1. INTRODUCTION
The Electronic Time Entry System (e-TES) is an interactive system used to enter and administer
how your time was spent during the day. Time entry is the amount of time worked on a specific
project, or the time charged to an absence type, such as sick leave, vacation, jury duty, etc, plus
any special payments associated with the time worked. The data entered is used to create the
payroll and to account for the cost of work for which DXC is responsible.
Time can be processed either once a week or twice a week. Processing of time twice a week is
called “Mid Week Processing”. Mid Week Processing views your Time Sheet in two periods
and enforces time management twice for that week.
Work authorization forms can be provided to your workers which identifies their authorized
work activities and the period of time for which the work is scheduled.
Note
Authorization forms are only available if your organization’s
management selects this capability for their organization.
Additionally, adjustments to prior time may be submitted and approved by multiple levels of
management.
Note
Prior Time Adjustments are available only via the Web and only at
the organization’s request.
You can access e-TES two ways: from a touch-tone telephone or via a DXC intranet/Internet
website using the Microsoft Explorer Internet browser. There are predefined combinations of
codes on the telephone to facilitate non-numeric characters.
As a DXC employee or subcontractor, you have the most important role in e-TES -
recording time and special payments accurately and on time. Other responsibilities include:
Creating and maintaining your personal “Quick Entry List” (explained later in this
Guide).
Entering time adjustments, when necessary.
Maintaining your personal information.

Your manager will provide you with the information necessary to enter information in e-TES.
Once your information has been submitted, your manager reviews it for accuracy and approves it
for payment by payroll. If you make a mistake entering your information, your manager can
assist you in making the correction.
Managers also have the ability to create an authorization document which will keep you up-to-
date with your work activities.
Work Authorizations are how a manager keeps their personnel up-to-date with various work
requests. Authorizations can only be created by the Approval Manager (or their Alternate) via
the web and are immediately available for the users via the WO Authorization report. However,
even if your manager has not completed your authorization, you will still be able to record your
work activities in TES via both phone and web. You will be permitted to record your
unauthorized work activities for a grace period, until authorization has been received.
WARNING!
If your grace period expires and no authorization has been
received, you will not be allowed to continue charging to the
unauthorized work activity.
Tip
You will be alerted when you are recording time against an
unauthorized charge number. When you receive the message,
please contact your manager to update your work authorization
requests.
Prior Time Adjustments are one mechanism for workers to adjust time entered in previous
weeks. The adjustment option is available only to workers in organizations that have elected to
utilize this feature. Adjustments submitted by the worker must be approved by one or more
levels of e-TES approvers prior to being processed by Labor.

Work Location
Work Location allows you to indicate where you are located when you record your work. The
information you provide will help DXC to notify you when your tax withholdings should be
reviewed and changed.
In Chapter 3, GETTING STARTED, we’ll explain how to access e-TES and start entering your
data.

DXC employees are required to record their work and any authorized absences each day.
Subcontractors are also required to record their hours worked each day; but, unless requested by
the contract, absences should not be recorded. All information entered must be approved by a
manager on a weekly basis, at a minimum. Different functions are represented by tabs on the
web and by function codes on the telephone. Tabs are found at the top of each Web page.
Function codes on the telephone are formatted as “*” followed by the number, such as “*01” for
Quick Entry. Each phone entry must be concluded with a “#” symbol so that the telephone
knows when you have finished entering your request.
To account for the work for different clients, a “Work Order Number” is assigned to each project
or contract. Workers are required to enter the number of hours they work under a specific Work
Order Number. Work Order information is comprised of a Project and an Assignment and is
usually provided by your manager. Some workers may use the same Work Order Number to
record all of the time worked. Other workers may have many Work Order Numbers. The
information recorded forms a Time Sheet.
Absences
Another type of time a DXC worker may record is an absence. These absences can include:
vacation, sick leave, military reserve, jury duty, etc. The types of absences a worker may record
is determined by his/her organization, and may be based on such factors as the conditions of
employment (full time, part time, casual), contract requirements, benefits definition, etc.
absences are also recorded on a Time Sheet. Normally, absences do not have Work Orders
associated with them.
Special Pay
The information recorded is used to provide additional payment requests to payroll. These
requests can include: beeper pay, on call pay, standby pay, etc. As with absences, these
additional payment requests must be approved by management.

