user etc. any details or system in an accurate


manner, as and when required.
4. User Friendly: - It has a very user-friendly interface. Thus, the user will fell

very easy to work on it.


5. Maintenance Cost: - Reduce the cost of maintenance.

1.3.2 Scope :

• Storing information of customers and admin.


• Check validity of information provided by user.
• Storing information of customers according to their id.
• Finding user by searching.
• Receipt generation.

1.3.3 Applicability :

With the help of this project, we reduced task developed for data
information collection to a large extent they’re by eliminating the human
errors considerable.

• Huge reduction in the number of pages being used for the data store.
• Backup facility provided in case of data loss.
• Reduction in cycle time till the updated data will be available.
• Speedy retrieval of data.
• Compatible with the advance versions for future perspective.
• Cost of benefits.
