PRODUCTION SCHEDULE DEPARTMENT MEETING

DATE: 15th October 2021

LOCATION: Kingho Mining conference room

ITEM SUBJECT
1 PURPOSE OF THE MEETING
The purpose of the meeting was to discuss the problems encountered during the previous
two weeks, finding solutions to the encountered problems and mapping out future work plan
to keep the department within the range of performance expected.
2 OPENING STATEMENT
The meeting was called to order at 20:20 by Manager Fan who explained that the form of
minutes preparation will be in a table form henceforth and he said there will be a sequential
order of stating out problems and their possible solutions according to the different area of
work in the department starting with the pit, the processing Plant and lastly the TLO. he
continued by saying that the minutes of the meeting should be ready the next day after the
meeting so that it will be of immense help in molding the performance of every staff at the
department. Manager Fan forged ahead with his opening statement by mentioning the
following parameters upon which the meeting of the department will be based on
henceforth: Problems that will be encountered after every two weeks, the possible solutions
to the problems that will be encountered, result after applying the solutions suggested and
the future work plan. Manager Fan urged all and sundry to be taking points down during the
meeting so as to keep things that have been discussed and to try to build on any area that
needs improvement. He said the meeting is compulsory and that everyone should make it a
point of duty to attend, he then asked the newly recruited staff members to introduce
themselves which they did and this was followed by the old staff members’ self-introduction.
3 PROBLEMS IDENTIFIED AT THE PIT AND POSSIBLE SOLUTIONS
PROBLEMS
The problems mentioned below were problems identified by the team at the pit
 No radio set for communication
 CRSG workers changing work plan before the team at the pit arrives
 No tower light for efficient monitoring of the nature of the material mined
 Absence of maps

POSSIBLE SOLUTIONS
The following were suggested by Manager Fan as solutions
 Everyone will start to use radio set henceforth irrespective of the shift
 The CRSG change of plan at work will be worked on and it will be communicated
with the person on shift at the pit.
 Tower light should be provided, this suggestion was from Moses.
 Maps and their usage will be communicated with the team at the pit with the
help of Saidu Kamara
4 PROBLEMS IDENTIFIED AT THE PROCESSING PLANT AND POSSIBLE SOLUTIONS
PROBLEMS
 Difficulty in detecting the wet nature of the material in the trucks
 Lack of proper maintenance
 No safety glasses for the production team at the plant
 Climbing Tyres at the ROM Bin area to monitor the nature of the material in the
trucks
 No radio set in the trucks for the CRSG drivers to ease up communication.
 Delay in shift change due to insufficient vehicle
SOLUTIONS
Suggestions by Manager Fan and Mr. Eric
 The team at the pit should work assiduously to avoid loading wet material into the
trucks
 There has been great improvement for the past two weeks with regards the
maintenance stuff and that more pressure will be mounted on the Huaxin workers to
do proper maintenance
 Safety glasses will be provided
 The team at the pit should work hard to make sure that no wet material is brought to
the plant in order to free the team at the plant from climbing tyres to monitor the
material.
 With regards radio set for the CRSG drivers, Manager Fan said that he had discussed
that with the CRSG Administration and that they are working on it.
 The department should manage the resources available at the moment to execute
the duties that are to be carried out.
5 PROBLEMS IDENTIFIED AT THE TLO AND POSSIBLE SOLUTIONS
PROBLEMS
 Difficulty in managing the casual workers
 Lack of good equipment monitoring skills
 No encouragement for the TLO team
 Difficulty in moving around the TLO without car to coordinate activities
 Ignoring solutions put forward by the team at the TLO
 Communication problems due to insufficient radio set
SOLUTIONS
Suggestions by the Bosses and team members
 The TLO team should device ways to manage the casual workers and provide the
right training for them and also give them time frame in undertaking any task.
 Track records of the equipment should be taken on daily bases henceforth
 It would not please the bosses if things are not going right, so the TLO team should
work towards accomplishing work in a more desired way
 The car available now should be used judiciously to ensure maximum production and
that the company is working on the equipment issues to make work easier.
 Whistles should be used at the TLO to aid the dissemination of information for safety
alert.
 The TLO team should implement ideas that will yield good result to avoid getting the
material wet.

6 ADDITIONA ADVICE FOR THE TLO TEAM BY THE BOSSES


 Dividing the casual workers into groups to make the work easier at the TLO
 The knowledge in managing the casual workers should be improved
 The pit and the processing plant teams are currently doing well and hat the TLO team
should try and emulate them.

OBSERVATIONS MADE BY Mr. ERIC ON AT THE DIFFERENT PLACES OF WORK IN THE


DEPARTMENT.

THE PIT
 For the past few weeks, the bulk of the work at the pit has been monitoring and
controlling the moisture content
 Poor management of the contractors

PROCESSING PLANT
 Doing well but going beyond the responsibilities
 Ignoring the supervisors of the contractors and talking directly to the drivers making
the work load cumbersome.

TLO
 Poor working attitude with some of the team members
 TLO has been the problem among the three areas of work in the department
comparatively.
 Some team members don’t listen to instructions attentively and they will not try to
do the job as required.

7 ADDRESSING OTHER ISSUES


As a means of giving closing statement, manager fan made the following statements
 All and sundry should try to learn the basic characters in Chinese of the names of the
contractors through the Chinese classes he will organize for staff members
 People should learn other skills to grow
 Asked Lamin Conteh to oversee the problems at the department
 The award system implemented by the company is to urge people to improve on
their performance at work
 People should improve themselves on daily bases
 No one should go out of the department to report issues
 Use of harmful drugs is not acceptable

 Track records of all equipment should be taken and kept on daily bases, any missing
equipment should also be reported without delay
 Submission of daily report on time
 There will be tables provided to ensure the daily capturing of information
 Only Kingho workers should use the car and its forbidden henceforth for non-Kingho
workers to onboard the car
 All and sundry should follow the company regulations