The concept of mid week processing enforces time management twice a week for designated
weeks. Time management is the entering, approving, and extraction of time. The performance
of mid week processing is identified during the initial organization set up on e-TES. Selecting to
do mid week processing does not force dual time management every week; instead, it allows
organizations to select for which weeks time must be processed twice. Organizations which may
have a different payroll requirement, such as a calendar month basis, can provide time to payroll,
in the middle of the week, while maintaining a weekly process for other purposes.
Work Authorization
A Work Authorization is a process by which a DXC worker is assigned task(s) by their approval
manager. The authorization always identifies the work order and a time period. It may also
include a labor category and an extended description, if required by the approval manager. Due
to DXC’s matrix structure, workers may be aware of tasks before their approval managers can
assign the work. In such cases, a DXC worker may begin the task and record the work
performed. A notification will be sent to the manager to alert them that a task has begun and
must be added to the worker’s authorization form. Authorization forms are available to the
worker, approval managers and other participants in the work authorization process via the
Reports function.
Tip
You will be alerted when you are recording time against an
unauthorized charge number. When you receive the message,
please contact your manager to update your work authorization
requests.
Note
Only current week authorized work is maintained online. Each
week, authorizations which are no longer in effect are removed
from the Work Authorization report.
The following figure is an example of an e-TES Time Sheet, displayed using Web e-TES.
Notice that each day is displayed in a calendar format. Only one period is displayed at a time.
The Time Sheet is comprised of several sections designed to facilitate a quick and easy entry of
data. These sections are:
Quick Entry List – a listing of commonly-used charge information which you
previously established via the Quick Entry tab above the Time Sheet.
Work Order Description – a short title which you use to identify a distinct piece of
work. It is an alias for the charging information. The commonly-used descriptions

are visible on your Quick Entry List. Ad hoc descriptions can be established, as
needed, using the New Work Order button below your Time Sheet.
Total – a summary of information recorded. There are two totals provided: by Work
Order Description and Daily. The Work Order Description Total summarizes all
information entered on a row. The Daily Total summarizes all hours worked and
absences for a day. This total does not include any special pay data recorded for the
day.
Selection Week – shows the week end date of the Time Sheet being viewed. You
can access past or future Time Sheets by changing the date and clicking Select. A
prior week’s Time Sheet can only be viewed, but you can enter absences into a future
Time Sheet.
Current Week Lockout – shows when you must stop making changes to the current
period data. Your manager also has a time by which all approvals and changes must
be completed.
Week Ending – shows the last day of the current week.

whether you access e-TES via the Web or by telephone. For example, you may be out of the
office on Monday and use the telephone to access e-TES to enter your time for the day. If you
return to the office on Tuesday and use the Web to access e-TES, the time you recorded on
Monday will be displayed on your Time Sheet.

You must record your time on a daily basis. This information is needed to accurately pay you in
a timely manner and to promptly bill the client for your efforts. Time sheets are processed for
each individual. Though employee time sheets are paid through Payroll and subcontractor time
sheets are paid through Accounts Payable, the process of a Time Sheet from entering the time to
billing the client is the same.
After you record your time and any special pay requests, at the end of the period, you will be
required to submit your Time Sheet to your manager for approval. Before submitting your Time
Sheet, you should review your Time Sheet for accuracy, then use the procedure for submitting
your Time Sheet described later in this Guide.
After your time has been submitted, your manager reviews it, along with other Time Sheets
submitted by workers on his/her staff, and approves the Time Sheets. The following figure
illustrates this process. Note that each telephone access is also available via the Web.

