A. Introduction Motivation: FIND ME

The teacher requires two pairs to participate in the activity. The


teacher will instruct the students to locate documents that they
require in a timely manner. What they don't realize is that one set of
documents is well-organized, while the other is disorganized.

A. Filing Management System

In the front office, numerous routine records and reports are


used in every stage of the guest cycle. It's crucial to complete
these records and forward them to the relevant departments or
compile them. To make accessing these records and reports
easier, it's essential to establish and use a filing system.
B. Importance of Filing Management System
It defines how easily and quickly an organization can locate
and access files. An effective filing system protects documents
from possible loss or damage.
A basic file system includes four categories: alphabetical,
chronological, alpha-numeric, and numeric. Record-keeping is
a vital component for the successful operation of the front
office and the hotel. First, you need to set up a file system to
follow. This will help you organize and manage records.
C. 4 Categories of Basic Filing Management System

1. Alphabetical Filing System- it is a method in which files


and folders are arranged in order of alphabets of the
names of person or institution concerned with such file. It
may be done using either the first names or surnames, but
whichever is chosen must be consistent throughout the
particular filing system.
2. Chronological Filing System- is an archive storage
system that is organized by time such as year, month and
date of the letter. Thus, management of disposition and
filing of letters can be arranged and recorded in a complete
and secure manner and it is easy to view the history of
existing letters.
3. Alphanumeric Filing System- it is organized using a
combination of letters and numbers.
4. Numeric Filing System- It is organized using numbers.

teacher will assign each group a different types of filing system
(Alphabetical, Chronological, Alphanumeric and Numeric). The
teacher will provide each group with sample documents and
files to be sorted and filed using their assigned system.