In order for the weekly payroll to be run in a timely manner, DXC must limit the time available
for a worker to enter time, and for managers to approve time. To enforce these limits, e-TES
provides a “lockout time”. There is both a user’s lockout time and a manager’s lockout time.
After a certain time on the last day of the pay period (for example, 12:00 p.m. on Friday), your
Time Sheet will be ‘locked’; you can make no changes to it, and if you have not already done so,
you cannot submit it to your manger for approval. After the lockout time, if you need to make a
change, or if you forgot to submit your Time Sheet, your manager can ‘unlock’ your Time Sheet.
However, managers also have lockout times. Once the manager’s lockout time has passed, any
changes must be processed by the Labor Accounting Department. Chapter 6, CORRECTING
TIME ENTRIES, explains in detail how and by whom time entry corrections may be made.
Note
For organizations who select mid week processing, there will be
two employee lockout times, during the week with dual time
management, and two manager lockout times.

3. GETTING STARTED
You can access e-TES from a touch-tone telephone or from your computer, using the DXC
website. You can use the telephone, computer, or both for entry; any data entered can be
accessed or updated by either method.
To use e-TES via the Web, you must have the web browser Microsoft Internet Explorer installed,
and access to the DXC intranet/Intranet used by your DXC organization for e-TES. Your
manager will give you the website address needed to access e-TES. e-TES functions are
represented as tabs at the top of the e-TES screen.
WARNING!
Do not use the Internet Explorer Browser Toolbar buttons
(BACK, FORWARD, STOP, REFRESH, etc.).
Use of these buttons can have unpredictable results in e-TES. All e-
TES functionality can be accessed using the e-TES Function tabs.
When you use the telephone access of e-TES, a recorded voice answers. You are given voice
prompts to help access e-TES and its functions; however, you will need to know the “Function
Code” of the functions you wish to execute. For example, to submit time, you may enter
Function Code 8. (An explanation of Function Codes is found in the section, e-TES Functions,
later in this chapter.) Each prompt must be concluded with a ‘#’ symbol so that the telephone
knows when it should begin to process your information.

Note
e-TES uses the terms “password” and “access number”
interchangeably. However, the “access number” that you set up in
e-TES for telephone access is not the same “password” you use for
Web access. Refer to the section Changing Your Password /
Access Number (under the heading Features in Chapter 7.
Additional Features) for an explanation of the rules to be followed
when setting up your password / access number. Additionally,
keypad number codes are used to represent letters when accessing e-
TES via telephone. Refer to the section, Alphabetic Characters
Help (under the heading Help Options later in this chapter) for an
explanation of how to enter letters using the telephone.

The very first time you access e-TES, whether by the Web or the telephone, you will be required
to change the initial password / access number to your unique code. The password rules for each
access method are listed in Chapter 7’s Feature section under the heading Changing Your
Password / Access Number. Additionally, the telephone access has certain set criterion which
facilitates the voice activation, such as saying your name instead of listening to the computer
spell your name when it greets you.

Tip
In this Guide, instruction for using e-TES both by telephone and

Note
The telephone [#] key is a special purpose key. All input must be
followed by pressing the [#] key. Pressing [#] in e-TES is similar to
pressing [Enter] on a personal computer keyboard. It tells e-TES
you have finished your entry.

[1][#] Input Level Help - gives you information to help in using the current prompt.
For example, Time Addition (Function Code 5) and Time Adjustment (Function Code 6)
require a specific date format. Input Level Help informs you that the only acceptable date
format is two digits for the month and two digits for the day (MMDD).
[2][#] Function Level Help - provides an overview of the current function. For
example, if you select Function Level Help for Time Query (Function Code 22), e-TES
informs you that the Time Query function enables you to listen to your time for a specific
date in the prior week, current week, or future weeks.
[3][#] Special Commands Help - the table below describes the Special Commands
Help key combinations available in e-TES.
[4][#] Alphabetic Characters Help - provides the 3-character codes for each letter of
the alphabet. Alphabetic characters are needed for entering some Work Orders,
Wage/Time Types, e-mail addresses, and printers. Each 3-character code consists of an
asterisk [*] and two numbers.
[5][#] Special Characters Help - provides a list of the 3-character codes needed for
each special character. Special Characters are needed for Internet addresses.

Card. If your telephone keypad does not match the sample pad shown, use the following
conversion chart to translate letters of the alphabet into the three characters to be entered.

The first position on the number one key represents a “space.” To

You can simplify entering work by creating a personalized Quick Entry List. Your Quick Entry
(QE) List provides a shortcut to your commonly-used charge information and contains the
following information:
Sequence Number: Number denoting the position of an item on the Quick Entry
List. (Used only for telephone access).
Wage/Time Type: Identifies either a working or non-working activity.
Project: Identifies a task or unit of work.
Assignment: Identifies your work breakdown structure; used by project management
for a subset of work.
Description: Spoken (telephone) or written (Web) name that you choose to identify
a Quick Entry item.
Cross Charge Suborg - Identifies the VP or client to which the work should be
charged.
Cross Charge Department - Identifies the department to which the work should be
charged.
Labor Category - Identifies the position for the work you performed.
Additionally, on the Web, you can establish a ‘Template’ for your Time Sheet. This Template
allows you to define, from your commonly-used charge information, the Work Order
Descriptions most frequently used. This feature allows you to have a Time Sheet pre-populated
with your most frequent Work Orders in anticipation of recording your work weekly. You may
use Wage/Time Types for regular hours, shift, and overtime hours on your Quick Entry List.
You must not set up any absences or Special Payment requests; these are only set up from your
Time Sheet.
Tip
When accessing your Quick Entry List, you are always presented
with your description of the entry. To see the detail of a Work
Order Description, click on the Work Order Description and the
details will be displayed.

There is no Template capability on the telephone.

The following sections describe how to create your personal Quick Entry List and Template
when accessing e-TES using either the Web or telephone.

To help build your Quick Entry List, we have provided some selection lists for you. The
selection lists are designed to allow you to identify your work via a description instead of
memorizing codes. As you use the lists to identify your work, you will see the corresponding
code in the associated field. The selection lists, Wage/Time Types and Project, will display a
maximum of 1000 transactions for your review. If your list is too long, you may limit your
selection by entering partial data into the field, and your selection will be restricted to the
transaction starting with your limit.
The Wage/Time Type and Description are the only required fields. However, in the majority of
cases, you will also be required to enter the Project and Assignment. Enter all of the relevant
information given to you by your manager when adding a Work Order. If the Work Order you
enter cannot be verified by the system, you will not be able to add it to your Quick Entry List.
The information is validated as you enter it.

Enter all the Work Order information given to you by your manager. Remember, if
you do not enter your own description for the Work Order, the default description will
be displayed in your Quick Entry List.
Click Add to Quick Entry. The following message is displayed: “Now Processing
…Please Wait”.
You will see your new Quick Entry List. The Work Order Description is the only
thing displayed on your Quick Entry List.
Tip
To the right of your screen is a selection box for Wage/Time Type
and Projects. If you know the information, you may enter the codes
in the Add New Work Order section; or, you may use the selection
box.
At the beginning, the selection box shows Wage/Time Types. You
can switch the box to projects by clicking Show Project. You may
limit your project selection box by entering a starting value in the
Project field under Add New Work Order.

Double-click the Work Order to be modified. The detail entry screen is displayed.

The procedure to create the Quick Entry List (QE) by telephone uses the touch tone dialing
buttons for data entry. This process also talks you through adding a Work Order Number. You
must be aware that fields may have alphabets in the code. A translation of each alphabet is
available in Chapter 3, GETTING STARTED, and on your e-TES card, available from your
DXC Service Center website.
Tip
When you access your QE list later, you will hear only the sequence
number and the name you recorded for that item.

Tip
For accuracy and convenience, you may wish to express any
alphabetic characters using the touch tone codes explained earlier in
this Guide. In the above example, Assignment “TST789” would be

The first item you place in your Quick Entry List will occupy position one; consequently,
the sequence number is one. If you attempt to place the first item in any other position,
e-TES responds with an error message that states that the sequence number is invalid.
The second item you place on your list can occupy position one or two. If you choose
position one again, e-TES will move your existing number one position item down to
position two to make room for the new number one.
Each Quick Entry Item added to the list can occupy either an existing position or the next
available position in the list. e-TES adjusts the Quick Entry List to accommodate
inserted items.

Record a Name for this Quick Entry Item [#].
Tip
Choose a name that is short but meaningful to you and identifies the
type of work associated with the Work Order. No one but you will
hear the recording of the Quick Entry Item name. The Work Order
name printed on reports comes from a table defined by your
organization.
Note
There are three additional fields that you can enter if your
organization desires it. These are Cross Charge Suborg, Cross
Charge Department, and Labor Category.

A capability to create a Template has been added to your Time Sheet. A ‘template’ is similar to
a preprinted Time Sheet with weekly Work Orders already populated. It uses your commonly-
used item from your Quick Entry List for you to select for your Template. The result is that
when you establish a Template, you will see your Template when you go to the Time Sheet
function instead of a blank Time Sheet. This capability allows you to add hours to frequently-
used work orders without using your Quick Entry List or the New Work Order option. You can
still use your Quick Entry List for additional work which may not occur on a weekly basis. You
can also use the New Work Order button for infrequently-used work orders.

5. ENTERING TIME
Time and special payment requests are entered through the Web, or through the telephone.
Audit requirements and policy dictate that time must be entered daily. The process to enter
special payment request is identical to entering time, except that a special payment Wage/Time
Type is used.
Normally, an organization decides if it will process once a week, at the end of the week, or twice
a week, in the middle of the week and at the end of a week. In the event that your organization
has selected to process twice a week, your Time Sheet will be managed as two separate Time
Sheets for the week which contains a mid week process. The results are that, for a week
containing a mid week process, the system will:
Lock all prior days for entering or changing data after the close out time has passed.
You must enter all time and special pays for the first period prior to the close out
time.
Notify you of both closeout and lockout statuses.
Perform all time edits by the rules for the entire week.
When an organization elects to implement the online Work Authorization process, there is no
visible change to the format of the Time Sheet. However, there is a process change which may
occur when the timesheet is saved. If you have an online authorization form, saving the
timesheet will:
Verify that you are authorized to record time against the work order and labor
category from the WO Authorization form.
o If the work order and labor category is not on the authorization form, you will be
given a warning:

o You may continue with saving your timesheet with the current information or you
may cancel the request.
WARNING!
If you had previously used the unauthorized work order and did not
get approval, after the grace period for using the work order expires,
you will not be able to use the work order again unless authorized by

Verify that your timesheet contains only valid work orders, labor categories, and
cross charge information so that your time can be appropriately billed.
Verify that your hours are correctly recorded for payroll purposes.

When an organization elects to implement Comments and References, there is no visible change
to the format of the Time Sheet. However, a Comments button will be available and there is a
process change which occurs when the timesheet is saved. Saving the timesheet will:

Use Function Code 2, Work Absence, to record hours not worked during your scheduled work
week. You can select one of the commonly-used absences such as Holiday, Sick Leave, or
Vacation, or you can enter an activity code for any other absence. In addition, you can enter
future absences up to twelve weeks in advance from the end of the current week.

Tip
Because scheduled work weeks may include weekends, Saturday
and Sunday are included in consecutive days. If you do not wish to
enter hours for the weekends, record a 2-week absence by entering
Monday to Friday of the first week and then repeat Function Code 2
to enter Monday to Friday of the second week.

It may be necessary for you to correct an existing time entry. This may be because your work
day was longer or shorter than what is reflected in e-TES, you entered time under the wrong
Work Order Number, the Work Order Number changed without your knowledge, etc. The
following sections describe how to make corrections depending upon the type of error, and the
time that elapsed since the error was entered.

It may be necessary to adjust time entries for prior weeks. The Prior Time Adjustments option
allows e-TES users to enter prior time adjustments in a familiar timesheet environment using all
of the currently existing supporting data and data relations in the application.
Note
The Prior Time Adjustments option is available only via the Web for
organizations which select the option. There are several differences from the
Time Sheet features:
The timesheet template is not available.
The Quick Entry list is not available.
A system Work Order Description will be displayed and cannot be
modified.

8. WORK LOCATION
To facilitate accurate tax withholding, you must record where you are working each day of the
week. Your business unit’s tax group will coordinate with Human Resources to inform you
when your tax declarations should be changed. This process is intended to minimize any
negative impacted you may experience at year-end.
Tip
If you normally work from home when you are requested to
work on your off day, enter your home address as the default for
your off days. Otherwise, you should enter the work location as
the default.
Note
You are only required to enter a work location when you record
work hours. If you are recording a full day absent or you are not
recording any hours for a day (ex. on your off day), you are not
requested to record a location.
If a work location is entered for full day absences or when no
work is record, the system will remove the work location.
You will not be able to save your time sheet if you have not
previously saved your work location on a day with work
hours.

The basic role of a manager in e-TES is to approve the work recorded by an employee or review
the work of a subcontractor. Additionally, the organization many require managers to maintain a
work authorization form for their workers. To facilitate these processes, other people may be
assigned to complementary roles. Keeping in mind that workers are initially assigned to a
manager via their department, here are some managerial and administrative roles.
Approval Manager - reviews and approves the work recorded.
Default Manager - receives all new hires.
Manager Alternate - has the authority to approve for another manager.
Manager Administrator - assists the manager with monitoring activity.

assigned to them. This oversight includes creating authorizations and reviewing, correcting, and
approving time. If a worker is assigned to a new manager, the Approval Manager is responsible
to transfer approval authority for the worker to the new Approval Manager.
Because the Approval Manager’s role is so critical to the time entry process, the Approval
Manager may choose to designate Manager Alternate to act in their absence. When acting on
behalf of the Approval Manager, the Manager Alternate has the same responsibilities and
capabilities as the assigned Approval Manager.
Approval Managers may also designate Manager Administrators to assist with the approval
process. Administrators can request reports and perform queries to assist the manager in the
review process prior to approval, but cannot approve or change time.

reassigns all his workers to another manager. This can be done either by the Approval Manager or
his Manager Alternate.
When the Approval Manager reassigns all his workers to another manager, he gives up approval
authority for all workers on his list, though he may still have access to the manager functions if he is
an alternate for another manager. In addition, his alternate(s) and administrator(s) are deleted.
If an Approval Manager leaves an organization without reassigning all workers, the system
automatically reassigns the workers to the Approval Manager’s department Default Manager. If
the Approval Manager is the Default Manager, the workers are reassigned to the Labor
Accounting Administrator. e-TES notifies the Default Manager and the Labor Accounting
Administrator by a recorded message when new workers have been added to their Approval
Lists.
Note
Except for maintaining a work authorization for each person, all
above capabilities only exist for the current Time Sheet period if the
manager lockout has not yet passed.

When workers have completed entering their time for the pay week, they submit their time. In
case of an error, the worker may correct and re-submit time, up until the worker lockout. After
the worker lockout, time submitted is considered final and available for manager approval. Un-
submitted time is also available for approval. Managers have until the manager lockout time to
review and approve time. The manager may choose to approve all workers, approve individual
workers, or postpone approval of individual workers. After the manager’s lockout, all the e-TES
transactions are extracted for Labor Accounting processing.
Unapproving Time
If time has already been approved but a worker must make modifications to his time, the
worker’s time must be “unapproved”. If all workers must be unapproved, select the option to un-
approve all.

These actions can take place only if the manager lockout time has
not passed.

There are three complementary roles that are available to support the Approval Manager:
Default Manager, Alternate Manager, and Manager Administrator. The following sections
describe how these roles are used to facilitate time management by the Approval Manager.
Default Manager
A Default Manager is the person who, by default, receives all new hires for a sub organization
and department. This person may have one or more departments assigned to them. The function
of a Default Manager in e-TES is to transfer all new hires to the correct manager. A new hire is
assigned to a department in the HR System and sent to e-TES; therefore they receive the Default
Manager for their department as their Approval Manager. If the Default Manager is not the new
hires Approval Manager, the Default Manager must reassign the employee the correct Approval
Manager. This situation of the Default Manager having too many workers for approval can also
occur when e-TES is initialized.
Prior to e-TES implementation, each organization submits a list of departments and identifies
one default manager for each department. Initially, the Default Manager has approval authority
for all employees in the department. The Default Manager assigns each employee to the
appropriate Approval Manager who is then responsible for reviewing and approving his/her time.
When the Default Manager assigns a worker to an Approval Manager, the Default Manager no
longer has approval authority for that worker. If the department does not have a default
manager, the new hire is reported to a Labor Accounting Administrator.

A Manager Alternate is a person who is responsible for performing management duties when the
Approval Manager is not available. An Approval Manager should designate at least two Manager
Alternates who can perform e-TES tasks for their Approval List. It is the Approval Managers’
responsibility to notify the Manager Alternate when to act on their behalf. Alternates may be
Approval Managers for their own workers or only Alternates for other managers.

With DXC’s matrix organizations, workers may receive work from various managers. However,
in e-TES, you are only assigned one approval manager. Your approval manager is in charge of
ensuring that time is entered in accordance with DXC’s timekeeping policy. Entering time
involves payroll, financial and billing rules. Payroll rules are determined by the type of time and
how many hours are recorded. Financial and billing rules are determined by the project,
assignment and labor category, where appropriate, recorded on your timesheet. To assist with
accurate client bills, the online work authorization validation process may be implemented. This
process requires the approval manager to create and maintain work authorizations so that
employees can be alerted when unauthorized work is charged.
The work authorization process is only available for organizations who have indicated that they
will implement the process. This indicator is available via TES Tools, the e-TES back office
application (See TES Tools User Guide Release 7.1). There are 3 release levels of this
functionality:
Level 1 – The simple process involves online communication between the approval manager
and their personnel only. It allows the manager to create an online work authorization. This
level is automatically available when an organization is prepared to use the work
authorization validation process.
Note
Initially, communication of a new authorized work order can be
received from the approval manager as an approved request or
directly from the owner of the budget, i.e. the WOA Manager, as an

unapproved request.
Level 2 – The controlled process involves online communication among the WOA manager,
approval manager and the user. This level permits the WOA Manager to authorize the
Approval Manager to release work orders for charging. It support receiving a file of
Project/Owner of the budget i.e. the WOA Manager relationships. This file may be manually
created and sent to Finance for processing. These additional features may contain links to
financial and billing systems to ensure that budget constraints are monitored appropriately.
This level is initiated with the release of the WOA Manager role into production.
Level 3 – The automation of Level 2 Controlled Process utilizes a file from the
financial system with the Project/Owner of the budget, i.e. the WOA Manager
relationship. This final level includes establishing the WOA Manager in the financial
system and providing the Project/Owner of the budget relationship file to e-TES.

Upon implementation, there are 3 functional groups involved in the work authorization process:
1. Users/Personnel –Your involvement is visible in two ways:
a. When entering time for unauthorized work, you will receive a warning message and
given the opportunity to change your timesheet or continue saving the existing data.
b. A Work Authorization report is available under the Report function.

There are no main menu changes when this process is implemented.
The only sub functions changes will be the additional authorization
report. Communication will be provided prior to each level change.
2. Approval Managers – Your involvement is visible in menu changes and report changes.
Additionally, different menu options will be available for the 2 different levels. These

a. Level 1 - Simple Process – You will see 2 new menu options:
i. Create WOA – Creates and maintains work authorization for their personnel

ii. Assign WOA Assistant – Allows a budget manager, WOA Assistant, WOA
Supervisor to identify a person to assist with the process. Similar to an
alternate manager.
iii. Assign WOA Manager - Allows a WOA Assistant or WOA Supervisor to
identify the budget manager for a project.
c. Reports. A WOA Alert report will be added to the list of reports associated with
Your Personnel.
Note
The WOA Alert report is available for both Level 1 Simple Process
and Level 2 Controlled Process phases.
3. Special Roles – This third group of users are a restricted group which establishes the
hierarchy of all manager who have budgetary right to various work orders from the work
order creation to when the work order is released for use. It comprises of the WOA
Supervisor, WOA Manager and the WOA Assistant.
a. WOA Supervisor has full access to all Work Authorizations. They review and ensure

b. WOA Manager is the owner of the budget. They can define other managers
authorization to sections of the budget via the work orders defined or they can limit
manager to perform a task with no budget oversight. This functionality will be
available with the Level 2 Controlled Process release.
c. WOA Assistant has the full rights of the WOA Manager. They assist with managing
authorizations. This functionality will be available with the Level 2 Controlled
Process release.

Once an organization has selected to implement the online work authorization process, there are
different groups who can effect a change to a work authorization. These are the:
1. Approval Manager – Adds an approved authorization item using the Create WOA menu
function. This action will make the authorization item appear on the WO Authorization
report.

b. Approval managers also have the capability to copy one or more authorized items to
multiple users simultaneously with the Copy Work Order feature.
Tip
Copy Work Order Tips:
If the work order/labor category does not exist on the
Copy To user, all information from the Copy From
transaction is added to the Copy To authorization with
an automatic approval.
If the Copy To user already contains the work
order/labor category, the following rules apply:
o No change in the start date
o End date will only be extended not contracted
o No change in the extended work order description

2. User – Adds an unapproved authorization item by entering time on their timesheet. This
action triggers several processes:
a. The user will receive a message warning them of the mismatch with their
authorization, with an option to cancel the action or to submit the request.

b. The approval manager receives a message identifying which user charged which
unauthorized item.
Note
This is an alert for the approval manager to update the user’s
work authorization.
c. A message is added to the WOA Message function for the manager to review at a
future date.

3. WOA Manager (a Special Role) – Request a specific user to perform a task using the Request
Assistance menu function. The approval manager is sent a notification and an unapproved
item is inserted on the WO Authorization report.
Note
The Request Assistance menu function is only available with the
Level 2 Controlled Process.

The online work authorization belongs to the approval manager. A work authorization consists
of line items with individual start and end dates. Each item tracks who requested the work and
who approved the request. When the approval manager or their alternate creates an item on the
work authorization, the process identifies that the requestor and the approver are identical and a
date-stamp is posted.
Note
This automated authorization is different from your current work
authorization. Currently, your entire work authorization is valid for
a fixed period; with the online solution, each item has individual
authorized start and end dates.
The date and personnel number of the person recording the request is used as the electronic date
and signature for the authorized item. Additionally, organization guidelines for direct and
indirect projects are supported.

There are slight differences in the work authorization process when an item has been created by
the manager versus a user.
An item which was created by the approval manager or their alternate via the Create WOA
menu function will automatically display the name of the manager in both the Requested By
and Approved By section.
An item created by the users charging a new work order on their timesheet will contain an
approved prompt.

Note
The approval prompt is defaulted to No, which identifies the item is
unapproved. The manager must click the Yes prompt to approve
the unauthorized request. When the request is authorized, the
Requested By remains blank but the Approved By contains the
approval manager’s name.
Tip
Use your WOA Alert report to anticipate when authorization will be
closed in the near future.
If the Approval Manager accepts the work authorization request by clicking the Yes button, the
user will receive the following message:
